Set shared-board reminders for a few events that require action, send due-date nudges to the task owner first, and choose one default delivery channel. Treat routine comments and status changes as board activity rather than interrupting the whole team. Then explain the policy, check each person’s notification settings, and adjust it after the team has used it.
Choose which events deserve a reminder
Start by distinguishing actionable alerts from general board activity. A reminder should prompt someone to do something, not merely report that the board changed.
- Approaching due date: Notify the person responsible for completing the task.
- Direct assignment: Let the new owner know work has been assigned.
- Explicit blocker: Alert the person or people who can remove the blocker.
- Routine comments and status changes: Keep these in the board or inbox unless a specific team workflow makes them urgent.
There is no evidence-based universal interval for due-date reminders in the product documentation cited here. Choose timing that fits your team’s work and deadlines; do not assume that a two-week warning is right for every task. A forum user has described wanting a reminder two weeks before a task or project is due, but that is an individual example, not a recommended standard: Reddit discussion.
Set the audience before enabling alerts
Make the assignee or responsible owner the first recipient for a task-specific reminder. Add a watcher, project lead, or wider group only when that person or group has a concrete role in acting on the task. Sending every alert to every board member can turn a useful nudge into background noise.

Check the scope of each product setting: it may apply to an individual, a project or board, or a group. Also check who can change group-level settings and whether members can adjust their own preferences. These controls differ between products.
Pick a default channel and check for duplicates
Keep routine updates in the task board or inbox where practical. For selected actionable events, choose a default channel—such as email, push, or chat—and check whether integrations deliver the same event through additional channels.

This matters in Microsoft Planner: Microsoft Support says, “Your Planner assignment notification in Teams will not replace your email and mobile push Planner task assignment notifications; you will receive all three.” Planner notification settings cover assignment and due-date alerts, while some group notifications are managed separately and may depend on group-following or owner settings. Planner notifications can include group email, individual email, mobile push, or Teams activity. Teams has its own relevant notification settings; assignment, urgency, progress, and assignee changes can create Teams activity notifications. See Getting started with Planner in Teams.
Configure member-level preferences in your task board
Product controls and defaults are not interchangeable. Confirm the settings in the relevant workspace and account, and tell members where to manage their personal preferences.

Asana
Asana’s notification settings cover browser, Slack, project, portfolio, goal, and email notifications. Email options include daily summaries, activity updates, mentions only, and weekly reports; Do Not Disturb can pause push and browser notifications on a schedule. Availability may depend on subscription and configuration. See Asana notification settings.

Trello
Trello documents due-date notifications for checklist items assigned to you and for cards you are assigned to or watching, including cards on a watched list or board. A due date without a reminder does not trigger those due-date notifications. You can also change notification email frequency in account settings. Check current behavior and settings in the relevant workspace; details are in Atlassian’s Trello notification guide.
Microsoft Planner
Planner provides controls for assignment and due-date notifications, but group notifications may be managed separately. The experience is rolling out and can differ, including in government cloud environments. Check both Planner and Teams settings, and account for any group-level behavior in your setup. Agree on the policy and review how it works
Before turning on reminders, tell the team which events trigger an alert, who receives it, which channel is the default, and where people can change personal settings. Agree how quiet periods, leave, and urgent exceptions should work. Individuals may have different preferences, so separate personal controls from any group-level settings.
- List the events that warrant interruption: usually assignments, approaching due dates, and explicit blockers.
- Set the default audience to the task owner, adding other recipients only where they need to act.
- Choose one main delivery channel for those events and check integrations for duplicate alerts.
- Explain personal notification controls and the team’s approach to quiet hours, leave, and urgent exceptions.
- After members have used the setup, ask whether reminders arrived at useful times, important tasks were missed, or people muted notifications. Adjust the rules based on those responses.
Platform documentation explains available settings and delivery behavior, but does not establish a universally optimal reminder cadence. Review the actual team experience instead of treating any fixed number of alerts per week as a proven rule.
