Record the exact URL, page title, and UTC capture time with every file. No single format preserves text, layout, dynamic behavior, and public verifiability equally well.
Choose the record before you capture
Start by deciding what a later reader must be able to verify. A legal or compliance file may need an unaltered, complete record and documented handling. A researcher may mainly need searchable text and a citation. A designer may need the exact visual state, including a banner, chart, or warning that could disappear.

For high-stakes work, use a combination: PDF (or PDF/A), a screenshot, and a Wayback URL, plus a local HTML or text copy when source text matters.
Record the page metadata first
- Copy the complete URL, including its path and query string. Do not rely on a shortened link.
- Write down the page title exactly as displayed.
- Record the date and time in UTC, not only your local clock. The timestamp in a Wayback URL identifies the UTC capture moment.
- Note your identity or team, the browser and version if relevant, and where the files will be stored.
- Before saving, note whether the page requires a login, geolocation, a subscription, or an interaction such as clicking “Load more.”
These notes let another person distinguish what you viewed from a later revision and make it possible to audit the capture.
Save a local copy with the browser
Save complete HTML or a text export
- Open the page and wait until the content you need has loaded. Expand relevant accordions or “Load more” sections, and note anything that remains unavailable.
- Use your browser’s Save Page As command. Choose the complete web-page option when you want an HTML file and an accompanying assets folder. Firefox also provides a text-file option for saving the original page as text.
- Give the file a stable name containing the capture date, for example
article-2026-09-30.html. Keep the assets folder beside it and do not edit either file. - Open the saved file while offline. Check that headings, images, and links are present, and record any missing resources or scripts.
A local copy is useful evidence, but it is not automatically a perfect reconstruction. Modern pages may assemble content after load, fetch data from APIs, or require scripts that cannot run offline.

Use MHTML when your browser offers it
MHTML packages a page and many resources into one file, which is easier to move than an HTML file plus a folder. It can still omit cross-origin resources, videos, login-only material, or content created after the package operation. Validate the file on a second machine if the record is important.
Print the page to PDF
Your browser can likely “print” the page to a PDF. This is the quickest general-purpose record for sharing and citation.
- Open the browser print dialog (usually Print from the page menu or
Ctrl/Cmd+P). - Select Save as PDF or the equivalent PDF printer.
- Check the preview page by page. Look for clipped columns, missing background colors, blank pages, collapsed menus, and content that appears only after scrolling.
- Enable headers and footers if the dialog can include the page title, URL, and date. If those options are unavailable, put the metadata in a separate cover note or filename.
- Save the PDF with the UTC date and keep the original URL and title in your record log.
- Open the resulting file and search for distinctive text. A PDF made from an image or canvas may need OCR and should not be treated as fully searchable without checking.
For an institutional repository, convert or print to PDF/A when your preservation workflow supports it, then submit the PDF/A according to that repository’s rules. PDF/A improves long-term self-containment but does not magically capture video, forms, or content that was never rendered.

- Set the browser window, zoom, and viewport to the state you need to document. If a responsive layout matters, record the viewport dimensions.
- Dismiss or retain cookie notices, popups, chat panels, and other overlays deliberately. A visible notice can itself be the evidence.
- Capture the viewport or the full page using the browser’s screenshot command or operating-system tool.
- Check the image at full resolution for unreadable text, fixed headers covering content, and lazy-loaded images that never appeared.
- Store the image as PNG for text and diagrams or JPEG when a smaller photographic file is acceptable. Keep the original file unchanged.
A screenshot proves what was visible, not everything the page contained. Pair it with the URL, UTC time, and a PDF or HTML copy when readers may need searchable text or links. Screen-recording tools can show interaction, but they still may not preserve the underlying page content.

Create a public Wayback copy
- Open Internet Archive’s Save Page Now service.
- Submit the exact page URL and start the capture.
- Wait for the result, then copy the timestamped archive URL into your notes and citation.
- Open the archived page in a private window or another browser. Check that text, images, styles, and the relevant page state replay correctly.
Save Page Now records one page at a time, including images and CSS; it does not automatically archive the page’s outlinks. Capture can fail or be incomplete when a site blocks crawlers, uses restrictive robots.txt, has SSL problems, or depends on dynamic interactions. A login page, personalized result, form submission, or content loaded only after a click may therefore require a local artifact and a written description in addition to the Wayback link.
Use the archived version when sharing the version you actually consulted matters. Cite the timestamped URL rather than implying that the live page still looks the same.
Preserve integrity and chain of custody
For formal records, integrity means the web-content record is complete and unaltered. Keep the original downloaded files read-only where practical, and create working copies for annotation. Maintain a log containing:
- Exact URL, page title, and UTC capture time.
- File names, formats, and storage location.
- Who captured, transferred, received, and maintained the files.
- Browser, device, or capture service used when it affects the result.
- Missing images, audio, video, forms, login-only areas, scripts, or other dynamic elements.
- Any later conversion, OCR, redaction, or export, with the date and operator.
Do not overwrite the original. If your organization uses checksums, calculate one immediately and store it in the log. Some formats cannot be captured during automated harvesting or PDF creation and must be acquired manually; explicitly document those gaps instead of presenting the record as complete.

Use two or more formats when the stakes are high
For a citation or research note
Keep a PDF, the exact URL and UTC time, and a Wayback link. Add a screenshot if the claim depends on a chart, warning, or layout that may change.
For a legal, regulatory, or archival file
Use PDF/A where your repository requires it, retain the original HTML/MHTML or text, take a screenshot of the decisive state, and preserve the Wayback result when available. Record every handling step and every known omission.
For a design or accessibility review
Capture screenshots at the relevant viewport sizes, save the HTML or PDF for text, and note zoom, theme, location, consent state, and any interaction used. A single full-page image can hide responsive or keyboard-only behavior.

The PDF is blank or missing content
Wait for the page to finish loading, scroll through lazy sections, expand required controls, and print again. Disable reader mode and check the print preview. If a canvas or protected viewer still fails, keep a screenshot and local HTML, and document the limitation.
The saved HTML works online but not offline
Use the complete-page option or MHTML, retain the assets folder, and test without a network connection. External scripts, cross-origin resources, and server-generated data may never be portable; keep a PDF or screenshot as the visual fallback.

The screenshot cuts off content
Use a full-page capture, increase the viewport, or capture the relevant element separately. Verify that sticky headers and lazy images did not obscure or omit material.
The Wayback capture is incomplete or unavailable
Retry with the canonical URL, check for crawler or SSL errors, and capture after the page has fully rendered. If the page needs login or interaction, rely on your local artifacts and explain what the archive could not preserve.

A reviewer disputes the date or version
Provide the UTC timestamp, original URL, file metadata, capture log, and timestamped Wayback URL. Do not silently replace an earlier file; make a new capture and link the two records.
Final recording checklist
- Exact URL and page title recorded.
- UTC date and time recorded.
- At least one local artifact saved unchanged.
- PDF preview checked; PDF/A used where required.
- Screenshot taken when visible state matters.
- Wayback URL created and replayed when a public reference is needed.
- Missing dynamic or media content documented.
- Storage, handlers, and any conversions logged.
Frequently Asked Questions
Can I record a page that requires a login?
Capture it while authorized, but treat the result as a local record: Wayback generally cannot preserve private or session-specific content. Record the account or access conditions without including credentials.
Should I cite the live URL or the archive URL?
Cite the timestamped archive URL when the consulted version must remain identifiable, and include the live URL as the original location.
What should I do with videos or audio?
Note that they were present, save them separately only when you have permission and a suitable retention process, and do not claim that a PDF or screenshot preserves their content.
