To monitor requests for proposals (RFPs), identify the jurisdictions and buyers you want to serve, then create saved searches or notifications in their official procurement portals. Filter for the work you can deliver, review alerts promptly, and verify every opportunity’s latest documents, eligibility rules, submission instructions, and deadline on the official notice page.

Choose portals based on where you plan to bid

There is no single universal portal for RFPs. Start with the buyer organizations and locations that fit your business; national, regional, local, institutional, and private buyers may use different systems. The examples below cover U.S. federal and Government of Canada opportunities, not every jurisdiction.

  • SAM.gov Contract Opportunities is a source for U.S. federal contract opportunities. SAM.gov says, “Anyone may search contract opportunities without an account.” Public searching is available without signing in; an account enables saved searches and following opportunities.
  • CanadaBuys tender opportunities is the official source for Government of Canada tender and award notices. It offers notifications, including the ability to follow search criteria or notices.

Once you know your target geography, add the relevant state, provincial, municipal, institutional, or international procurement portals. Confirm that each source covers the buyers you actually want; do not assume a federal portal includes local opportunities.

Build searches around buyer fit

A useful alert is specific enough to surface plausible work without being so narrow that it hides opportunities described in unfamiliar terms. Gather the names buyers use for your services, relevant procurement codes where available, and the categories and locations where you can perform.

Set up filters and notification criteria

  • Buyer: agency, department, organization, or known contracting authority.
  • Capability: service, product, or project terms, including common variants and buyer-specific wording.
  • Procurement category or code: use applicable categories and codes where the portal supports them. SAM.gov provides advanced-search guidance, including guidance for procurement codes and federal organizations.
  • Geography: locations where you can deliver or are eligible to compete.
  • Notice type and status: select the kinds of notices relevant to your pipeline and exclude statuses that do not fit your monitoring needs.
  • Dates: use publication and closing-date filters when available. CanadaBuys lists filters that include publication and closing dates, status, category, location, and notice type.

On SAM.gov, start with its advanced search and save suitable searches after signing in. On CanadaBuys, use the available filters and follow search criteria to receive notifications. Portal labels and layouts can change; consult the current official pages for their latest instructions.

Test before depending on an alert

Run each search and inspect the results before relying on notifications. Check for false positives, then search known relevant notices or buyer terminology to look for misses. Add alternative terms or codes where useful, and remove criteria that exclude good matches. This initial tuning is a practical safeguard: filter availability does not guarantee that a query will capture every relevant opportunity.

Follow individual opportunities and verify every notice

When a result looks relevant, follow the specific notice if the portal offers that option. Keep the official notice page and its attachments in your pursuit record so the team can return to the source as requirements change.

An alert is a lead, not the authority for a bid decision. Open the current official notice and review its attachments and amendments. Confirm:

  • Eligibility requirements and any required registrations.
  • The exact submission method and required forms or documents.
  • The deadline for questions, if one is specified.
  • The closing date, time, and time zone stated in the buyer’s materials.
  • Whether amendments changed the scope, instructions, or deadline.

Use the buyer’s actual documents rather than an aggregator summary when deciding whether to pursue an opportunity or committing proposal resources.

Make alert review a repeatable process

  1. Assign an owner. Make one person or team responsible for screening new matches and monitoring followed notices.
  2. Set a review cadence that fits your workload. Choose a schedule based on alert volume and the response times your opportunities require; there is no single interval that suits every supplier.
  3. Triage each match. Record whether the business is eligible and capable, the bid/no-bid decision, the deadline, and the next action.
  4. Recheck active pursuits. Review the official notice for amendments and changed instructions as the response deadline approaches.
  5. Refine searches. Remove terms or categories that repeatedly produce irrelevant results and add terminology or codes found in relevant buyer notices.

For repeatable analysis beyond saved searches, SAM.gov also provides data services and public opportunity reports. Those can support ongoing review, but the official notice remains the place to verify the requirements for a specific bid.

Assess whether a paid aggregator is useful

A commercial tender-alert service may help when you need to discover opportunities across many sources. For example, GovBids advertises Canadian tender listings and alerts. Treat its coverage and update statements as vendor claims: independent comparative evidence and verified affiliate terms were not established for this service.

Before relying on any aggregator, compare its jurisdiction and buyer coverage, filtering options, notice-change notifications, links to official sources, update cadence, and cost against the time it saves. Use it to discover leads, not as a substitute for checking the buyer’s current notice and documents.
