Publish one clearly visible, dated construction notice on the hotel website, then link to it from relevant booking and pre-arrival messages. Tell guests what work is scheduled, when and where it will happen, what may change during their stay, what remains available, and how to get help. Keep confirmed details distinct from estimates, and assign an owner to update the page when plans change.
Gather the facts guests need
Start with the construction or operations lead, not with promotional copy. Confirm which details are firm and which are estimates. Before drafting, check:
- What work is happening and which rooms, floors, facilities, or nearby areas it affects.
- Scheduled start and end dates, project phases, daily work hours, and any narrower window for noisy work.
- Likely noise, vibration, odors, scaffolding, view changes, or other disturbances.
- Changes to entrances, routes, parking, accessibility, room availability, or facility access.
- What will remain open, plus alternatives or assistance available to guests.
- Who can answer questions and when the information was last reviewed.
These details reflect the kinds of practical information hotels disclose in their notices: for example, KAMENOI HOTEL Atami’s August 12, 2026 notice gave affected floors, work hours, a narrower noisy-work period, and a qualification that the duration could change. Hotel Anteroom Kyoto’s June 25, 2026 update described impacts including noise, vibration, odor, scaffolding, view changes, window restrictions, and parking limits. Such examples illustrate useful disclosure; their dates and conditions apply to those properties, not yours.
Choose a notice format that fits the work

This is a practical distinction drawn from the examples, not a mandatory standard. Kent State Hotel’s page shows how a dedicated destination can group project phases, room and facility questions, wayfinding, parking, accessibility help, contact details, and progress updates. A short, stable project may not need that much structure.

Draft the notice in guest language
Put the most important answer first: whether and how construction may affect a stay. Use plain wording and separate confirmed details from estimates. A useful order is:
- Work and purpose: briefly explain what is being done.
- Dates and hours: give the current schedule and working hours. Say plainly when dates or duration are estimates or subject to change.
- Affected areas and impacts: identify locations and likely effects such as noise, vibration, odors, view changes, or route restrictions.
- What remains available: state which facilities, services, entrances, or parking options will remain open, and identify any alternatives.
- Help: provide a contact route for questions, access assistance, or stay-specific concerns.
- Review date: show when the information was last checked or updated.
Be specific about mitigation without promising an outcome you cannot substantiate. For example, describe the alternative entrance or available facility; do not promise “no disruption” unless the hotel can support that claim. If a schedule is uncertain, say so rather than presenting an estimate as a commitment. Hotel Nikko Fukuoka’s May 29, 2025 notice, for example, described possible view effects from exterior work, gave a scheduled period through November 30, 2026, qualified the schedule as changeable, and directed readers to the official site for updates.

Publish it where guests will find it
Make the notice easy to discover before a guest arrives. Link it from the homepage or a current-notices area, and add it to relevant booking and stay-information paths. Where your systems allow, link the same page from booking confirmations, pre-arrival messages, and relevant group or event communications. Hotel-industry guidance supports visible website placement and proactive communication at reservation and in guest messages; the latter recommendation is an individual Hospitality Net opinion article from 2009, not a current official requirement.
Keep one canonical website page as the source of truth. In linked messages, summarize the impact briefly, then direct guests to that page for the current schedule and practical details. This makes updates easier to manage than maintaining different versions of the full notice in several channels.

Assign an owner and update triggers
Name a person in marketing or operations who is responsible for the public notice, and agree with the construction lead on what changes require an update. Useful triggers include:
- A change to dates, work hours, or project phases.
- A newly affected area, facility closure, or access route.
- A change to parking, room availability, or guest alternatives.
- Early completion or a delay that changes the expected impact.
Date every revision. When the work no longer affects guests, remove the notice or archive it clearly so an old page does not appear to describe current conditions. Keep reservations, the front desk, events, and guest-communications teams aligned with the current details and the route for handling questions. This is a practical coordination workflow, not a prescribed software system.

Check the notice before and after publication
- Confirm dates, areas, hours, closures, access directions, and alternatives with the responsible operations or construction lead.
- Check that the notice is reachable from the relevant website pages and guest messages.
- Read it as a guest deciding whether to book or preparing to arrive: can they tell what may affect their stay and whom to contact?
- Verify that the page’s last-reviewed date is visible and that staff channels match the published details.
- Revisit it whenever an agreed update trigger occurs, and retire it when no longer relevant.
