Stop building game lists by hand: use consistent folders, let RetroArch scan its database, and reserve manual cleanup for files that do not match. For larger Batocera collections, Storage Manager can combine ROMs across drives into one library. The result is a browsable collection where filenames matter less and duplicates, artwork gaps, and storage limits are easier to manage.
Start with folders that are easy to maintain
Choose a predictable structure, such as a top-level ROMs folder with a subfolder for each system. It makes files easier to transfer and inspect, but folder names alone do not catalog games: Libretro says ROM files may be stored anywhere RetroArch can access. Keep legally obtained dumps and homebrew in the collection. Documentation about scanning and storage explains how to manage files; it does not grant rights to obtain copyrighted games.
Build RetroArch playlists with a scan
RetroArch’s scanner compares files against its known-good databases and can create playlists automatically. Before scanning, install a compatible core for the system and use the Online Updater to update Core Info Files and databases. The scanner depends on those components to identify content reliably. Choose strict scanning when database accuracy matters
A strict scan adds files only when their CRC checksum or disc serial matches a database entry. That makes the resulting playlist a useful validation pass: a file without a recognized match is left out. A missing entry does not prove the file is unusable; it means the strict database-backed scan could not identify it.
Use loose scanning for unmatched but playable files
Loose scanning can add playable files even when RetroArch has no database match. This is useful for homebrew or unusual dumps, but it is less definitive as a clean catalog: database identification and associated metadata may be unavailable. Keep strict and loose results distinct if you want to know which entries were positively matched.

Understand why games or artwork may be missing
Scanning creates playlists organized by console, and the displayed game name can differ from the source filename. RetroArch’s playlist system is database-driven; the interface can show metadata and thumbnails rather than exposing the file naming scheme as the main way to browse.
Artwork downloads rely on matching playlist and entry names to the names used by the thumbnail service. If a game appears without art, first check whether the playlist entry is named as expected and whether the content was recognized by a database. A mismatch can leave artwork unavailable even when the game file itself works. The Import Content and thumbnails guide explains the naming relationship.

Browse the library without managing filenames
RetroArch’s Ozone interface is optimized for game-controller navigation and uses database-driven playlists to browse collections with metadata and thumbnails. Once a playlist is populated, you can select games by their catalog entries instead of relying on a folder view or remembering filenames. Clean duplicates and unwanted variants when needed
Scanning organizes recognizable files; it is not a comprehensive deduplication or curation tool. If a collection contains duplicate dumps, arcade clones, non-games, non-working entries, or regional variants you do not want, use tools designed to compare against DAT files and apply filters.

Copy a collection from USB
Batocera documents copying games from a USB drive, which is a straightforward way to transfer files without rebuilding a library manually. Use the system’s documented transfer procedure and keep the same per-system folder convention where practical. See Batocera’s documentation for adding games.
Use multiple drives without splitting the visible library
Batocera Storage Manager can spread ROM storage across multiple drives while presenting one unified game library. That makes an external SSD a practical way to add capacity without treating it as a separate collection. The documentation notes that the implementation and placement policy can change between releases, so check the instructions for the Batocera version you are using before arranging storage.
