Sign in to the exact Google, Microsoft, or Apple account that held the file, then check its online Trash, Recycle Bin, or Recently Deleted folder and restore it if it is still there. The recovery window depends on the provider and account type; permanent deletion may not be reversible.
First, check the right account and deleted-items folder
- Open the cloud service in a browser and confirm you are signed in to the account that stored the file. Work and personal accounts can be easy to confuse.
- Search the cloud service for the file by name, then inspect its Trash, Recycle Bin, or Recently Deleted area.
- If the file appears, select it and choose the service’s restore or recover command. The file usually returns to its original location when that location is still available.
- If it is not listed, check whether it was moved, never synced, shared by someone else, or made inaccessible by a permission change. Then try the provider-specific options below.
Do not assume your computer’s Recycle Bin or a phone’s Recently Deleted folder contains a cloud-only file. A locally deleted copy may be there, but cloud deletion can sync across devices.
Recovery windows at a glance
| Service and account | Standard deleted-items window | What can change the outcome |
|---|---|---|
| Google Drive | 30 days, according to Google Drive Help | Emptying Trash deletes files immediately; some permanently deleted files may qualify for recovery, but Google does not guarantee recovery for every file. |
| OneDrive personal | 30 days, according to Microsoft | Files permanently deleted from the Recycle Bin cannot be restored through the ordinary recycle-bin process. |
| OneDrive work or school | 93 days, according to Microsoft, unless an administrator changed the retention setting | Organization settings and administrator recovery options may affect availability. |
| iCloud Drive | 30 days, according to Apple | Apple says files permanently removed cannot be restored. |
These are provider-stated windows, not a guarantee that a particular file can be recovered for the full period. Recover promptly, especially with a work or school account whose retention settings may be organization-managed.
Restore a file in Google Drive
- Open Google Drive and open Trash.
- Select or right-click the file and choose Restore.
Google says files in Drive Trash remain there for 30 days; after that, they are deleted forever. Emptying Trash deletes them forever immediately. Google also notes that some files deleted forever may meet conditions for recovery, but that is not a promise that every permanently deleted file can be retrieved. Follow Google’s recovery instructions if the file is no longer in Trash.

If the file is missing rather than deleted
Search Drive and check the file’s activity and sharing context. A file may appear to be gone if someone changed its permissions, moved it into a folder you cannot access, or removed your access to a shared drive. Google also describes searching for files that have lost their original folder with is:unorganized. See Google’s missing-file troubleshooting.
Restore a file in OneDrive
- Sign in to the correct account in OneDrive online and open Recycle bin.
- Select the file or folder and choose Restore.
- If you have a Microsoft 365 subscription and need to undo broader changes, consider Restore your OneDrive to roll back file and folder activity to a point in the last 30 days. Items created after the selected restore point are sent to the Recycle Bin.
Microsoft gives personal accounts 30 days and work or school accounts 93 days to restore deleted files and folders, unless an administrator changed the retention setting. Microsoft says items permanently deleted from the OneDrive Recycle Bin cannot be restored. See Microsoft’s OneDrive recovery guide for the current steps.

If you cannot find the file
Search OneDrive online, check Recycle Bin and Personal Vault, and verify which account is open. If the file may never have synced, check the local device. A local computer Recycle Bin or Mac Trash may help with a locally deleted file, but not with a cloud-only file. For a work or school account, ask your administrator to investigate when normal recovery does not work. Microsoft’s missing-file guide covers these checks.
Recover a file from iCloud Drive
On iPhone or iPad
- Open Files and tap Browse.
- Open Recently Deleted, select the file, and tap Recover.
On iCloud.com
- Open iCloud Drive and select Recently Deleted.
- Select the file and choose Recover. Apple also offers Restore Files on its Data Recovery page for eligible files.
Apple says deleted iCloud Drive files can be recovered from Recently Deleted for 30 days; permanently removed files cannot be restored. During a Data Recovery process, avoid browsing, editing, or deleting iCloud Drive data in another window because those actions can interrupt the process. Follow Apple’s iCloud Drive missing-file guidance or its iCloud.com recovery guide.

What to do if the file is permanently deleted
- Check the provider’s own recovery option. Google says some permanently deleted Drive files may meet recovery conditions; this is conditional, not guaranteed.
- For OneDrive, check whether Restore your OneDrive is available. Microsoft 365 subscribers can roll back activity to a point in the last 30 days, but this does not restore items permanently deleted from the Recycle Bin.
- For iCloud Drive, use Apple’s Data Recovery page for eligible files. Apple says permanently removed files cannot be restored.
- For work or school accounts, contact the administrator promptly. Retention and recovery controls may be managed by the organization.
Do not assume third-party recovery software or a local recovery tool can retrieve a file that existed only in the cloud and has been purged. Those tools cannot restore a cloud copy simply because it was once synced. Recovery is most plausible while the provider still retains the item or an eligible rollback or administrative option exists.

Prevent the next loss
- Use a separate backup for important files; syncing mirrors changes and deletions, so it is not the same as an independent backup.
- For critical work files, confirm the backup actually contains a restorable copy rather than assuming sync completed.
- When a file disappears, pause unnecessary edits and deletions until you have checked the online account and recovery options.
