To email people automatically after they submit a Hostinger AI Builder manual-mode form, publish the site, connect it to Hostinger Reach, and trigger an active automation from the form’s generated segment or tag. Use a paid Reach 500 plan or higher, and test with the address type your workflow is designed to accept.
What happens after a visitor submits the form
Hostinger’s documented workflow has four systems working in sequence: the published AI Builder site receives the submission, Reach synchronizes the contact, the form title identifies a generated tag and segment, and an automation sends one or more emails. The workflow does not run from the AI Builder editor alone; the site must be connected to Reach and the automation must be active.
Hostinger describes these messages as follows: “Automated emails are messages sent automatically when specific conditions are met — without any manual effort.” In this setup, the condition is membership in the segment or tag created for the AI Builder form.
Requirements and decisions before you begin
- A published AI Builder manual-mode website. A form that exists only in an unpublished editor is not a usable live trigger.
- A paid Hostinger Reach 500 plan or higher. Hostinger states that automated emails are available on Reach 500 and higher plans.
- An AI Builder Contact Form or Subscription Form. Add one from Add Section in the AI Builder editor.
- A clear form title. Reach uses the title when it creates the form’s tag and segment, so a title such as “Download the pricing guide” is more useful than “Form 1.”
- A decision about repeat submissions. A new-contact workflow is appropriate for a one-time welcome or onboarding email. A workflow intended to react to every submission is better for recurring registrations, inquiries, bookings, or requests.
The AI Builder form fields documented as synchronized with Reach are Name, Surname, and Email. Plan your message around those fields; do not assume that an additional custom field will be available for personalization unless your current Hostinger interface explicitly shows it.

Step 1: Add and publish the AI Builder form
Choose the form type
- Open the website in the Hostinger AI Builder editor.
- Select Add Section.
- Choose Contact Form for inquiries, requests, or general contact.
- Choose Subscription Form when the visitor is subscribing to updates or a list.
Customize the form title and the fields shown to visitors. The title is operational metadata as well as visible copy: Reach uses it to create the corresponding tag and segment after the site is connected.
Use field labels that match the data you need
Keep the first-name data in the Name field if you want to address a subscriber personally. The documented synchronized fields are Name, Surname, and Email. A first-name personalization token can then be inserted in the email editor when that option is available.
Publish every change
Save the form and update or publish the website. Editing a form in the builder without updating the live site leaves the published version unchanged. If you later rename the form, update the site again and check which tag or segment Reach associates with the revised title.
Step 2: Connect the published site to Hostinger Reach
- Open the Reach dashboard.
- Go to Integrations → AI Builder.
- Select the website URL that contains the form.
- Click Connect Site.
Hostinger says that both previously collected submissions and future submissions synchronize after the connection. The integration also creates a unique tag and a pre-created segment for each form title. Those objects are what you use to target the automation.
What to expect immediately after connecting
A site can be connected before Reach displays a contact. If the audience is empty, submit the live or preview form once with a real email address, then check Audience → Contacts. The test submission gives Reach an actual record to synchronize and makes the form-generated segment easier to identify.

Do not create a second, similarly named segment before checking the automatically created one. Selecting the generated object is important because it carries the association with the AI Builder form.
Step 3: Select the trigger that matches your form
This is the most important distinction in the setup. Hostinger’s newer automation documentation says the dedicated Contact submits Reach form trigger is for forms created directly inside Reach. An AI Builder manual-mode form is a different source and should use the segment or tag that Reach generated for that form.

| Form source | Correct entry condition | What to select |
|---|---|---|
| AI Builder manual-mode Contact Form or Subscription Form | Contact enters the generated audience group | The form’s automatically created segment or tag |
| Form created directly in Reach | Reach-native form submission | Contact submits Reach form |
Choosing the Reach-native trigger for an AI Builder form can leave the workflow waiting for an event that this form never emits. If the AI Builder segment is available, use that segment as the trigger; if your Reach screen presents the generated tag as the usable condition, select the matching tag instead.
Choose between new contacts and every submission
| Entry rule | Best use | Test address | Typical risk |
|---|---|---|---|
| New contacts only | One-time welcome, onboarding, or first-download message | An address that is not already in Reach | An existing subscriber appears to submit successfully but does not enter the workflow |
| Every submission | Repeated inquiries, registrations, bookings, or recurring requests | Test with an existing contact as well as a new one | A repeat submitter receives a message each time, which may be undesirable for a one-time welcome |
Read the entry-rule label carefully before activation. “New contacts only” is about the contact’s status in Reach, not whether the person has used this particular form before.
Step 4: Build the automated email
- In Reach, create a new automation.
- Choose the segment or tag generated from the AI Builder form as the entry trigger.
- Add an email action after the trigger.
- Write the message and configure the sender, subject, and body in the available editor.
- Insert the first name as a personalization field if the form collects it and the editor offers that field.
- Add delays, conditions, or additional email actions if you want a sequence rather than one message.
- Review the entry rule and recipient group, then save the workflow.
Single-message patterns
A single email is usually enough when the visitor needs an immediate acknowledgment. Suitable purposes include confirming that an inquiry was received, welcoming a new subscriber, thanking someone for registering, or delivering instructions for a requested resource. State what happens next and provide a useful reply address or support route where appropriate.

Multi-email sequences
Reach allows a single automation to be expanded with delays and additional messages. For example, a subscription sequence can send a welcome message immediately, provide a related explanation after a delay, and then ask whether the subscriber still wants updates. Keep each step tied to the original form purpose and use conditions when a later message should not be sent to everyone.
Adding a delay does not change the form integration. The contact still enters through the generated segment or tag; the delay only controls when a subsequent action runs.
Personalization and data limits
Use the Name field for a salutation only when it is likely to contain a usable first name. If a visitor leaves that field blank or enters a non-name value, a generic greeting is safer than forcing a personalization token. Because Hostinger documents Name, Surname, and Email as the synchronized fields, avoid promising that an unlisted field will be available in the automation.
Step 5: Activate before testing
Save a workflow that is still a draft and it will not send. Activate the automation first, then perform the test submission.
- Confirm that the automation status is active.
- Open the published site or its preview URL.
- Submit the form with a real address and the fields you want to test.
- Open Audience → Contacts in Reach and verify that the contact appears.
- Check that the contact receives the generated segment or tag.
- Confirm that the automation records the contact’s entry and sends the email.
- Check the recipient mailbox, including spam or promotional folders, and inspect the message for the correct name, links, and reply address.
Use a new address when the automation is configured for new contacts only. Then repeat the test with an existing Reach contact if the workflow is meant to run on every submission. Testing only with an existing contact can falsely suggest that a new-contact workflow is broken; testing only with a new contact does not prove that repeat submissions are handled.

Why an automation may not send
The site is not connected
If the AI Builder URL is absent under Integrations → AI Builder, select it and click Connect Site. The form must be on the published site represented by that URL. Connecting a different site does not associate its submissions with this form.
No contact appears in Reach
Submit the live or preview form once with a real email address, wait for synchronization, and refresh Audience → Contacts. Check that the site was updated after the form was added and that the email field contains a valid address. A form that was edited but not republished may not match the version Reach is receiving.
The automation uses the wrong trigger
For an AI Builder manual-mode form, replace Contact submits Reach form with the generated segment or tag condition. That dedicated trigger is documented for Reach-native forms, not for the AI Builder manual-mode integration.
The segment or tag is missing
Verify that the site connection completed and that the form has a descriptive title. Submit a test entry so Reach has a submission from which to create or populate the audience object. If the form title was changed, look for the object associated with the current published title rather than assuming the old name remains the active one.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsA test contact does not re-enter
Check the entry rule. A new-contact-only workflow deliberately excludes an address already stored in Reach. To validate that rule, use an address that has never appeared in the Reach audience. To test repeat behavior, switch to the every-submission option only if repeated messages are actually intended.

The email arrives without a name
Confirm that the form submission populated the Name field and that the email uses the correct personalization field. Test once with a clearly entered name and once with the field blank to see how the editor handles an empty value. A generic fallback is preferable to displaying an empty salutation.
The message is sent more than once
Review whether the workflow is set to run on every submission and whether the same contact submitted repeatedly during testing. For a one-time welcome, use the new-contact-only rule. If the business requirement is recurring confirmation, retain every-submission behavior and make the message explicit about the event that caused it.
Practical workflow examples
One-time newsletter welcome
Use a Subscription Form, collect Name and Email, target its generated segment, and choose new contacts only. Send one immediate welcome email. This prevents an existing subscriber from receiving the onboarding message again simply because they revisited the form.

Contact inquiry acknowledgment
Use a Contact Form with a clear title such as “Sales inquiry.” Target the generated segment and choose the entry rule that matches your process. The first email can acknowledge receipt and explain when a human response is expected. If the same person may submit separate inquiries, every-submission behavior may be appropriate.
Resource-request sequence
Create a form titled for the resource, send the requested instructions immediately, then add a delayed educational message. Use a condition or an appropriate audience rule so that the sequence does not become an unwanted series for people who submit repeatedly.
Operational checklist
- Is the AI Builder site published and updated after the last form edit?
- Is the Reach plan Reach 500 or higher?
- Does the form title clearly identify the audience or request?
- Are the expected synchronized fields limited to Name, Surname, and Email?
- Is the correct site URL connected under Integrations → AI Builder?
- Are you using the generated segment or tag rather than the Reach-native form trigger?
- Does the new-contact versus every-submission rule match the business purpose?
- Is the automation active before you submit the test?
- Have you tested both a new address and an existing contact when repeat behavior matters?
- Have you checked the contact record, segment/tag membership, automation history, and recipient mailbox?
What the documented setup does not establish
Hostinger’s setup documentation does not publish an independent delivery-time benchmark or performance statistic for these automations. Delivery can therefore not be promised as an exact number of seconds or minutes. The documented plan threshold is Reach 500 and higher; confirm the current plan details in your Hostinger account before upgrading because plan availability and labels can change.
Once the published site is connected, the correct generated audience object is selected, and the active workflow is tested with the appropriate contact type, Hostinger Reach can send a confirmation, welcome, resource, or follow-up series automatically after an AI Builder manual-mode form submission.
