If you need persistent memory, put a filter in the save path so it rejects known secrets and redacts supported personal identifiers before a candidate reaches storage. Then check the rest of the data path: “local” describes the model’s location, not necessarily every service, log, database, or backup that may handle a prompt.
Choose whether the assistant should save memories at all
If persistent memory is not necessary, turning it off is the clearest control: it prevents new memory use and avoids relying on a detector to recognize every sensitive fact. In Open WebUI, memory can be disabled globally, and administrators can restrict memory access by role or group. Its documentation says disabling Memories hides the feature, blocks its memory API endpoints, withholds memory tools, and stops stored memories from being added to chat context. Check the setting and permissions in your deployed version, because documented defaults may not match an existing installation. Open WebUI: Memory & Personalization
- No memory needed: Disable it for the deployment or user.
- Memory needed only by some people: Remove access for other roles or groups.
- Memory retained: Use a pre-save gate, and verify that it runs before any component receives the unfiltered candidate.
Distinguish saving memories from using them
Open WebUI documents a separate setting for injecting memories into system context. Turning off injection does not, by itself, prevent memory tools from being used. If the requirement is that the assistant must not save or use memory, disable the feature or revoke the relevant memory permissions rather than relying only on the context-injection setting. The documentation lists ENABLE_MEMORIES as defaulting to True and ENABLE_MEMORY_SYSTEM_CONTEXT as defaulting to True; confirm the effective values for the deployed release. Check background review and existing memories
Open WebUI documents optional background review of recent conversations to create or update memories; its setting, ENABLE_MEMORY_BACKGROUND_REVIEW, is documented as off by default. If sensitive conversations are in scope, verify that background review is off unless you have deliberately configured and tested it. Inspect the existing memory bank and clear entries that should not remain. Open WebUI says memories are stored in its local database, scoped to a user account, not shared with other users by default, and can be cleared. If you keep memory, filter candidates before they are saved
A filter is useful only if it runs before persistence or export. Build a gate in the memory integration’s save path; do not assume a filter for a different feature also protects memory. Microsoft documents an MLflow tracing pattern that filters trace inputs and outputs before export, but that example is not evidence of a built-in Open WebUI memory filter or coverage of its memory flows. Reject secrets and redact only what you can handle safely
- Reject candidates containing known secret patterns such as passwords, access tokens, private keys, or recovery codes.
- Redact personal identifiers that your implementation explicitly supports.
- For uncertain or high-risk content, prefer dropping the candidate over keeping a summary that may still identify someone.
- Avoid storing a reversible map from placeholders back to original values alongside the memories. A map kept elsewhere is still sensitive data and needs its own access controls.
A standard PII detector is not a universal secret detector. It may not recognize an internal project detail, a confidential conversation, or a contextual fact that is not represented by its entity categories. Microsoft notes that categories and context affect results and that both false positives and false negatives are possible; test with production-like examples rather than treating detection as a guarantee. Test the actual save path
- Create synthetic or appropriately approved examples that represent the information and formats your system will encounter.
- Check what the filter outputs, including known secrets, varied casing and formatting, possible false positives, and context-dependent identifiers.
- Inspect the actual database record after each test. A clean filter preview is not proof that an unfiltered value did not reach storage through another path.
- Repeat tests when the integration, detector, or deployed application configuration changes.
Audit every component that can receive a prompt
A local model does not automatically make the whole assistant local. Ollama says, “We don’t see your prompts or data when you run locally.” That statement is about Ollama’s local execution; it does not cover other applications, plugins, logs, backups, or access to the host. Open WebUI documents that configured model APIs, embedding providers, tool servers, and search services can receive external requests. - Chat frontend and memory extension
- Inference endpoint and any configured model API
- Embedding provider, tools, and web-search services
- Telemetry, application logs, and error traces
- Memory database, persistent volumes, and backups
- Outbound network connections and services reachable by the host
Protect data that remains in the deployment
Disabling capture or filtering candidates does not remove sensitive content already stored elsewhere. Limit access to the host, database, and application secrets; protect persistent storage and backups with appropriate encryption and access controls; and define how stored memories and related records are deleted. Open WebUI’s security guidance treats the host, databases, persistent volumes, application secrets, and unencrypted backups as part of the deployment’s trust boundary.
