Use one row for each horse-racing bet or ticket: record the accepted bet details when you place it, then add the result and actual return once the wager is fully settled. Keeping stake separate from gross return lets you calculate net profit or loss and check each entry against a receipt or betting-account history.
Set up one row per bet
A practical spreadsheet records enough information to identify a wager and reconcile its settlement. These suggested columns also reflect details in the UK Gambling Commission’s operator-facing guidance on transaction records; that guidance is for licensed pool-betting operators in Great Britain, not a personal legal checklist. See the Commission’s information requirements guidance, published October 30, 2020 and last updated October 17, 2024.

| Date and time placed | When the bookmaker or tote accepted the wager. |
| Bookmaker or tote | The account or pool through which you placed it. |
| Track or meeting | The venue and meeting, so the race can be identified. |
| Race number or time | The race identifier shown on the ticket. |
| Selection | The horse or other selection named on the ticket. |
| Bet type | For example, win, place, each-way, or forecast. |
| Accepted odds | The odds shown on the accepted ticket; retain the original format. |
| Odds format | Decimal, fractional, or American, as applicable. |
| Stake | The amount risked, in the currency used for the wager. |
| Settlement status | Open, settled, void/refunded, or partially settled. |
| Result | The outcome, such as win, place, or loss. |
| Gross return actually credited | The total amount credited, including returned stake if that is your chosen convention. |
| Net profit/loss | The result after applying the convention described below. |
| Payout date | When winnings were paid or credited, if applicable. |
| Receipt/reference and notes | A ticket or account-history reference and any useful settlement details. |
Use one currency throughout, or add a currency column if you place bets in more than one. Keep a receipt or account-history reference so you can verify a corrected, disputed, or unclear entry.
Enter the bet when you place it
- Record the accepted details. Enter the date and time, meeting and race, selection, bet type, bookmaker or tote, stake, and odds as accepted. Do not substitute a later price for the odds printed on the ticket.
- Label the odds format. A figure such as 5/1 is not interchangeable with decimal odds of 6.00. Keeping the accepted format avoids confusion when reviewing old rows.
- Leave settlement fields open. Until the race and any payout are final, mark the row as open rather than counting it as a win or loss.
Update the row after settlement
Once the outcome and payout are final, enter the result, settlement status, actual gross return credited, and payout date where applicable. Distinguish an unsettled wager from a settled loss: an open row is not a zero-return loss. Mark void or refunded bets and partial settlements distinctly rather than forcing them into the ordinary win/loss calculation.

For each-way bets, dead heats, free bets, or other nonstandard settlements, use the actual return and stake treatment shown by the ticket and the applicable bookmaker rules. A single odds-based formula may not represent those settlements correctly.
Calculate net profit or loss consistently
For a straightforward, fully settled cash bet, define gross return as the total amount credited, including any returned stake. Then net profit or loss is gross return minus stake. A losing bet with zero return therefore records a loss equal to the stake.

If the stake is in column J and gross return including returned stake is in column M, enter this in the net profit/loss cell for row 2:
=M2-J2
Fill the formula down for comparable, fully settled cash bets. If your return column records winnings without the returned stake, do not use that formula: label the column clearly and calculate using a convention that matches what it contains. Exclude open bets and do not apply this shortcut unmodified to void, partial, each-way, dead-heat, or free-bet settlements.

Make the ledger useful to review
Use your spreadsheet’s filters or a summary view to group settled rows by month, bookmaker, track, race code such as Flat or jumps, or bet type. Keep the underlying bet-level rows intact so a summary can be checked against individual tickets.
The Commission’s guidance also includes bet date, stake, track and race or pool identity, selection, winnings, and the date winnings were paid. It is a reference for operator recordkeeping, not a statement of the fields every individual must keep. What the spreadsheet can—and cannot—tell you
A ledger helps you see what you staked and what was returned. It does not establish that a betting approach is predictive, guarantee future returns, or provide a reason to raise stakes to recover losses. Personal tracking is also separate from legal or tax advice; rules vary by jurisdiction, while the cited Commission material concerns licensed operators in Great Britain.
