Before writing code, decide exactly what data moves, which system owns each record, whether access represents your application or an individual user, and what should happen when either system fails. The vendor, stack, data, and required response time determine the implementation; there is no safe set of universal endpoints or OAuth scopes.
1. Confirm what the SaaS vendor supports
Start with the vendor’s current API and integration documentation, rather than assuming a feature, authentication flow, or webhook is available. Record the details your design depends on:
- Available API operations and events, including whether they support the records and actions your product needs.
- Supported authentication methods, OAuth flows, scopes, and any service-account or application identity options.
- Rate limits, pagination, payload limits, API versions, and versioning or deprecation policy.
- Webhook signing or other sender-authentication method, acknowledgement requirements, retry schedule, and event schema.
- Whether a sandbox or test tenant is available, and how its data and credentials differ from production.
These are vendor-specific facts and can change. Confirm them against the chosen service’s current documentation before implementation; the title alone does not establish which endpoints, scopes, limits, or test environment apply. For example, Salesforce says that creating new Connected Apps is restricted as of Spring ’26 and recommends External Client Apps for new integrations. That is Salesforce-specific guidance, not a general rule for other SaaS products.
2. Define the data contract and source of truth
Write down the integration’s data contract before deciding how to connect the systems. For every object or field involved, identify its owner and permitted operations. A useful design record includes:

- Data: the records and fields that must move, including any fields that must not be shared.
- Direction: whether data goes from your product to the SaaS tool, from the SaaS tool to your product, or both ways.
- Ownership: which system is authoritative for each field and which system may create, update, or delete it.
- Conflicts: what happens if both systems change the same value before synchronization—for example, whether one system wins or a conflict is flagged for resolution.
- Timing: whether a user needs an immediate result, a near-real-time update, or a scheduled transfer.
- Scope and lifecycle: whether the integration handles an entire dataset or only records a particular user may access, and how retention or deletion requests are reflected.
Make direction explicit: it affects both identity and network architecture. Microsoft’s Azure Architecture Center emphasizes understanding the direction of data flows; a one-way export and a two-way synchronization are not interchangeable designs. For two-way sync, specify conflict handling and deletion behavior rather than assuming that matching field names imply matching ownership.
3. Choose the exchange pattern that fits the workflow
Choose the simplest supported pattern that meets the required response time and failure-handling needs. These patterns can also be combined—for example, an API for user-initiated actions and a webhook for later updates.

Microsoft’s Azure architecture guidance describes request-response, asynchronous messaging, and batch approaches for tenant connections. Use the SaaS vendor’s documented capabilities to determine which are actually available. Do not give an external provider direct access to your primary database; Microsoft recommends dedicated integration resources because direct exposure can create security and performance problems.
4. Choose whose identity and permissions the integration uses
Decide whether the connection acts as your application or on behalf of a person. A workload identity may suit an approved process that needs a defined dataset. Delegated, user-context access is a better fit when the integration must follow what each person is allowed to see or do. The vendor’s supported identity options determine how to implement either model.

- For workload access: limit the service identity to the specific operations and data the integration requires. Define what happens when the integration is disabled or its credentials are revoked.
- For user-context access: account for consent, changed permissions, and user deprovisioning so access does not continue after the user should lose it.
- For either model: use least privilege, store secrets and tokens in an appropriate protected store, and define rotation and revocation procedures.
Salesforce Well-Architected guidance advises propagating user identity rather than pooling it when the user’s own permissions should govern access. Its examples include certificate-based JWT bearer for trusted server-to-server work and authorization code with PKCE when user context is needed; these are Salesforce-specific options. Do not assume another SaaS provider supports the same flows or that either option is right without checking its documentation.
5. Enforce authorization and tenant isolation
Authentication establishes who or what connected; authorization determines which actions are allowed. In a multi-tenant product, also enforce tenant isolation: a valid user or service must not be able to access another customer’s data just because it has authenticated successfully. AWS Prescriptive Guidance warns that authentication and authorization alone do not guarantee tenant isolation.

- Derive tenant context from a trusted, authorized identity or server-side mapping; do not rely on an untrusted request parameter as proof of tenant access.
- Check authorization for each operation and resource, including background jobs and webhook-triggered actions.
- Keep credentials, data access, and operational records separated or otherwise constrained by tenant according to your architecture.
- Apply request-rate controls and validate inputs at the integration boundary.
Centralized policy administration, decision, and enforcement can help standardize authorization when the product’s governance and complexity justify it. Role-based access control (RBAC), attribute-based access control (ABAC), or a combination may fit; the important requirement is consistent enforcement at the boundary.

Assume the vendor can be slow, unavailable, rate-limited, or temporarily inconsistent. For outbound calls, set bounded timeouts and use retries only where the operation and vendor contract make them safe. Circuit breakers can stop repeated calls to an unhealthy dependency, while bulkheads can limit how much its failure affects other work. Microsoft Azure guidance recommends these resilience patterns for external tenant connections.

Keep enough operational state to find and recover a failed unit of work: at minimum, identify the tenant, event or job, affected record, attempt status, and a safe path to retry or reconcile it. Design repeated processing to avoid unintended duplicate effects, using vendor-supported idempotency mechanisms where available or an appropriate deduplication strategy in your integration. Provide a way to inspect failures and resume work without silently skipping records.
Webhook details must come from the specific sender’s contract. Microsoft Partner Center, for example, documents 500 retries over eight hours for its webhook and advises against strict schema deserialization that breaks when optional fields are added. That retry schedule is specific to Partner Center; it should not be applied to a different SaaS service. Its documentation also describes validating notification data through that service’s Get Operation API before taking action—again, a service-specific requirement, not a universal webhook procedure.
7. Test the boundary and plan for change
Test the integration against the vendor’s sandbox when available, then verify production behavior with appropriately limited access. Include more than the successful path:
- Missing, malformed, expired, or revoked credentials and insufficient scopes.
- Rate limiting, timeouts, vendor errors, and recovery after a dependency outage.
- Duplicate, delayed, or out-of-order events where the vendor may deliver them that way.
- Unexpected optional fields or supported schema changes.
- Attempts to cross tenant boundaries and access records outside the authorized user’s scope.
- Partial batch completion, pagination boundaries, reruns, and reconciliation after failure.
Monitor authentication failures, rejected authorization checks, throttling, delayed work, and records that repeatedly fail. Keep API versions and event handling aligned with vendor change notices, and review scopes and integration-user permissions as the product’s needs evolve. Exact endpoint names, OAuth scopes, event signatures, retry intervals, and version policies cannot be specified until the SaaS product and workflow are known.
