To protect your privacy when using Gemini on a Chromebook, first check whether you’re using a personal Google account, a work or school account, or Gemini in Chrome under an organization-managed account. For a personal Gemini account, review Gemini Apps Activity and adjust Keep Activity or auto-delete. For a managed account, your administrator may control those settings. These protections depend on your account and the Gemini service—not the Chromebook’s hardware privacy settings.
Start by identifying your account and Gemini service
The same Chromebook can access Gemini under different accounts and policies. Check the profile signed in to Chrome, then confirm the account shown in Gemini and the service you’re using:
- Personal Gemini Apps: Gemini is signed in with your personal Google account. You can manage its activity settings.
- Work or school Gemini Apps: Gemini is signed in with an organization-managed Google Account. Your Workspace administrator may control activity and retention.
- Gemini in Chrome under enterprise management: Google’s stated protections for this Chrome experience require signing in to Chrome with a managed Google Account. They do not automatically apply to a personal Gmail session.
Google’s Chrome Enterprise and Education privacy guidance says users must sign in to Chrome with their managed account—not a personal consumer Gmail account—to receive the described Gemini in Chrome protections. That is Google’s policy statement, not an independent security test.
Manage activity for a personal Gemini account
Review, delete, or limit saved activity
Open Gemini settings and choose Gemini Apps Activity, or go to Google My Activity for Gemini. Review saved chats and delete individual items or activity as needed. With Keep Activity on, Google says the default auto-delete period for personal Gemini Apps activity is 18 months; you can choose 3 or 36 months, keep activity indefinitely, or delete it manually. Understand what Keep Activity off does—and does not do
Turning Keep Activity off prevents future chats from being saved to Gemini Apps Activity and used for model improvement, subject to Google’s stated exceptions. It does not stop the processing needed to answer prompts or protect Google, users, and the public. Google says those chats are retained for 72 hours for those purposes.
Google also says chats reviewed by human reviewers and related data may remain for up to three years after being disconnected from the account. Deleting activity therefore does not necessarily remove data already separated from the account for review. Google’s notice cautions: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.”

Be careful with sensitive information and connected services
Avoid entering confidential work or school material, health or financial details, passwords, or identifying information unless you understand the applicable account and organization policies. Activity settings are not a substitute for deciding what information to share.
Review which connected apps and features you have enabled. Connected services can have their own data handling and controls, and deleting Gemini activity does not necessarily delete information saved in another Google service. Other settings, including Web & App Activity or Location History, may also continue to save information elsewhere in your account.

For work or school accounts, check with your administrator
For Gemini Apps used with a managed work or school account, activity is on by default and the Workspace administrator manages the setting. Google’s work and school account guidance describes a default 18-month history retention period; administrators can configure 3, 18, or 36 months, or turn history off. The support page does not show a publication date for that default, so confirm your organization’s current configuration with its administrator.
Users may not be able to change or see the organization’s retention settings. Clearing history inside a Workspace app does not clear Gemini Apps Activity. Ask your administrator which Gemini service is enabled, how long activity is retained, and which organization policies apply rather than assuming personal-account controls are available.

Education accounts may have additional stated protections
Google says covered Gemini use in Google Workspace for Education has protections against human review and use of chats and uploads to improve models. These statements apply to the covered managed education environment, not automatically to any account used on a school-owned Chromebook. Check that you are signed in to the organization-managed account and using the covered service. See Google’s Gemini for Google Workspace FAQ for Education.
Use this privacy check before a Gemini session
- Check the signed-in account: In Chrome, inspect the profile; in Gemini, confirm the displayed account. Determine whether it is personal, work-managed, or school-managed.
- Identify the Gemini surface: Distinguish Gemini Apps from Gemini in Chrome. Enterprise Chrome assurances require a managed Google Account in Chrome.
- If it’s personal Gemini Apps, review activity controls: Open Gemini settings or Google My Activity, inspect Gemini Apps Activity, then delete saved items, turn Keep Activity off, or choose a shorter auto-delete period according to your needs.
- Check connected apps and organization rules: Remember that other Google services may retain data separately. For managed accounts, ask the administrator about retention and applicable policies.
- Keep confidential information out unless you have approval: This is especially important for work, school, health, financial, and identifying information.
A device privacy screen or webcam cover can address shoulder-surfing or camera exposure, but it does not control Gemini chat retention, account activity, human review, or model-improvement use.
