Check the portrait’s pixel dimensions, preview the crop at your intended print size, then divide the cropped pixel width and height by the print’s width and height in inches. That gives you the effective pixels per inch (PPI). For a photo likely to be viewed up close, 300 PPI is a useful planning target—not a universal minimum or a guarantee of print quality.
1. Choose the print size and locate the original file
Start with the physical size you need, such as 5 × 7 or 8 × 10 inches. If the school, frame, or print provider specifies a size or other requirements, follow those rather than assuming there is one standard school-portrait size.
Find the dimensions of the original or highest-resolution portrait file, in pixels. A screenshot or copy saved through a messaging app or cloud service may be compressed and have fewer pixels than the original. Do not judge print suitability from how sharp the image looks on a screen.
In Adobe Photoshop, the image’s pixel dimensions are distinct from its print resolution: PPI describes how many pixels are assigned to each inch on paper. Changing the PPI value without resampling changes the mapped print size, not the amount of image data. Resampling changes the pixel dimensions. Adobe explains image size and resolution.

2. Check the crop and aspect ratio
A portrait and a print may have different proportions. To fill the paper, the printer or app may crop the edges; to preserve the full image, it may leave borders. These are framing choices, separate from sharpness. Preview the image using the intended print shape before ordering or printing. Keep the face, head and shoulders, and any important backdrop or lettering inside the final frame.
Use the pixel dimensions after the planned crop for your resolution calculation. Cropping removes image area, so the uncropped dimensions can overstate the pixels available for the finished print.

3. Calculate effective PPI at the final print size
Divide each cropped pixel dimension by its corresponding print dimension in inches:
- Effective horizontal PPI: cropped pixel width ÷ print width in inches.
- Effective vertical PPI: cropped pixel height ÷ print height in inches.
For example, a cropped file that is 2400 × 3000 pixels printed at 8 × 10 inches works out to 300 PPI in both directions. If you enlarge the print without adding source pixels, the effective PPI falls. Utah Valley University Printing Services notes that enlarging a 300 PPI image to twice its original size reduces effective resolution to about 150 PPI; its image-resolution guidance also gives common size examples.

Adobe describes 300 PPI as an industry standard for high-quality prints, particularly smaller prints viewed close up. It is a planning benchmark, not a rigid cutoff: larger prints viewed from farther away can work at lower PPI, and the printer, paper, and viewing distance all affect the result. Adobe’s print-resolution overview discusses the distinction.

These are planning figures calculated for 300 PPI; actual print requirements can vary by provider. If your portrait has fewer pixels than the relevant example, you can still print it, but its effective PPI will be lower. Resampling or upscaling can create a file with more pixels, but those added pixels do not restore original image detail.

4. Prepare the file for home printing or a lab
If you are printing at home
- Choose photo paper suited to your printer and the intended output.
- Load that paper, then set the printer’s media or paper type to match what is loaded. Choose an appropriate quality setting if available.
- Preview the crop and check that important portrait details will not be trimmed.
- Print a small test crop or test print before committing to a full sheet. If color consistency matters, check the printer and application’s color-management settings.

If you are ordering from a print lab
Check the selected provider’s current supported print dimensions and instructions for cropping, bleed, file format, and color. Requirements differ, so do not assume that a file or setting accepted by one lab will suit another. The provider’s specifications take precedence over general PPI guidance.

5. Decide whether the result suits your portrait
Compare the intended print dimensions, the effective PPI after cropping, whether you are filling the frame or preserving the whole image with borders, and how close viewers are likely to stand. A close-viewed small portrait benefits from more pixels per inch; a larger print viewed from farther away may be acceptable at a lower effective PPI. No single calculation can guarantee how an AI-generated portrait will look on paper.
The maximum suitable size cannot be determined without the actual file dimensions, crop, target print size, and output provider. Calculate from the specific portrait rather than assuming an AI-generated image has enough resolution because it appears clear on screen.
