To make recorded lessons accessible in a 24/7 YouTube stream, prepare accurate, timed captions for each lesson and arrange for captions to be sent to the live stream. Captions attached to a video in YouTube Studio do not, by themselves, establish that the same captions will appear when an encoder or streaming service broadcasts that video as live content. Test the complete setup—including lesson changes and long runs—before relying on it for viewers.
Understand the two caption workflows
A caption track belongs to a particular video. YouTube Studio lets a channel owner add captions to an individual video by uploading a caption file, typing captions, or providing transcript text for auto-sync. A live stream has a separate caption path: captions must be included in the stream output or delivered to YouTube through supported caption software.
This difference matters for a 24/7 channel that plays recorded lessons. A caption track available on the original lesson is not proof that a separate live output will carry that track, keep its timing aligned, or restart it when the next lesson begins. YouTube Help documents the recorded-video and live-caption workflows separately; it does not promise that an encoder or continuous-stream service will bridge them automatically.
Prepare captions for each recorded lesson
Create or obtain a timed caption track
For each lesson, prepare captions in the language spoken. A caption file contains the text and timing information; some formats can also carry position and style data. YouTube’s caption documentation describes SRT and SBV as basic file options. Its supported-file guidance says SRT must be plain UTF-8. Check YouTube’s accepted-format guidance when you prepare production files, since accepted formats and requirements can change.

If you do not have a caption file, YouTube Studio also offers manual caption entry and transcript text with auto-sync. Auto-sync uses the transcript to align text with the audio; it is not a substitute for checking the resulting timing and words.
Add captions in YouTube Studio
- Open the lesson: Sign in to YouTube Studio, choose Subtitles from the left menu, and select the lesson video.
- Choose the language: Add the language spoken in the lesson if it is not already listed.
- Add the captions: Choose the option to upload a file with timing, enter captions manually, or provide transcript text for auto-sync. If uploading, select the file type that matches your file, including whether it contains timing.
- Review and save: Check the captions against the video, correct errors and timing, then save or publish the subtitle track using the controls shown in Studio.
- Check the viewer experience: Open the lesson as a viewer and confirm that the caption track can be selected and remains synchronized during playback.
Review for meaning, not just spelling
YouTube advises creators to review automatic captions: accents, dialects, pronunciation, and background noise can all lead speech recognition to misrepresent what was said. For lessons, pay particular attention to technical terms, names, equations and symbols spoken aloud, punctuation, speaker changes, and timing. Include meaningful non-speech audio—such as an alarm or other sound that conveys information—not only spoken words.

That approach is consistent with W3C’s explanation of prerecorded captions. WCAG 2.2 Success Criterion 1.2.2 says captions are provided for prerecorded audio in synchronized media, except when the media is a clearly labeled alternative to text. Captions serve an accessibility purpose; translated subtitles alone do not necessarily convey all the audio information a viewer needs.
Choose how captions will reach the live stream
Set up a live caption source separately from each lesson’s stored caption track. YouTube Help documents two routes: send embedded EIA 608/CEA 708 captions in the encoder output, or use supported caption software to deliver captions through YouTube’s live caption ingestion path.

Embedded captions from the encoder
Use this route only if the encoder and the full playback chain are configured to carry the embedded caption data through to YouTube. Confirm whether the chosen encoder can preserve the caption track from each source lesson and how it handles timing at lesson boundaries, loops, slates, and transitions. The existence of captions on an uploaded lesson does not establish that those captions will be extracted and embedded in the live output.
Caption software using YouTube’s live ingestion path
For the event-style workflow, YouTube describes enabling closed captions, copying a signed caption ingestion URL, and giving that URL to the captioner or caption software. YouTube says each stream entry point can have one caption feed and advises keeping the system clock accurate. Confirm that the caption software and the stream’s entry point are configured together; do not assume any caption provider or encoder supports this path without checking its documentation.

With either approach, decide who is responsible for producing and monitoring the live feed. If a caption feed is missing, delayed, or out of sync, a caption file stored on the lesson will not necessarily correct the live output.
Test the whole program before viewers depend on it
Run a private or unlisted test
- Use the production chain: Test with the actual lesson files, encoder or streaming service, live caption source, and YouTube stream configuration—not just a captioned upload viewed on its own.
- Check the player: Confirm that a viewer can turn captions on and that the captions match the spoken words and stay synchronized.
- Test boundaries: Watch a transition from one lesson to the next, including any slate, music, silence, or gap. Check whether captions stop, restart, or drift at the same point as the audio.
- Check repeat behavior: If lessons loop, verify captions each time the sequence returns to the beginning. Do not assume a track that worked once will remain aligned on later plays.
- Monitor the stream: Follow YouTube’s encoder guidance to test and monitor stream quality, and separately observe whether the live caption feed continues to arrive.
Do not infer 24/7 behavior from the archive rule
YouTube’s encoder instructions say streams under 12 hours are automatically archived. That statement does not establish that a 24/7 session will be archived as one complete video, that it will be split in a particular way, or that captions will remain continuous through a long session. Include a test longer than 12 hours if your setup is intended to run beyond that point, and verify the archive and caption behavior you actually need before launch.

Keep captions maintainable and handle content rights separately
Store each lesson’s caption file with its source materials so corrections can be applied to the lesson and its associated track. Separately document the live caption input, the software or encoder carrying it, the person responsible for monitoring it, and how the team will notice a failed or drifting feed. These are operational safeguards, not a YouTube feature guarantee.
Captioning does not grant permission to rebroadcast a lesson, music, or other material. Confirm that you have the rights and permissions needed for the content in your stream. WCAG guidance describes an accessibility criterion; it does not determine which laws, procurement rules, or institutional policies apply to a particular school or course. Seek advice specific to your jurisdiction and organization where needed.
Compare the available caption approaches

Choose based on whether the need is a captioned stored lesson or captions on the live output, who will review the words, language coverage, synchronization across transitions and repeats, and who monitors failures. The behavior of a particular encoder or service during outages and long runs needs to be confirmed in that specific setup.
