Move business and client records into the employer’s approved work systems, retrieve personal files only through an approved process, and ask HR or IT about anything mixed or unclear. Start early: work accounts may be closed, and access rules depend on your employer, device, and location.
Start by confirming your employer’s offboarding rules
Ask your manager or HR when equipment and access must be returned, who will take custody of your records, and how you may retrieve personal files from work systems. Ask whether IT needs to supervise an export or cleanup. If you need copies of employment information—such as pay or benefits records—ask HR or the privacy contact how to request them before your account closes.
Rules about work product, records retention, access to personnel information, and what you may take vary by jurisdiction, employment terms, device ownership, and company policy. Don’t assume that a file is yours to export simply because you created it, or that you will be able to sign in after your final day.
Inventory where information is stored before moving anything
Make a list of likely locations, but don’t start copying files while you review them. The Government of Canada’s Employee Departure or Transfer checklist covers electronic and physical records, email, devices, and removable media.

- Work email, archive folders, and messages
- Local computer folders and network or shared drives
- OneDrive or another employer-managed cloud account
- Removable drives and other storage media
- Work and personal phones used for work
- Paper files, notebooks, and other physical records
Classify items as business-value, transitory, personal, or uncertain. If a file or message contains both personal and work information, flag it for review rather than treating the whole item as personal.
Hand over business records inside approved work systems
Move business-value documents, emails, messages, datasets, photographs, and notes to the employer’s approved repository—not to personal email, cloud storage, or removable media. Name the appropriate manager or custodian, confirm they have access, and leave enough context for them to find and continue the work. The Canada checklist advises departing employees to transfer business-value information, identify an appropriate trustee, explain what they are leaving, and obtain approval for anything they want to take.

For anything whose status is uncertain, ask your manager, records-management contact, or IT before moving or deleting it. The Canadian guidance states: “Obtain approval for all information that you want to take with you.” That is official guidance for its context, not a universal statement of law.
Retrieve personal files through an approved route
Identify personal material stored in work locations, such as family photos, a personal résumé, or personal contact information. Ask how to retrieve it, especially if it is in a managed account or on a company-owned device. Don’t bulk-export a folder or bypass controls by forwarding work email, uploading files to a personal cloud account, or using a removable drive.

A mixed email or document may include personal information alongside other people’s or the employer’s information. Ask HR or the privacy contact to review it or advise on redaction. In the UK, the Information Commissioner’s Office explains that a worker’s access right relates to their personal information and that context can matter for email; its employer guidance says it is under review following the Data (Use and Access) Act. Request employment records before account closure
If you need copies of personal employment information held by your employer, make a request through HR or the privacy contact while you still have a reliable way to communicate. The UK Government says an employee can ask for a copy of information an employer holds about them and gives a 30-day response period. That is a UK-specific example, not a deadline that applies everywhere. See Personal data an employer can keep about an employee and check the process that applies where you work.

Plan for work-account access to end
Ask IT when sign-in will be blocked, whether mail or files need a handover, and whether a retention hold applies. Do not rely on being able to retrieve personal files after departure. Microsoft’s administrator guidance says an organization can access, back up, and choose whether to grant another employee access to a former employee’s OneDrive and Outlook data. It also describes a default 30-day access period for a deleted user’s OneDrive; administrators’ configuration and retention rules can change what happens. The OneDrive period is not a general grace period for departing employees. Microsoft’s broader former-employee offboarding overview covers administrator actions such as blocking access, handling mailbox content and mobile devices, and transferring OneDrive or Outlook access. Those are employer-administered procedures, not steps for an employee to perform by exporting company data.

Coordinate cleanup on a personally owned device
If you used your own phone or computer for work, ask IT how it will remove work access and organization-specific data while preserving your personal material. Clarify who will perform the cleanup, what will be removed, and whether your consent is needed. Canadian Centre for Cyber Security guidance recommends selective removal where possible and says not to perform a full wipe without the user’s consent. Its BYOD guidance is specific to its national context; device-management capabilities and legal expectations can differ.

Use a final-day handover checklist
- Confirm the deadline for returning devices and the expected access cutoff with your manager or IT.
- Inventory work and personal storage locations without moving files.
- Transfer business records to the approved repository and confirm the next custodian can access them.
- Get instructions for retrieving personal files and request any employment records you need.
- Agree with IT on work-account closure and, for a personal device, selective removal of work access and data.
- Before your last day, confirm with your manager or IT that the handover and approved cleanup are complete.
These steps are a practical workflow, not a universal legal rule. Follow your employer’s actual process and get a decision on uncertain material before copying or deleting it.
