Before you paste anything, classify it, remove details the task does not need, and check how the specific service handles retention, access, connected apps, and model improvement. If approval is unclear, ask your security, privacy, legal, or compliance team first.
Can you put company data into ChatGPT or another AI tool at work?
Only when your employer’s policy and an approved workflow allow that specific data in that specific tool. A tool being available, paid, or described as a business service does not automatically authorize every use. Internal classification rules and acceptable-use policies determine what is allowed.
Use an employer-approved work account where required; do not move a work task to a personal account to get around a restriction. If you cannot tell whether a category of information is permitted, pause and ask the organization’s security, privacy, legal, or compliance contact.
What information should you keep out of an AI prompt?
Unless an approved policy and workflow explicitly permit the use, do not submit confidential, personal, regulated, credential-related, or proprietary information. Treat the content of files, connected data sources, and agent instructions as carefully as text typed into a prompt.

- Credentials and secrets: passwords, access tokens, private keys, recovery codes, and other information that could grant access.
- Personal or customer data: names and direct identifiers, as well as combinations of details that could identify a person even when a name is removed.
- Regulated or confidential material: information governed by privacy, contractual, legal, or industry requirements.
- Proprietary business information: nonpublic plans, source code, deal details, internal records, or other content your organization classifies as restricted.
These are risk categories, not a substitute for your employer’s classification scheme. A seemingly harmless excerpt can still reveal a person, customer, project, or deal through context.
How to prepare a prompt safely
- Identify and classify the information. Check the employer’s data labels and acceptable-use rules before opening or pasting content into the service.
- Confirm the exact tool and workflow are approved. Check the account or workspace, use case, and data class. Review the current terms and settings that apply to that workspace rather than relying on another plan’s settings.
- Minimize what you share. Include only what the task needs. Replace names with roles, remove account numbers and other direct identifiers, and omit confidential details that do not affect the answer.
- Use synthetic examples when possible. If real customer, employee, or company details are unnecessary, create a short fictional example instead. Consider whether remaining facts together could still identify the subject.
- Review connections before enabling them. Before linking a source, app, or agent, check its permissions and data-handling terms. A prompt is not the only route by which information can reach an AI service.
What to check beyond model training
Whether a provider uses inputs to improve models is only one part of the decision. Check the controls and commitments that apply to the particular account and workflow:

- Retention and deletion: how long prompts and outputs may be kept, and which deletion or retention controls are available to your organization.
- Sharing and access: who in the workspace can view conversations, files, or outputs, and what access administrators can manage.
- Memory and connected services: whether information may be retained for future interactions or sent to connected apps, sources, or agents.
- Security and governance: encryption, audit and access-management capabilities, data residency where relevant, and support for your employer’s classification and DLP controls.
OpenAI says inputs and outputs from ChatGPT Business, Enterprise, Edu, Healthcare, Teachers, and the API are not used to train or improve models by default. Its business-data page also describes encryption, retention controls for qualifying organizations, and region options for eligible customers. Those statements apply to the listed products and relevant eligibility; they do not replace an employer’s approval or its own retention, privacy, and access requirements. For consumer ChatGPT, OpenAI’s help material says users can turn off the use of new chats for model improvement. Managed workspaces can have organization-level retention, memory, and access settings. Microsoft says Microsoft Copilot and Copilot Chat enterprise data protection is provided under its commercial terms and describes encryption and tenant isolation. - A usable policy: map data classes to approved tools and uses, state which account or workflow employees must use, and name an escalation contact.
- Least-privilege access: limit access to AI applications and connected data to people who need it; review permissions when staff join, change roles, or leave.
- Labels and DLP: where supported, use sensitivity labels and data loss prevention policies to warn about or block sensitive information being shared with AI applications.
- Product and agent review: assess data handling, retention, access, security commitments, and permissions before approving a service or connection.
- Governance and training: monitor AI application use consistently with organizational policy and applicable requirements, and train staff with concrete examples of secrets, personal data, regulated information, and confidential business content.
- Simple incident reporting: provide a low-friction way to report mistakes without encouraging employees to conceal or investigate them on their own.
Microsoft documents Purview capabilities for supported AI apps, including sensitivity labels and endpoint DLP policies that can warn or block sharing through browser-accessed third-party generative AI sites. Microsoft also describes AI application access controls and lifecycle governance. These are examples tied to Microsoft products and supported applications; they require configuration and should not be assumed to be active in every organization. Report the event promptly through your employer’s security or privacy incident channel. There is no universal employee procedure in the cited guidance, so follow your organization’s instructions rather than trying to manage the incident independently.

- Stop sending additional material to the tool or connected workflow.
- Preserve enough information to report what happened, following internal procedures. Note the tool and account or workspace, the type of data involved, when it was sent, and any conversation or request identifier available.
- Notify the designated incident contact promptly. Do not hide the event or independently investigate it; let the responsible team direct any next steps.
A quick decision check before you submit
- Is the data class permitted for this precise tool, account, and task?
- Have you removed details that the task does not need, and checked whether the remaining combination could still identify someone or something confidential?
- Do you understand the relevant retention, sharing, memory, connector, and access settings—not only the model-improvement setting?
- Has your organization approved any connected app, data source, or agent involved?
