If visitors only need to watch the recording on the booth screen, play an approved video file locally; you do not need to retransmit it through YouTube Live. Use a YouTube Live replay when you need a shareable watch page or remote audience. For that setup, create a stream in YouTube Studio, connect an encoder with the stream URL and key, test it on the booth’s actual network and display, then start and supervise the broadcast. Plan around YouTube’s 12-hour archive warning if you need a complete recording.

Choose local playback or YouTube Live

Start with the audience and outcome, not the equipment. A display-connected device playing a video file is the simpler option when the audience is physically at the booth and there is no need for a YouTube watch page, chat, or remote viewers. Retransmitting through YouTube Live adds an encoder feed, reliable uplink, stream management, and an operator who can respond to problems.

Before choosing either route, confirm that the exhibitor has permission to show the video and rebroadcast all included audio. YouTube’s setup guidance does not establish the rights for a particular recording; get clearance from the rights owner.

Set up the YouTube Live replay

  1. Prepare the replay and playback source. Have the approved video ready on the device or system that will feed the encoder. Check that the intended playback route can run for the planned booth hours.
  2. Create or schedule a stream in YouTube Studio. Open the Live Control Room and create a new stream or schedule one. Enter a clear title and description, then choose Public, Unlisted, or Private visibility. Unlisted can suit a link shared with selected people, but anyone with access to the link may be able to view it. YouTube: Get started with live streaming.
  3. Connect an encoder. Copy the stream URL and stream key shown in YouTube Studio into the corresponding encoder fields. YouTube describes the key as functioning like the stream’s password and address: do not share it publicly. If it is exposed, reset it in Live Control Room and update the encoder. YouTube supports encoder workflows for production uses such as conferences. YouTube: Choose live encoder settings, bitrates, and resolutions.
  4. Match quality to the venue connection. YouTube’s published recommendation for H.264 at 1080p30 is 5 Mbps. This is a recommended bitrate, not a guarantee that the booth’s uplink can sustain it. Test upload capacity on the actual network, leave headroom, and choose settings the connection can maintain. YouTube recommends RTMPS. Consult its current codec, resolution, and frame-rate guidance when configuring the encoder: YouTube: Live encoder settings.
  5. Test before opening. Send footage with motion and audio similar to the real loop. Confirm the preview appears in Live Control Room, check sound at the booth display, inspect the crop and levels, and watch stream health. YouTube’s guidance says: “Make sure to test before you start your live stream. Tests should include audio and movement in the video similar to what you’ll be doing in the stream.” YouTube live encoder settings.
  6. Start and supervise the broadcast. Start playback from the source and send it through the encoder. When the preview is ready, go live from Live Control Room. During the event, monitor stream health as well as the local video source: a file can keep playing at the booth even if the network uplink has failed.
  7. End the stream and inspect the archive. End the broadcast in YouTube Studio, stop the encoder feed, and check the archive’s visibility and playback. YouTube says live archives are uploaded by default and can be managed in Studio. YouTube: Archive live streams.

Plan for the 12-hour archive limit and DVR

YouTube warns that streams longer than 12 hours may not be captured at all; streams under 12 hours can be automatically archived. The 12-hour threshold is YouTube’s stated platform guidance, and the Help page does not display a publication year. If a complete archive matters for a booth open longer than that, keep a local recording backup and plan shorter sessions that you intentionally end. Do not assume one continuous all-day or multi-day broadcast will produce a complete archive. YouTube live streaming guidance.

DVR controls whether viewers can pause and rewind during the live stream. With DVR enabled, viewers can pause, rewind, and continue, although rewind can be limited or unavailable on very long streams and viewers cannot seek to before the stream began. With DVR disabled, viewers cannot seek backward during the live broadcast, but they can still watch the complete recording after an archive is available. Choose based on whether booth visitors should control playback or simply see the current point in the loop. YouTube: DVR on live streams.

Check the booth display and venue setup

The right connections depend on whether the screen is a smart TV, monitor, projector, or display driven by a computer. Confirm with the venue or AV provider how the screen will play YouTube or receive the local source, and check network access, sound output, power, and required cabling. Test with the actual display and playback equipment before the booth opens.

A dedicated hardware encoder is an option for a production setup, not a requirement for every booth. If considering one, verify compatibility with the existing source and display, supported input formats and output quality, recovery features, and the setup burden using the manufacturer’s current documentation. An existing suitable computer-and-encoder workflow may be enough; ask the venue’s AV provider about rental or support if the booth lacks the necessary equipment.

Troubleshoot common failures

  • No preview in Live Control Room: Check that the encoder is sending to the stream URL and that the correct stream key is entered. Confirm the source is playing and the encoder is connected; reset an exposed key in Live Control Room and replace it in the encoder.
  • Warnings or unstable stream health: Test upload capacity on the booth network, reduce settings to a quality it can sustain, and retest with representative motion and sound. A bitrate recommendation does not guarantee venue capacity.
  • Video plays locally but the YouTube page stops: Check both the encoder feed and the venue uplink. Local playback alone does not confirm that the stream is reaching YouTube.
  • Visitors cannot pause or rewind: Review the stream’s DVR setting. For long broadcasts, rewind may be limited even when DVR is enabled.
  • The archive is missing or incomplete: Check the stream duration and archive status in YouTube Studio. A broadcast over 12 hours may not be captured; use a local backup when archive completeness is important.
  • The wrong people can see the stream: Review visibility in Live Control Room and the archive’s visibility in Studio. Unlisted is link-accessible, not restricted to named invitees.
