Google Workspace administrators control whether Gemini features are available in Gmail and other Workspace services. Individual users then work with Gemini from the Ask Gemini panel, while AI Inbox is a separate beta view that proactively summarizes selected messages. They are not the same feature: Gemini responds to a prompt, whereas AI Inbox generates suggested work and catch-up topics automatically.
This guide explains the administrator controls, Gmail user workflows, AI Inbox eligibility and display settings, the data each feature can use, and the checks to perform when a feature is missing or empty.
How the two Gmail AI features differ
Gemini in Gmail is an on-demand assistant. A user opens Ask Gemini, asks a question or gives a command, and reviews the response. Depending on the account, enabled services and permissions, Gemini can summarize conversations, draft or revise mail, find details in messages, organize email and suggest meeting times.

AI Inbox is a beta inbox view for proactive triage. Instead of waiting for a prompt, Gmail presents two generated sections: Suggested to-dos and Topics to catch up on. It is deliberately narrower than a general inbox search: it evaluates messages in the Primary tab and omits several message states and content types.

Control Gemini as a Workspace administrator
Workspace administrators manage Gemini feature access centrally from the Admin console. The setting can be applied to an organizational unit (OU) or a configuration group. If both apply, the group setting takes precedence over the OU setting, so check group membership when a user appears to have an unexpected result.
Open the Gemini for Workspace settings
- Sign in to the Admin console with an administrator account.
- Open Menu > Generative AI > Gemini for Workspace.
- In the Feature access panel, select an organizational unit or configuration group if you want to target a subset of users. Leave the broad scope selected when the change should apply across the organization.
- Find the service you want to change and select Edit.
- Choose On or Off, then select Save.
The documented service list includes Gmail, Calendar, Drive, Docs, Sheets, Slides, Forms, Drawings, Vids, Meet, Chat and Workspace Studio. The default setting for Gemini features in Workspace services is On, so an administrator must explicitly turn a service off when it should not be available.
Choose the right scope
- Organizational unit: use this when access should follow the directory structure.
- Configuration group: use this for a targeted cohort that may span organizational units. A group setting overrides an OU setting.
- Service-level change: edit only the Workspace service that needs a different policy; changing Gmail does not automatically change every other service.
Important cross-service limitation
Turning Gemini off for one application does not necessarily stop users from asking Gemini in another application about data from the first application. For example, disabling Gemini for Drive does not by itself prevent a user from asking Gemini in Gmail about a Drive file. Treat each service toggle as a control over Gemini’s experience in that service, not as a universal data-isolation switch.
Smart features are also required
Users need Smart features and personalization enabled to access Gemini in Workspace services. If the Admin console toggle is on but a user still cannot use Gemini, check the Smart-feature setting as well as the user’s plan, language and organizational scope.
Use Ask Gemini in Gmail
On desktop Gmail, select Ask Gemini in the upper-right corner. Gmail opens a right-side panel where the user can enter prompts and inspect the generated response. The panel includes controls for conversation history, Gems, settings, sources, feedback and reporting.
Summarize a long thread
Ask Gemini can synthesize a long conversation into a shorter explanation. A useful prompt specifies the scope and desired format rather than simply saying “summarize.” For example:
Summarize this thread in five bullets and list the open action items with owners and dates.

The response is a convenience for orientation, not a replacement for the source conversation. Check names, dates, commitments and quoted amounts in the original messages before relying on the summary.
Draft a new message or revise an existing one
Gemini can create an email draft and refine an existing draft for tone and clarity. State the audience, purpose, constraints and preferred format. For example:
Draft a concise status update for the project team. Include the completed work, the current blocker and the decision needed by Friday.
For a revision, identify what should change:
Rewrite this draft in a neutral, professional tone. Keep the technical details and reduce it to three short paragraphs.

Gemini may produce wording that sounds plausible but changes a date, omits a qualification or makes a commitment that was not authorized.
Find details in messages
Gemini can retrieve details such as flight times, package-tracking information, receipts and confirmation numbers from relevant mail. Narrow the request to the information needed:
Find the confirmation number and check-in time in my recent travel emails.

When several messages contain similar information, open the cited or relevant source material and verify which reservation, order or date the answer refers to.

You can ask Gemini to perform organizational tasks such as adding labels or deleting multiple messages. Be precise about the matching criteria and preview the proposed scope before allowing a destructive action. A safer pattern is:
Find newsletters from the last 30 days that I have not opened. List the matching senders and subjects before taking any action.
After reviewing the list, issue a separate command to apply a label or delete the messages. This two-step approach reduces the chance of changing the wrong mail.
Suggest meeting times
Gemini can propose meeting times using Google Calendar availability. Include the participants, duration, date range and time zone when those details matter:
Suggest three 30-minute meeting times next week for the project team, avoiding existing calendar events and showing the time in Eastern Time.
Suggestions are not a final invitation. Confirm calendars, working hours and the correct time zone before sending an event.

Use Gmail’s built-in summarization and follow-ups
Google also documents a Summarize this email button for supported messages. After a summary, follow-up prompts can ask for next steps or action items. Contextual Smart Reply can suggest responses, and a Drive file can be referenced by tagging it with @ in the Gemini interaction when that file is available to the user.
Review, report and correct an answer
Use the panel’s source, feedback and report controls when a response is inaccurate or unclear. For sensitive work, compare every material fact with the original email or file before sending a draft, deleting messages, applying labels or acting on a recommendation.
What AI Inbox shows
AI Inbox is designed to surface priority work without requiring a prompt. Its beta view has two sections with different jobs.
Suggested to-dos
This section identifies high-priority items from incoming email and describes the action that appears to be required. It may include supporting details, such as a bill’s due date, so the user can decide what to do next.
Topics to catch up on
This section groups and summarizes important updates across a project or topic. Examples documented by Google include travel, reservations and purchase confirmations. The result is a catch-up view rather than a complete replacement for the inbox.
Message boundaries
AI Inbox considers only messages in Gmail’s Primary tab. It filters out spam and messages that have been archived, deleted, muted or snoozed. It does not support attachments, delegated inboxes or encrypted email. A message can therefore be visible in Gmail yet absent from AI Inbox because it is in another tab, has one of those excluded states, or depends on an unsupported content type.

Google currently documents AI Inbox as available only in the United States and in English. Availability is also tied to the account type and plan:

- Work or school account: an eligible Google Workspace plan is required.
- Personal account: an eligible Google AI Plus, Pro or Ultra plan is required.
- All accounts: Smart features in Google Workspace and Smart features in other Google products must be enabled.
Plan eligibility and language support can change, so an organization should verify the current entitlement for the specific account rather than assuming that every Workspace edition includes the beta.
Show or hide AI Inbox in Gmail
The display control is a Gmail setting on desktop. It does not replace the plan and Smart-feature prerequisites.
- Open Gmail for the account you want to configure.
- Select Settings, then See all settings.
- Open the Inbox tab.
- Find Show AI Inbox.
- Check the box to show the view, or clear it to hide the view.
- Save the settings if Gmail presents a save control, then return to the inbox.
After Smart features are enabled, Gmail may need a few hours to generate the first to-dos and topics. Google says initial content can take up to seven days to appear, so an immediately empty view does not by itself indicate a configuration failure.

Troubleshoot missing or empty features
Ask Gemini is not visible
- Confirm that you are using the intended Workspace account rather than a personal or secondary account.
- Ask the administrator to check Admin console > Menu > Generative AI > Gemini for Workspace.
- Verify that Gmail is set to On for the user’s organizational unit or configuration group.
- Check whether a configuration-group setting overrides the OU setting.
- Confirm that Smart features and personalization are enabled.
- Check plan and language eligibility for the account.
AI Inbox is not shown
- Open Settings > See all settings > Inbox and confirm that Show AI Inbox is checked.
- Confirm that the account is in the United States and using English, as required by the documented beta availability.
- Verify that the account has an eligible Workspace or personal Google AI plan.
- Turn on Smart features in Google Workspace and Smart features in other Google products.
- Refresh Gmail after changing the setting and allow the feature time to initialize.
AI Inbox appears but contains no items
- Allow for initialization: first content may take a few hours and up to seven days after Smart features are enabled.
- Check recent mail volume: an inbox with little recent mail may legitimately produce no suggested to-dos or topics.
- Inspect the Primary tab: messages in other tabs are not considered.
- Check message state: archived, deleted, muted, snoozed and spam messages are excluded.
- Check content type: attachments, delegated inboxes and encrypted email are unsupported.
- Confirm the account: make sure the browser is displaying the account whose settings and plan you checked.
A result does not match the source email
For Gemini responses, open the source message or file and verify the disputed detail. Use the panel’s feedback or report controls for an inaccurate response. For an AI Inbox item, open the underlying Primary-tab messages before acting; the generated to-do or topic is a triage aid, not an authoritative replacement for the mail.
Plan an organization-wide rollout
A staged rollout makes it easier to separate an access problem from an eligibility or data-boundary issue.
- Define the policy: decide which organizational units or configuration groups should receive Gemini in Gmail and which should remain off.
- Check cross-service expectations: explain that turning Gemini off in one Workspace service does not necessarily block questions about that service’s data from Gemini in another service.
- Confirm Smart features: verify the required personalization settings before asking users to test the feature.
- Test representative workflows: have users try a thread summary, a draft revision, a detail lookup and a calendar-time suggestion, while checking the source material.
- Set an AI Inbox expectation: tell users that it is a US-English beta, limited to Primary-tab mail and potentially delayed for up to seven days after activation.
- Document excluded mail: users should know that attachments, delegated inboxes and encrypted messages will not appear in AI Inbox.
- Review feedback: collect inaccurate or missing-result reports and use the in-product controls to report them rather than silently trusting the output.
Practical decision guide
Use Gemini when the user has a specific question or task
Choose Ask Gemini when the user needs a summary of a particular conversation, a draft, a rewrite, a search for a detail, an organizational action or a meeting-time proposal. The user controls the scope and can refine the request with follow-up prompts.
Use AI Inbox when the user wants an automatic triage view
Choose AI Inbox when the goal is to see likely tasks and topic summaries without writing a prompt. Its narrower data coverage is a feature boundary: it prioritizes Primary-tab mail and deliberately excludes several categories.
Use both for different stages of the same task
A user might first notice a project update under Topics to catch up on, open the source messages in Primary, and then use Ask Gemini to summarize the thread or list action items. The two features complement each other, but neither removes the need to verify important details in the original mail.
