To set up a new laptop safely, finish its first-run setup, connect it to the internet, install available operating-system updates, choose whether to migrate or start fresh, and verify both backup and recovery access. Windows and Mac steps differ, so follow the section for your computer.
Before you start
- Connect the laptop to power and have your Wi-Fi password and account recovery options ready. Some Mac Setup Assistant steps require internet access, and a Mac may need an update during initial setup. Apple’s MacBook Air setup guide documents these steps; labels and details can vary across Mac models.
- If this is a work or school computer, follow your organization’s enrollment instructions. Device management and account choices may be controlled by IT.
Complete first-run setup
Use the account appropriate for the owner and device. Set a strong account password and a device PIN or passcode where offered; enable biometrics if they suit your needs. Review privacy, accessibility, location, diagnostic-data and voice-assistant choices rather than accepting every option by default. Exact screens depend on the operating-system version and device.
Install operating-system updates
Windows
- Open Settings > Windows Update and check for updates.
- Install offered updates and restart if asked. Check again after restarting and repeat while updates are still offered.
- For model-specific drivers or firmware, use Windows Update or the laptop manufacturer’s official support page for your exact model.
Mac
- Open Apple menu > System Settings > General > Software Update.
- Install available updates and restart if requested; check again afterward for any further updates.
Windows 10 support ended on October 14, 2025. Microsoft says free Windows Update software updates, technical assistance and security fixes ended on that date. A new computer in 2026 should run a supported Windows release and have current updates installed. Choose whether to migrate or start fresh
A migration can save setup time, but it may not create a complete clone. Choose a recent, verified source and plan to check what arrived.

Mac migration
During Setup Assistant, you can set up the Mac as new or migrate from an iPhone or iPad, another Mac, a Time Machine backup or startup disk, or a Windows PC. Apple documents these choices in its MacBook Air setup guide. For detailed migration instructions, consult Apple’s current guidance for the particular source device.
Windows PC-to-PC transfer
Microsoft’s documented PC-to-PC transfer flow requires a new Windows 11 PC on version 2024 or later and a Microsoft account during setup. The guide calls for both PCs to be powered and connected to the same Wi-Fi network or LAN. It transfers files and some settings, but not installed applications, saved passwords or sign-in credentials, OneDrive files, or BitLocker-encrypted drives. Eligibility depends on processor and account requirements, and the described flow is unavailable in China. See Microsoft’s transfer guide for current eligibility and steps.

After transferring, reinstall needed applications and separately check cloud files and content on encrypted drives. If you want a clean start, set up as new and copy only the files and settings you actually need.
Set up and verify a backup
Windows Backup and OneDrive
- Open Start, search for “backup,” and open Windows Backup; alternatively, go to Settings > Accounts > Windows backup.
- Choose which folders to sync to OneDrive. The listed folders include Desktop, Documents, Pictures, Videos and Music. Select any settings and app-information options you want saved.
- Check the app or Windows Backup settings to confirm the backup status. Confirm that the files you care about are present in the intended destination and that there is enough storage.
Microsoft says a free Microsoft account includes 5 GB of OneDrive storage; the support page does not state a year for that figure. Windows Backup can save selected folders and some settings or app information, but syncing is not the same as a complete, independent backup. Personalization backup requires OneDrive sign-in and sufficient storage. Work or school account behavior can differ and may be controlled by an organization. Mac backup
Time Machine backups can serve as a migration source when setting up a Mac. To make a backup plan, confirm that the files you need are actually included and that you know how to restore them. Apple’s setup guide identifies Time Machine as a migration option; use Apple’s current Time Machine instructions for detailed configuration.
Understand the difference between sync, migration and backup
- Sync keeps selected files or settings available through a service; it depends on the service, account and available storage.
- Migration copies supported content from an old device or backup during setup. It can omit apps, credentials or other categories.
- Backup gives you a way to restore files after loss or a device failure. Check the destination and understand the restore process rather than assuming that a successful transfer or sync is sufficient.
An external drive can provide a separate local copy when appropriate. A Windows USB recovery drive helps with recovery, but creating one does not prove that personal files are backed up.

Check encryption and recovery access
Windows device encryption and recovery key
- Open Settings > Privacy & security > Device encryption and check whether encryption is on.
- If the setting is absent, the device may not support Device Encryption or your signed-in account may not have administrator rights.
- Confirm that you can access the recovery key associated with the account before you need it. Do not assume it was saved; verify access.
Microsoft says Device Encryption turns on automatically on supported devices when you sign in with a Microsoft or work/school account, and the recovery key is attached to that account. A local account does not turn it on automatically. Device Encryption uses BitLocker for the operating-system drive and fixed drives. More detail is in Microsoft’s Device Encryption guide.
Microsoft’s documentation also describes saving a BitLocker recovery password to a Microsoft account when BitLocker is enabled in the out-of-box experience and the user first signs in with that account. Setup and device configuration affect behavior, so check the key directly. Microsoft’s Windows 11 security documentation explains encryption and data protection.

Create a Windows recovery option
Microsoft recommends backing up important files, knowing where the BitLocker recovery key is, and creating a Windows recovery drive on a USB device. A manufacturer-provided recovery medium may also include device-specific drivers or apps. Follow the steps under recovery options in Microsoft’s Windows recovery guide. Recovery media and file backups solve different problems.
Mac security
Complete Setup Assistant and review the security controls available in your current macOS settings. The cited Apple setup guide covers account, accessibility and privacy setup, but does not establish a specific encryption configuration; consult current Apple guidance for your Mac and macOS version.

Finish the everyday setup
- Install only applications you need, using the platform app store or the software maker’s official site. Check what a trial or manufacturer utility does before removing it.
- Configure browser sync and your password manager if you use them, and enable multifactor authentication on important accounts where available.
- Set up device-finding options, notifications, privacy preferences and accessibility features to match your needs.
- For a managed laptop, leave organization-required apps and settings in place and ask IT before changing them.
