Keep the Shopify order ID separate from the display name, and store the currency code alongside any monetary amount. The exact fields available depend on whether you use a connector or build against the APIs.
Choose the fields your Notion database needs
Shopify’s Admin GraphQL Order object includes order identity, creation time, customer data, amounts, financial and fulfillment states, notes, and line items. Start with the purpose of your Notion database—such as order tracking or operational triage—and select only the fields that support it. Shopify advises apps to request only the order data needed for their functionality. Shopify’s 2026-01 Order reference describes the object and its access requirements.

This is a recommended schema, not a promise that every connector exposes each field or supports each destination property. Inspect the connector’s actual trigger output and writable Notion properties before relying on a field.
Keep the schema lean
A useful starting set is Order, Shopify ID, Created, Customer email, Financial status, Fulfillment status, Total, Currency, Item count, and Order note. Add customer names, shipping details, or other information only when the database has a clear business purpose for them.

Match Shopify values to Notion property formats
Notion’s API expects values in the format for the destination property. Its page property values reference documents the value forms for Date, Email, Number, and Text properties.
- Date: provide a date object with a required
startin ISO 8601 date or date/time format; a date property can also be null. - Email: provide an email-address string or null.
- Number: provide a JSON number or null. For money, store the currency code in a separate property or otherwise make the unit explicit.
- Text: Notion’s API uses the
rich_textkey with an array of rich-text objects.
For financial and fulfillment states, define select or status options around the work people do in Notion. Do not assume the source values form a permanently closed list: decide how your mapping should respond to an unfamiliar value rather than silently dropping it.

Decide how to represent line items
Shopify exposes lineItems as a connection containing individual products and quantities. A single Notion order page can hold a readable text summary if people only need to scan the items. If they need to filter, group, or report on individual products, use separate item records or related data instead. The right choice depends on how the database will be queried; a flattened summary is easier to read but does not provide the same item-level structure.
Choose a connector or custom API integration
No-code workflow
Zapier lists a Shopify “New Order” trigger that supports line items and a Notion database action in its Shopify–Notion workflow. This is a documented no-code route, but confirm the live trigger output and the action’s writable properties against the fields you selected. Zapier’s Shopify–Notion integration listing describes the workflow; it does not establish that every field in Shopify’s Order object can be mapped.

Custom integration
A custom build queries Shopify’s Admin GraphQL Order object and writes the selected values using Notion’s page property formats. It gives you control over field handling and matching logic, but you must manage access, payload formats, updates, and API maintenance. Use the Shopify Order documentation for the required access scope and available fields, and Notion’s property reference for destination formats.

Test the mapping before relying on it
- Confirm the Notion database properties. Create the Title, identifier, Date, Email, status, Number, currency, and any text or related-data properties your chosen field set requires.
- Inspect a representative order payload. Check that the chosen source fields are present and note the actual formats, including null or missing values and the structure of line items.
- Map each value deliberately. Convert dates to ISO 8601 for a Notion Date property, send valid email strings to Email, write numeric values as numbers, and keep the currency code with each monetary amount.
- Test exceptional cases. Include orders with missing or invalid email, null or unusual fulfillment states, different currencies, notes, and multiple line items. Confirm that your chosen handling does not lose important distinctions.
- Check matching and updates. Use the machine identifier separately from the display order name, then verify that a repeat or changed order does not create an unintended duplicate in your chosen integration.
- Verify historical coverage. Confirm that the account has access to the order dates needed before attempting a backfill.
Account for order-history access and API changes
By default, Shopify makes only the latest 60 days of orders available from the Order object; older orders require additional access. Shopify states this in its 2026-01 GraphQL Admin API Order reference. Do not assume a full historical backfill will work until the necessary access is granted.

Shopify says API versions are released every three months and that field changes can require workflow updates. For a custom integration, pin and document the API version you use. For a connector, periodically confirm which data and actions remain available. See Shopify’s Flow and GraphQL API guidance.
