The safest way to leave a paid Office installation is not a one-click conversion. Keep untouched DOCX, XLSX, and PPTX originals, work on copies in a free suite, save exchange copies in those same formats, and inspect the result in the application that will receive it. LibreOffice provides an offline desktop workflow; Google Docs, Sheets, and Slides provide a browser workflow. Both can handle common Office files, but neither can guarantee pixel-perfect preservation of every complex feature.

What “without losing formatting” really means

A file can open successfully and still change in ways that matter: a page break moves, a font substitutes, a table wraps differently, a formula recalculates unexpectedly, or a slide object shifts. Microsoft Support explains that an application may read the text of a file while not preserving its formatting when the file uses a format other than the application’s own. That is why migration should be treated as a controlled handoff rather than a promise of lossless conversion.

For files exchanged with Microsoft Office users, begin with the Open XML formats: .docx for Word documents, .xlsx for Excel workbooks, and .pptx for PowerPoint presentations. Microsoft describes these as its default formats and recommends them unless there is a specific reason to use another format. Keeping those extensions during exchange gives the receiving Office application the format it is designed to interpret.

Your long-term working copy can use the free suite’s native format, but retain an Office-format copy whenever another person or organization must edit the file in Microsoft Office. A PDF can preserve a fixed visual handoff after you inspect it, but it is a distribution copy, not an editable replacement for a document, workbook, or presentation.

Choose a workflow before moving your archive

The important choice is not which product makes the broadest compatibility claim. It is whether your work is better suited to an offline desktop application or a browser editor, whether collaborators need editable Microsoft formats, how complex your files are, and whether you can inspect the saved result in the receiving application.

Factor LibreOffice desktop Google Docs Editors in a browser
Where you work Installed desktop applications for Writer, Calc, and Impress; an offline-oriented workflow. Files are opened and edited through Google Drive, Docs, Sheets, and Slides on the web.
Office-file handling Current LibreOffice versions can load and save DOCX, XLSX, and PPTX. Google documents opening and editing Office files in Drive, Docs, Sheets, and Slides.
Best first test Open a copy, edit it, save an Office-format copy, and compare it with the original. Upload a copy, open it in the corresponding editor, make a small edit, and export or download an Office-format copy for inspection.
Complex-layout certainty Not universal: LibreOffice states that some complex layout features and formatting attributes are handled differently or are unsupported. Not established for every feature or layout; an available browser workflow is not a guarantee of identical rendering.
Collaboration consideration Useful when files must remain on a local computer and you can exchange saved Office copies. Useful when browser access and shared editing are priorities, provided the final file is checked in the recipient’s application.
Universal winner for difficult files Not established. Not established.

Do not migrate an entire archive until a representative sample works. Include an ordinary file and the files that are hardest to replace: a document with tables and headers, a workbook with formulas and charts, and a presentation with varied layouts and embedded objects.

Prepare originals and a test set

1. Make two independent copies

Keep the original DOCX, XLSX, and PPTX files untouched. Make a separate backup before opening and resaving anything in another application, then create a working copy for testing. If a conversion changes content or layout, you can return to the original rather than trying to reconstruct it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Record what each file uses

For every test file, note the features that must survive. A useful inventory includes:

  • Fonts, styles, section breaks, page breaks, headers, and footers in documents.
  • Tables, tracked changes, comments, fields, and page-number behavior.
  • Formulas, charts, conditional formatting, data layouts, and print areas in workbooks.
  • Slide masters, theme choices, text boxes, images, charts, transitions, animations, and embedded objects in presentations.

These are inspection points, not a claim that every alternative supports every item identically. The purpose of the inventory is to reveal which files deserve a closer comparison.

3. Define an acceptance check

Before editing the copy, decide what “good enough” means for that file. A report may require identical pagination and headers; a financial workbook may require formulas and chart values to remain usable; a presentation may require every slide object to stay aligned. If a file is sent to another person, the strongest check is to open the saved exchange copy in the application that person will use.

Move files with LibreOffice

LibreOffice’s help documentation says current versions can load and save DOCX, XLSX, and PPTX. It also warns that some complex layout features and formatting attributes are handled differently or are unsupported. Use the suite as a testable desktop option, not as a blanket lossless-conversion guarantee.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

1. Open a working copy

  1. Install and open LibreOffice, then choose the corresponding application: Writer for a DOCX, Calc for an XLSX, or Impress for a PPTX.
  2. Open the copied file, not the only original. Let the file finish loading before making changes.
  3. Compare the first view with the original application or a reference PDF. Look for missing fonts, changed page or slide dimensions, shifted objects, and unexpected blank space.

2. Inspect the document in Writer

Check every section rather than only the first page. Confirm that headings still use the intended styles, page and section breaks occur in the right places, tables fit within the margins, and headers and footers repeat correctly. Review tracked changes and comments if the document uses them. Also inspect fields such as page numbers and dates, because a document can look acceptable while generated fields or pagination have changed.

3. Inspect the workbook in Calc

Check representative sheets, not just the active sheet. Verify that formulas display results, references still point to the intended cells, charts use the expected ranges, and number formats remain readable. Review row heights, column widths, hidden areas, print ranges, and page breaks. If a workbook is used for a recurring report, print or export a sample output and compare it with the known-good version.

4. Inspect the presentation in Impress

Move through every slide in normal view and, where relevant, in slideshow view. Check slide size, master layouts, text wrapping, image crops, charts, embedded objects, animations, and transitions. A deck can retain all its words while still changing the visual hierarchy through a shifted text box or substituted font.

5. Save an Office-format exchange copy

  1. Use the application’s Save As command rather than overwriting the working original.
  2. Select the matching Office extension: DOCX, XLSX, or PPTX.
  3. If LibreOffice displays a format-compatibility warning, read it before confirming. The warning is a prompt to verify the result, not evidence that the file is unusable.
  4. Close the saved copy and reopen it. Recheck the features you recorded in your inventory.

If you intend to work permanently in LibreOffice, keep a native-format working copy as well as the Office-format exchange copy. The native copy is the one you edit day to day; the Office copy is the version you provide to people who need Microsoft formats.

Move files with Google Docs Editors

Google documents a browser workflow in which Office files are opened and edited through Drive, Docs, Sheets, and Slides. This can be convenient for shared access, but availability of the workflow does not establish that every file feature or layout will survive unchanged.

1. Upload a copy to Drive

  1. Upload a duplicate of the DOCX, XLSX, or PPTX to Google Drive.
  2. Open it with the matching editor: Docs for a document, Sheets for a workbook, or Slides for a presentation.
  3. Before making substantial edits, compare the opened file with the original and note any changed fonts, spacing, page breaks, charts, formulas, slide layouts, or embedded objects.

2. Edit without replacing the source

Keep the uploaded Office file as your reference. If the editor creates a converted or native document, give that working file a clear name so it cannot be confused with the untouched source. For collaborative work, record which version is authoritative and who is responsible for the final export.

3. Export and inspect the exchange copy

  1. Download or export the finished file in its matching Office format.
  2. Open the downloaded DOCX, XLSX, or PPTX in the application the recipient will use whenever possible.
  3. Compare the high-risk areas from your inventory and correct any changes before delivery.

For a fixed visual handoff, create a PDF after the layout has been checked. Keep the editable Office-format file separately; the PDF is intended for viewing or distribution, not continued editing.

Which features deserve the closest inspection?

Compatibility problems are usually specific to a file’s construction. Use this checklist after opening and again after saving the exchange copy.

File type Inspect first What to verify
DOCX Fonts, styles, page and section breaks, headers, footers, tables, tracked changes Pagination, wrapping, repeated headers, revision visibility, and table boundaries match the reference.
XLSX Formulas, charts, number formats, row and column sizing, print areas Results, references, chart ranges, displayed units, and printed pages remain usable.
PPTX Slide layouts, text boxes, images, charts, animations, embedded objects Text does not overflow, objects stay aligned, and the presentation behaves as intended in slideshow view.

Prioritize files that will be printed, presented publicly, or used to make decisions. A small visual shift in a private note may be tolerable; a changed page break in a signed form or a moved chart label in a financial report may not be.

Why ODT, PDF, and native formats need different roles

ODT is not a guaranteed DOCX replacement

Microsoft’s format comparison describes ODT as compatible with Word and open-source applications while warning that formatting differences and unsupported or partially supported features can occur. Use ODT when the people and applications involved agree on it, not as an assumption that every DOCX detail will remain identical after conversion.

PDF is for a fixed visual copy

A PDF is useful when the recipient only needs to see or print the result. Create it after checking the editable file, and retain the DOCX, XLSX, or PPTX when future editing is required. A PDF can preserve the appearance you approved while removing the convenient editing model of the source file.

Native formats are for ongoing work

A free suite’s native format can be the cleanest place to continue editing in that suite. Keep the Office-format copy for exchange, and regenerate it deliberately rather than allowing several people to edit different converted copies without a version plan.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Common failure symptoms and recovery steps

Text reflows or page breaks move

Return to the untouched original and compare fonts, paragraph styles, margins, section settings, and table widths. If the receiving application substitutes a font or interprets a style differently, fix the working copy and save a new exchange copy. Do not overwrite the only known-good file while experimenting.

A table, chart, or object shifts

Check the object’s position, anchoring, size, and wrapping. For a workbook, verify the chart’s source range and number formats. For a presentation, compare the slide master and object alignment. If the object cannot be made reliable in the chosen alternative, use the original application for that file or deliver an inspected PDF when editing is not required.

Formulas or displayed values look different

Compare formulas as well as visible results. Recheck references, number formats, and the workbook’s print output. If the workbook feeds a decision or a recurring report, have the final exchange copy reopened and checked in the recipient’s application before it is used.

The saved file opens with a compatibility warning

Treat the warning as a reason to inspect, not as a reason to discard the file automatically. Reopen the saved copy, test the features that matter, and compare it with the original. If a required feature is changed or unsupported, preserve the original and choose a different workflow for that file.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The recipient sees a different layout

Ask for the exact application used to open the file and inspect the exchange copy there. If identical editing is not necessary, provide the checked PDF alongside the editable file. If it is necessary, keep the file in the application that renders its critical features correctly and exchange a format that the recipient has agreed to test.

A repeatable migration plan for a whole archive

  1. Back up: Preserve untouched DOCX, XLSX, and PPTX originals in a separate location.
  2. Sample: Select representative simple and complex files from each category.
  3. Test: Open copies in LibreOffice or Google Docs Editors and perform a small edit.
  4. Inspect: Check the feature-specific items in your inventory, including layout, formulas, charts, and objects.
  5. Round-trip: Save or export to the matching Office format, close the file, and reopen it.
  6. Verify with the recipient: When another person must edit the file, inspect it in that person’s application whenever possible.
  7. Classify: Mark each file as safe for the chosen workflow, requiring a PDF handoff, or requiring the original Office application.
  8. Adopt a version rule: Keep one native working copy and one clearly named Office-format exchange copy rather than editing several converted copies.

Repeat the sample test after a major change to your software, templates, fonts, or collaboration process. A file that worked previously can behave differently when its construction or opening application changes.

The practical answer

You can move much of a Word, Excel, and PowerPoint library to a free alternative without losing important formatting, but only through backups, representative testing, and deliberate inspection. Use LibreOffice when an offline desktop workflow fits; use Google Docs Editors when browser-based access fits. Keep DOCX, XLSX, and PPTX for editable exchange, use the alternative’s native format for ongoing work when appropriate, and make a checked PDF for a fixed visual handoff. For unusually complex files, the only dependable answer is to test that specific file in the software your collaborators will use.
