You can open and edit Word, Excel, and PowerPoint files without Microsoft 365 by using Google Docs, Sheets, and Slides; LibreOffice Writer, Calc, and Impress; or Microsoft Office for the web. Choose based on whether you need offline access, collaboration, or features such as Excel macros. For an important file, edit a copy and check the saved version in the app your recipient will use.
Choose an editor based on how you work
| Option | Best suited to | What to consider |
|---|---|---|
| Google Docs, Sheets, and Slides | Browser-based editing and sharing | Google documents editing Microsoft Office files in its editors and working with files in Office format. Check complex layouts and specialized features after editing. Google’s guidance on working with Office files. |
| LibreOffice Writer, Calc, and Impress | Desktop editing, including work you need to do locally | LibreOffice documents that its apps can open and save Microsoft Office formats, including Office Open XML formats. Check files that depend on complex formatting or specialized behavior. LibreOffice’s format guidance. |
| Microsoft Office for the web | Browser editing using Microsoft’s Office applications | Microsoft documents editing and collaboration features. Check current sign-in and availability requirements for your region and account. Excel for the web has a specific limitation for VBA macros, described below. These applications support common Office file formats, but that does not guarantee that every feature will look or behave identically in each editor. If fidelity matters, test the specific file rather than assuming format support means a perfect match.
How to edit a Word, Excel, or PowerPoint file safely
- Keep the original. Make an untouched copy before opening an important document, workbook, or presentation in another editor.
- Open the copy in your chosen app. Use Google’s browser editors, LibreOffice’s desktop apps, or Microsoft Office for the web, depending on your connectivity and feature needs.
- Check the parts that matter. Review document layout, spreadsheet formulas and charts, or presentation animations and other important elements. For a workbook, specifically check whether it relies on macros.
- Save in the format the recipient needs. Microsoft recommends Office Open XML formats—DOCX, XLSX, and PPTX—as the default unless you have a specific reason to use another format. See Microsoft’s Office file-format guidance.
- Verify the saved file. If someone else will continue editing it, check the result in the application they use before sending it.
Excel macros: a key limitation of Excel for the web
Excel for the web can open and edit VBA-enabled workbooks, but Microsoft says it cannot create or run macros. Microsoft also warns that VBA-related content may be corrupted or removed in the web workflow. If macros are essential, use a compatible desktop application and validate a copy before relying on it. Microsoft’s workbook guidance.
Can you edit Office files offline?
Offline access depends on the platform and the workflow. Google’s Chromebook guidance says that, in the workflow it describes, Google editor files and Microsoft 365 files cannot be opened or edited while the computer is offline. Google’s Chromebook offline guidance.
