A vendor’s enterprise protections are not a guarantee that your particular configuration or contract is safe or compliant.
1. Map what the assistant can see and change
Start with the full data path, not just the prompt box. An AI service desk may handle information from the ticketing system, connected knowledge bases and repositories, identity systems, model endpoints, search services, plugins, and automation actions. Its prompts, responses, and logs may also contain information that is not present in the original ticket.
Inventory the fields, attachments, articles, repositories, and logs available to the assistant. Classify secrets and regulated or restricted data, then document which categories the assistant must not retrieve, process, or write back. Include data created by the assistant as well as data supplied by employees.
2. Select an approved account and verify the terms
Use a company-approved enterprise service and account rather than a personal AI account for work tickets. Before enabling it, confirm the exact plan, contract, eligibility, region, and features that apply to your organization. Review training use, retention and deletion, data residency, subprocessors, audit access, and support boundaries against your internal requirements.

What Microsoft documents
Microsoft says organizational use of Copilot and Copilot Chat is covered by its Data Protection Addendum and Product Terms, with Microsoft acting as a data processor. Its documentation describes encryption at rest and in transit, tenant isolation, identity-permission inheritance, sensitivity labels, retention policies, and audit support; the specific controls vary by plan. Microsoft also says Copilot prompts, responses, and Microsoft Graph data are not used to train foundation models in the stated Copilot context. For Copilot Chat, Microsoft says enterprise data protection applies when users sign in with a work or school account. It says prompts, triggered Bing queries, and responses are logged, and administrators can use Microsoft search and audit tools to view those logs. What OpenAI documents
OpenAI says it does not use business and API customer inputs or outputs to train its models by default. Its business data page describes encryption, retention controls for qualifying organizations, zero data retention for eligible API use, role-based access controls, audit logs, and data residency for eligible services and customers. Those features should not be assumed to apply to every plan or endpoint; verify the terms for the service you intend to use. See OpenAI’s business data privacy, security, and compliance information.

These are vendor statements about product behavior, not independent certification of your deployment. The plan, configuration, integration, and contract still need to be checked in your environment.

Configure retrieval so the assistant sees only the information the requesting employee is allowed to see. Where possible, use the caller’s identity and preserve source-system permissions instead of giving the assistant broad shared access. Grant connectors the minimum scopes they need, and review those scopes when the assistant’s purpose changes.
- Test with accounts that have different access rights, including one that should not see restricted tickets or articles.
- Check whether search results, summaries, citations, and follow-up answers respect the same access boundaries as the source systems.
- Review what each connector sends to the model or other services, not only what it displays in the service desk.
Microsoft’s documentation describes permission inheritance and other protections in its Copilot context, but you still need to validate how your chosen connectors and tenant configuration behave. Microsoft also distinguishes Microsoft 365 handling from web search: Bing handles triggered web-search queries under different practices and acts as an independent data controller for those queries. Treat web search as a separate data path and decide whether it belongs in your support workflow. See Microsoft’s explanation of enterprise data protection and web search.

4. Limit actions and keep a human in control
Begin with read-only knowledge retrieval or draft suggestions. Do not let an assistant take consequential action merely because it can generate a plausible answer. Require an authorized person to review and approve account changes, password resets, access grants, or changes to security controls. Log actions and provide a clear route to a human agent when the assistant cannot safely resolve a request.
Test for prompt injection and other attempts to manipulate the assistant through ticket text, attachments, or retrieved content. Do not treat any platform as immune: Microsoft notes that some mitigations, including prompt-injection classifiers, may not be available in all Copilot scenarios. 5. Apply masking carefully
Data minimization, redaction, or masking can reduce exposure, but the protection depends on what is transformed and when. Verify which fields are changed, whether attachments and retrieved records are included, and whether the transformation happens before data reaches an external model or service. Also check what the assistant can write back to the ticketing system.

A masking step at the model boundary does not necessarily clean the source ticket or prevent sensitive data from being stored elsewhere. ServiceNow documentation search results describe a Now Assist Data Privacy plugin that can mask sensitive data before it is sent to an LLM, while also stating that it does not mask sensitive data already present in instance records or prevent sensitive information from being stored there. The official page was not accessible for verification, so confirm current feature behavior and terms directly before relying on it: ServiceNow’s User data usage policy page.

Decide how long prompts, responses, ticket records, and compliance logs should remain available. These may serve different purposes and may be stored in different systems, so document separate retention rules where appropriate. Assign administrators who can review logs, configure any required export path, and test that the organization can find and delete data according to policy.
For OpenAI’s Compliance Logs Platform, the help documentation reviewed in 2026 says records are retained for 30 days. Organizations that need longer retention should continuously download the logs and retain them under their own policies. This is a specific platform retention period, not a general retention promise for every OpenAI service or customer. See OpenAI’s Compliance Platform documentation.

7. Review each connector and external service
Maintain a list of the data each connector, model endpoint, search service, plugin, and automation action receives. For each one, check its identity and permission model, data retention, vendor terms, processing geography, and ability to log or export activity. A connector can create a distinct data path even when the main AI service has enterprise protections.
Include web search in that review. For example, Microsoft states that triggered Bing queries follow different practices from Microsoft 365 data handling. Make a deliberate decision about whether the assistant may search the public web, what information may be included in queries, and how those queries are governed.
8. Pilot narrowly, then expand on evidence
Start with a limited user group and a low-risk request type. Before widening access, check whether the implementation behaves as intended in realistic cases:
- Users with different permissions receive only the information their roles allow.
- Restricted ticket fields, attachments, and articles do not leak into answers or search results.
- Prompt-injection attempts and misleading retrieved content are handled safely, with uncertain cases escalated.
- Consequential actions require the intended human approval.
- Prompts, replies, actions, and logs appear in the expected audit and export paths.
- Retention and deletion workflows work across the service desk and connected services.
Review failures and access logs before adding higher-risk ticket types, broader connector access, or automated actions. Keep an escalation route to a human agent throughout the rollout.

There is no universal winner based on the vendor statements alone. Compare the exact plans and configurations you would deploy, using these questions:

- What retention, deletion, audit, and export controls are available, and to which logs and endpoints do they apply?

- What masking or DLP controls are available, and at what stage do they act?
