A ROM manager can automate scanning, platform grouping, metadata matching, and library imports—but those steps do not necessarily rename the ROM files on your drive. To change the actual filenames, confirm that your chosen manager has a separate file-renaming feature, back up your collection, and test the change on a small set before applying it broadly.

Understand what “organize” and “rename” mean

ROM managers can organize a collection in more than one way. A manager may scan folders, identify platforms, match games to metadata and artwork, and create a searchable library. That can improve how your collection looks in the app without changing the files or folders on disk.

Renaming is a separate operation: it changes a ROM’s physical filename. Before starting, check whether the manager explicitly supports that operation, which data it uses to choose a name, and whether it can handle multi-disc or multi-file games. Do not assume that a successful metadata match means the file was renamed.

Prepare the collection before importing or renaming

Back up the original files

Make a separate backup of important game files before making large-scale changes. LaunchBox recommends keeping a separate backup, copying files to the destination before removing the originals, and testing a small, representative set. Separate platforms into folders

For LaunchBox’s Multi-Platform Import, place each platform in its own direct subfolder under the root folder you select. Clear folder names help automatic system detection; avoid mixing platforms in one folder. This structure helps the import wizard map folders to platforms, but it does not itself rename files.

Choose how the manager handles files

LaunchBox offers options to use files in place, copy them into its games folder, or move them. Using files in place avoids a file transfer. Copying creates a separate working copy and is safer when testing a new layout, but requires additional storage. Moving changes the original file locations and can disrupt other frontends, scripts, or shortcuts that rely on the old paths.

Import and organize ROMs in LaunchBox

  1. Open the multi-platform import wizard: In LaunchBox, select Tools > Import > ROM Files > Multiple Platforms.
  2. Select the root folder: Choose the folder whose direct subfolders correspond to platforms.
  3. Review platform detection: Check each detected folder and correct its Platform and Scrape As mapping where needed. Do not rely on automatic detection without reviewing the results.
  4. Choose metadata and media: Select the metadata and artwork options you want. The wizard also offers options such as using folder names as titles and combining matching ROM titles.
  5. Set file handling deliberately: Choose whether LaunchBox should reference files in place, copy them, or move them, based on whether you need to preserve existing paths or create a separate destination.
  6. Inspect the resulting game list: Review the entries before completing the import. A library entry, its metadata, and its artwork are distinct from the ROM file itself; this import process does not establish that the physical filenames have been rewritten.

Rename files only with an explicit renaming feature

Before running a rename operation, establish what it changes. Check whether it renames the file on disk or only changes a displayed title, how it matches a game to a name, what naming convention it applies, and how it handles disc sets and companion files. If the tool’s documentation does not clearly describe those points, do not use it for a bulk rename until you understand the outcome.

RomM illustrates why this distinction matters. It scans and enriches a self-hosted library with metadata and artwork, and can map folder names to platform slugs and customize filesystem layouts. Its metadata documentation says custom metadata tags can be read from filenames, but those tags are not added by renaming the files. Provider priority determines which metadata or artwork provider takes precedence when results conflict. Read RomM’s metadata-provider documentation before relying on a filename tag or provider match.

RomM documents one narrower renaming option for Nintendo Switch files: filesystem.embed_switch_title_ids can rewrite filenames to append title ID and version data. It is disabled by default because it rewrites filenames. This is not a general-purpose renaming feature for every platform. Check the RomM configuration reference before enabling it.

Verify paths and game launches before deleting anything

A library entry can remain visible after its ROM has been moved or renamed, while its saved path no longer points to the file. LaunchBox documents that the library entry and game file are separate. After any file change, check the entry’s path, confirm that associated files remain together, and test representative games before removing the old copy. Also confirm that emulator dependencies and any other frontends or scripts still work with the new paths. Use a cautious workflow for bulk changes

  1. Back up the collection to a separate location.
  2. Arrange platform folders so each platform is easy to identify, particularly if using LaunchBox’s multi-platform import.
  3. Import and review mappings before changing any source files.
  4. Copy first when testing a new layout, rather than moving or overwriting the only copy.
  5. Test the renaming behavior on a small representative set, including any multi-disc or companion-file cases in your collection.
  6. Check resulting filenames and saved paths, then launch the games before applying the same process to the rest of the library or deleting originals.

ROM managers differ: some focus on scanning and library metadata, while file-renaming behavior may be separate, limited to particular systems, or absent. Verify the selected tool’s documented behavior for the exact operation you intend to perform.
