Start by asking your lender for its current document checklist and upload instructions. Arrange the invoices it requests, check that each is readable and agrees with your accounts-receivable records, then submit them through the lender’s specified channel. Invoices are supporting evidence—not a universal requirement for every small-business loan—and lenders may request different records or formats.
Confirm what your lender actually needs
For SBA 7(a) loans, borrowers apply through a lender, and the application contents depend on the loan and borrower. The SBA states: “The contents of the loan application vary depending on the size of the loan and the lender’s processing method.” Its 7(a) program page lists a maximum loan amount of $5 million, but that does not mean every applicant—or every applicant at that amount—must submit invoices. Check the lender’s current checklist before preparing a batch of files.
Ask whether the lender wants specific invoices, a sample, or a complete set, and what date range to cover. Also confirm whether it wants invoices alone or related transaction records. Square, for example, lists invoices as one possible document to verify a transaction, alongside service contracts, purchase orders, signed credit-card authorizations, detailed receipts, bills of sale, and buyer email correspondence. That is an example of one platform’s requests, not a rule for all lenders.
Check that invoice details match your records
Make sure each requested invoice can be matched to your sales ledger and accounts-receivable aging. Review the customer, invoice number, invoice date, amount, payment status, and remaining balance. If an invoice has a credit, partial payment, void, or past-due balance, preserve the record and make the status clear; do not silently alter the original to make it appear current or paid.

If the lender requests financial reports, check that the figures reconcile with the invoices you provide. For its Working Capital Pilot, the SBA highlights timely, accurate financial statements, accounts-receivable and accounts-payable aging, and inventory reports. This pilot is a monitored line of credit that may suit businesses borrowing against receivables or inventory and able to maintain those records.
Organize files for review
- Keep the originals. Leave the original digital invoices intact. If the lender requests converted or combined files, create separate submission copies.
- Use a consistent order. Arrange files by the lender’s requested period, or by customer and then invoice date if no order is specified.
- Make files identifiable. Use clear folder and file labels that help identify the business, customer, date, and invoice number. This is an organizational suggestion, not an official SBA naming convention.
- Check readability. Open the submission copies and confirm that all pages, amounts, and details are legible and complete.
- Add related records only when useful or requested. A purchase order, contract, or receipt can help explain the transaction if the lender asks for supporting evidence.
Follow the portal’s upload instructions
There is no universal invoice file type, filename convention, resolution, page order, or upload-size limit established for small-business loan applications. Follow the lender’s instructions for file format, naming, and submission channel; ask before uploading if any of those details are missing. Square applicants, for example, can review the active information request and upload documents through the Square Dashboard or app. Other lenders may use different systems.

After uploading, retain a copy of exactly what you submitted and, if available, the portal’s confirmation. Do not assume a lender accepts a file type or combined document just because another lender does.
Keep report-date rules in context
The SBA’s Form 1920 lender application identifies accounts-receivable and accounts-payable aging and inventory reports dated within 180 days of the application. That reference applies to those reports in the form’s context; it is not a universal 180-day age limit for invoices or for every loan product. Confirm which report dates apply to your application.

Know when invoices point to a different type of financing
A conventional business loan application and invoice factoring are different financing paths. The SBA describes factoring as selling unpaid invoices to a private lender for a portion of the amount due, with the remaining amount paid after the customer pays, minus lender fees. Factoring is an alternative funding method, not an invoice-preparation step for an ordinary loan. Compare the records required, submission process, and funding structure for the product you are considering; the SBA’s factoring explanation is from 2017 and does not establish current provider terms or prices.
