A saved dashboard PDF is usually a static snapshot—not a substitute for live filters or drill-downs—and clickable links are not guaranteed. Open the exported file and test the links your client needs before sending it.
How to save a dashboard as a PDF
- Set the client’s view. Apply the intended filters and date range, open the right page or sheet, and wait for charts to finish rendering. The PDF captures the current view, not future changes.
- Try the dashboard’s export or print command. Look for Export, Download PDF, or Print Preview in the dashboard menu. Native export controls and results vary by service.
- If needed, print to PDF from the browser. Open the dashboard’s print preview if it provides one, then open the browser print dialog and select its built-in Save as PDF or Save to PDF destination. Browser and operating-system labels vary.
- Choose a readable layout. For a wide dashboard, try landscape orientation. Review paper size, scaling, margins, page breaks, and background graphics in the print or export options.
- Inspect the saved file. Check that the expected pages and sheets are present, charts and legends are visible, titles and columns are not cut off, and filters reflect the intended reporting period.
- Test client-facing links. Open the PDF in a viewer and click each important link, including links in chart labels or text. If a link does not work, include its readable URL in your accompanying email or notes.
- Send it with context. Use a clear filename and state the reporting period or export date. If the client needs live data or interaction, provide an authorized dashboard link as well and confirm the recipient can access it.
Will the links stay clickable?
Do not assume so. A Mozilla Support community answer says Firefox’s built-in Save to PDF and Edge’s Save as PDF embed live links, but Mozilla’s issue tracker also documents link-behavior caveats. A dashboard’s own PDF export may use a different rendering path from browser printing. The reliable check is the actual PDF you plan to send: open it in a PDF viewer and test every link the client is expected to use.
What can go wrong with the exported layout?
Export behavior depends on the dashboard product and route. Adobe Workfront warns that webpage formatting can be affected when printed; columns may be cut off and some dashboard information may be omitted. Salesforce CRM Analytics says its print flow captures only the visible portion of a scrollable widget and prints only the currently open dashboard page. ClickUp’s PDF layout places cards in two columns and excludes embedded cards.
- Look for clipped columns, titles, legends, or chart edges; try landscape, scaling, or a different paper size.
- Check for blank or incomplete visualizations and confirm that the filter selections and date range are correct.
- Verify every page and sheet. Some workflows export one sheet at a time, and a multi-page or multi-sheet dashboard may not be included in one file.
- If a browser printout omits content, try the service’s native PDF export or print preview, if available.

PDF or live dashboard link?
Choose a PDF when the client needs a fixed record of what the dashboard showed at export time. Choose or add a live link when the client needs filters, drill-downs, or updated data. A live link only works if the recipient has appropriate access: Elastic says a Kibana recipient needs access to the instance unless anonymous access is configured. QuickSight notes that dashboard users can also see the associated data, so grant access deliberately.

Before choosing an export route, check whether it preserves the links you need, includes all pages and scrollable content, provides adequate layout controls, captures the intended filters and reporting period, and has plan, role, or privilege requirements. Verify these details in the platform you use.

Can I send only the PDF if the client needs current figures?
No—the PDF reflects the view at export time. Share an authorized live link too if the client needs updated data.
