The best settings depend on the printer: inkjet maintenance can use ink, grayscale does not always mean black ink only, and duplex printing saves paper but does not necessarily extend toner life.
Use lower-quality settings for everyday documents
Inkjet printers
For drafts and reference copies, select Draft or Fast quality in the print dialog or printer driver. Canon says its draft mode uses lower resolution and produces lighter text, so check that the result is still readable before using it for documents that need a polished appearance. Keep higher-quality settings for photos or other work where detail and density matter. Canon’s guidance on making a printer go farther describes this trade-off.
Laser printers
If your laser printer offers Draft, Economy, or a toner-density control, use it for internal drafts and inspect the output before making it your default. HP says draft modes generally use less toner than normal modes, and lowering density can reduce toner use in the LaserJet systems covered by its explainer. These controls are model-dependent; do not assume every printer has them or that the lightest setting will suit final copies. HP’s explanation of toner use also notes that yield depends on printing style and job characteristics.
Print less content, not just fewer sheets
- Print only the pages you need, and remove unnecessary graphics, blank pages, or large background areas when practical.
- For dense documents, consider printing multiple pages per sheet if the reduced text remains readable.
- Use duplex printing to reduce paper consumption when it suits the job. Do not count it as a guaranteed way to make toner last longer: HP notes that duplex printing can involve more cartridge rotations and may affect yield in the systems it describes.
Reducing the amount of inked or toned content on each page is more directly relevant to consumable use than simply fitting the same content onto fewer sheets.

Check black-and-white settings on inkjets
Select grayscale or black-only printing when color is unnecessary, but verify the setting for your exact printer and paper type. Grayscale is not a universal promise that an inkjet will draw only from its black cartridge. Epson explains that paper selection can affect color-ink use, and that routine self-checks and head cleaning also consume ink. Its FAQ notes: “Head cleans also use ink from all colours, with the amount depending on how many cleans are performed.” See Epson’s explanation of color-ink use when printing in black.
Use the printer’s manual or driver settings to identify the available black-only option, if any, and check a sample print. The wording and behavior vary by model.

Understand inkjet cleaning and idle time
Inkjet printers may use ink during periodic cleaning. Brother says leaving a printer unused or unplugged for a long period can contribute to clogged nozzles that require additional cleaning; its guidance also explains that depleted cartridges can create printhead risks on covered machines. Follow your model’s maintenance instructions and keep the printer in a clean location. The manufacturer sources do not establish one printing schedule that applies to every inkjet, so a specific weekly page-count promise is not reliable. Replace cartridges before output is compromised
Do not try to force additional pages from a cartridge if the manufacturer warns that printing while it is empty can damage the printhead. Canon advises replacing an ink cartridge at the first sign of compromised output quality and cautions that printing with an empty cartridge can damage the print head. Brother says some of its devices stop printing by design when cartridges are depleted. Check the instructions for your own model: Canon’s cartridge guidance and Brother’s black-and-white printing guidance.

When replacing a cartridge, match both the printer model and the cartridge identifier. A generic “ink cartridge” or “toner cartridge” description is not enough to establish compatibility.
Store spare cartridges according to the model manual
Storage directions are product-specific. Epson’s cited professional-printer guidance says to keep cartridges at room temperature and away from direct sunlight, and to use them before the package expiry date or within six months after installation. Those directions apply to the product family addressed by that manual, not every ink cartridge. See Epson’s cartridge-handling notes.

Canon’s cited toner manual gives separate precautions: avoid direct sunlight, high or changing heat and humidity, dust, and condensation; store the cartridge in its installed orientation and leave a new cartridge sealed until use. A cartridge’s page yield is tied to the printer, test method, and amount of content printed. Ricoh gives an example of about 6,000 pages for the cartridge packaged with the device in its support answer and about 15,000 pages for a new cartridge. Those figures assume ISO/IEC 19752 compliance and factory-default image density; Ricoh says actual results vary with image volume and density, pages per job, paper, and environmental conditions. They are specific to the device discussed, not a typical yield for other printers. Ricoh’s cartridge-lifespan answer provides the details.

There is no established universal percentage for how much longer these practices make a cartridge last. Actual savings depend on your printer, settings, maintenance, and the content you print.
For high-volume printing, compare printer systems separately
If you print frequently, a refillable-tank printer may be worth evaluating as a separate purchase decision. Compare the printer’s upfront cost, compatible ink bottles, your color needs, print quality, and expected volume rather than assuming a tank system is automatically cheaper for every user. Canon reported up to 6,000 black-and-white documents and 7,700 color documents for replacement bottles in the context of its G-Series MegaTank line in a 2021 article; those are manufacturer claims for that product context, not independent test results or general ink-yield figures.
