Insure a $27,000 video-game collectible as a separately scheduled or specialist-collections item, not as an assumed part of ordinary homeowners coverage. Before you apply, document authenticity, provenance, condition and ownership; obtain the appraisal or other valuation evidence the insurer accepts; and confirm in writing whether settlement is at agreed, market, replacement or actual-cash value. Display the item in a locked, UV-filtering case made from conservation-safe materials, keep it away from sunlight, heat and flood paths, and monitor temperature and relative humidity. Store a backed-up inventory and the paper components off-site or in archival enclosures.

Why a $27,000 collectible needs a separate insurance decision

A single item valued at $27,000 is above the $25,000 scheduling threshold stated on the current video-game policy page from Collectibles Insurance Services (accessed in 2026): “Individual items or sets whose insured value is set at $25,000 or more must be scheduled items.” Scheduling means the collectible is individually identified and assigned a stated value, rather than relying on a broad contents limit.

Standard homeowners or renters policies often apply a sublimit to collectibles and settle personal property at actual cash value. Actual cash value can reflect depreciation and may not track a rare game’s collector-market price. A policy that covers ordinary electronics or toys therefore does not automatically promise $27,000 after a loss. The declarations page, endorsements and definitions in your own jurisdiction control.

Start with a written quote from a specialist collectibles insurer and a quote for a scheduled-personal-property endorsement from your home insurer. Compare the wording, not just the premium. A less expensive policy can be inadequate if it excludes accidental breakage, transit, exhibition, mysterious disappearance or the location where you intend to display the item.

Choose the coverage route

Route How value is handled Potential advantages Questions to verify
Specialist video-game or collectibles policy The insurer may use agreed, market or another defined valuation method; individual items at or above $25,000 may have to be scheduled. Designed for games and other collectibles; the cited specialist says it can include transit and exhibition coverage. Eligible countries and states, underwriting requirements, appraisal age, deductible, security conditions, flood and mysterious-disappearance wording, and whether sets must be scheduled together.
Scheduled personal-property endorsement An individually listed item can be insured up to an appraised or otherwise accepted value. Liberty Mutual describes scheduling as a common way to extend protection beyond standard sublimits; Amica says scheduled items can be covered up to full appraised value when required proof is supplied. Can keep the collectible with an existing homeowners or renters policy and may provide broader treatment than an unscheduled contents limit. Whether accidental damage, breakage, loss away from home, transit and flood are included; the required appraisal, receipt or certificate; deductible; territory; and claim settlement basis.
Standalone collections policy May use blanket limits for a collection, scheduled values for individual pieces, or agreed-value settlement. Chubb describes blanket or scheduled options, agreed-value settlement and worldwide choices, subject to the actual policy wording. How the insurer values a one-of-a-kind game, how often values must be updated, exclusions, pairs or set treatment, alarm requirements and any maximum per item.

Ask each insurer to identify the exact clause that applies to a $27,000 item. Do not rely on a sales summary or a verbal promise; retain the quote, schedule, endorsements and declarations page together.

Understand the valuation terms

  • Agreed value: you and the insurer establish a value in advance, usually supported by an appraisal or market evidence. Ask whether a covered total loss pays that amount without depreciation and what happens if the market changes.
  • Market value: settlement follows the collectible’s defined market at the time of loss. Confirm which market, geography and evidence the adjuster uses.
  • Replacement value: settlement is tied to the cost of obtaining an equivalent item under the policy’s rules. A genuinely unique game may have no readily available replacement, so ask how the clause operates.
  • Actual cash value: typically subtracts depreciation or otherwise uses a cash valuation that may be below collector-market value. This is the treatment the specialist source says is typical of ordinary homeowners coverage for collectibles.

Coverage questions to put in writing

Send the insurer a list of the events and locations that matter to your display plan. Request a yes-or-no answer and the applicable limit or exclusion for each:

  • Theft, attempted theft and vandalism.
  • Accidental breakage, dropping, liquid damage and damage while installing or removing the case.
  • Fire, smoke, water escape and flood. Flood is often treated differently from ordinary water damage.
  • Transit to an appraiser, show, buyer, conservator or new home.
  • Exhibition away from home and storage in a bank vault, climate-controlled facility or other off-site location.
  • Mysterious disappearance, meaning the item is missing but no specific theft event can be established.
  • Worldwide or cross-border territorial limits, including time limits outside your home country.
  • Deductible, pair-and-set rules, sublimits, security warranties and required alarms or locks.
  • Inflation protection, automatic value increases and the process for raising a scheduled value when the market moves.

Build the evidence file before applying

An insurer can only pay what it can identify and value. Create the file while the collectible is in your possession and before any cleaning, repair or modification.

  1. Photograph every surface. Use a date reference in the frame and capture the front, back, sides, top, bottom, packaging, seals, labels, serial numbers, edition marks and every defect. Take high-resolution close-ups of identifying marks and unusual wear.
  2. Record ownership and provenance. Save the purchase receipt, auction record, seller correspondence, certificate of authenticity, chain-of-ownership information and payment record. If the item changed hands several times, write a dated timeline.
  3. Write a condition report. Describe the case, cartridge or disc, manuals, inserts, stickers, seals, labels, accessories and packaging. Note scratches, fading, tears, replaced parts and missing components. Pair each observation with a photograph.
  4. Obtain acceptable valuation evidence. Ask the insurer whether it requires a formal appraisal, who may perform it, how recent it must be and whether a certificate, receipt or auction record can supplement it. Do not assume an online asking price qualifies.
  5. Preserve originals and make backups. Scan receipts, certificates, correspondence and the condition report. Keep one encrypted copy in cloud storage and another copy outside the home. Tell a trusted person where the inventory can be found without giving public access to your address.
  6. Do not alter the object before advice. Do not clean, open, polish, replace labels, repair a seal or test a fragile component solely to improve its appearance. Ask the insurer or a qualified conservator first; an intervention can change evidence of authenticity and condition.

Give the insurer the inventory and appraisal through its approved channel, then check that the final schedule spells the item correctly: title, edition, platform, serial or catalog number, included components, stated value and storage address.

Design a display that protects the collectible

Specify the case before choosing its style

Use a lockable exhibition case or a frame that is securely attached to the wall. The Library of Congress advises placing displayed items inside a secure exhibition case or attaching them securely to prevent theft and vandalism. For a $27,000 piece, choose a case with a real lock, robust hinges, tamper-resistant fasteners and a mount that cannot be lifted out through the door.

  • Glazing: Select glass or acrylic with documented UV filtering. Ask the maker for the percentage and wavelength range rather than accepting “UV safe” as a marketing phrase. Keep glazing from touching the game, box, label or paper insert.
  • Materials: Use chemically inert supports, spacers and liners that have passed relevant conservation tests. Avoid exposed wood, untreated foam, rubber, PVC and unknown adhesives inside the sealed volume; these can release acids or vapors.
  • Clearance: Leave air space around all faces and allow room for a sensor. Nothing should press against a cover, seal, cartridge label or disc surface.
  • Mounting: Support the item at its strongest structural points with soft, non-abrasive, inert restraints. Do not attach tape, adhesive or pressure clips to original packaging.
  • Security: Anchor the case to a structural wall or substantial furniture, keep keys or codes restricted, and consider a contact alarm or camera where the value and household risk justify it.

Control temperature and relative humidity

National Archives and Records Administration guidance published in 2016 gives a home range of 55–70°F and 30–55% relative humidity for video materials and says the conditions should not fluctuate ideally. Keep the case and room within a stable band rather than chasing a precise number with a small consumer humidifier.

Place a calibrated temperature/RH data logger inside or immediately beside the case. Review its readings for seasonal drift, rapid swings and condensation risk. Do not put the case beside a radiator, heat register, exterior wall with condensation, kitchen, bathroom, window, fireplace or HVAC discharge. Keep it above floor level and away from known leak or flood paths.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If your room cannot remain stable, move the collectible to a climate-controlled storage area and ask the insurer whether that location is covered. Never use an unregulated attic, garage, basement with flooding risk or shed as permanent storage.

Limit light and heat

Direct sunlight can heat the case and fade inks, labels and colored plastics. Use a wall without direct sun, UV-filtering glazing and low-heat lighting outside the case. Put display lights on a timer and turn them off when nobody is viewing the item.

Paper components are especially vulnerable. The Canadian Conservation Institute recommends reduced light exposure and UV-filtering glazing where appropriate, noting that sensitive colorants can fade even at low museum light levels. A Western Australian Museum conservation summary cites 50 lux as a maximum for sensitive paper displays and gives 45–55% RH and 15–25°C as contextual museum ranges; treat those figures as a conservation reference, not a universal requirement for every game, and confirm applicability with a conservator.

Control pollutants and pests

Use a sealed or filtered case where practical to reduce dust and airborne pollutants. Keep the display away from cooking fumes, smoke, solvents, fresh paint, incense and aerosol sprays. Inspect for insects and rodents, and never place the item on the floor. National Archives exhibition guidance combines filtration or sealed enclosures with UV filters and additional alarms, cameras or guards for high-security items.

Store manuals, inserts and spare components correctly

A complete collectible is more than its main cartridge, disc or console. Manuals, maps, certificates, boxes, trays, cables and promotional inserts can determine both value and authenticity.

Decide whether to display the original

Situation Safer choice Reason
The original has fragile paper, fading inks, an unsealed box or an irreplaceable seal. Display a high-quality reproduction or an empty presentation case; keep the original in archival storage. Reduces light, handling and theft exposure while preserving the evidence that drives value.
The original is structurally robust, the case is secure and the room is monitored. Display the original for limited, timed periods. A controlled exhibition can be reasonable when environmental and security risks are documented.
You cannot maintain stable temperature/RH or control household access. Use professional climate-controlled storage and display a reproduction at home. An attractive case cannot compensate for unstable conditions or uncontrolled access.

Tell the insurer where the original is kept, whether a reproduction is displayed and whether the item moves between locations. A change from home storage to a show, shipping carton or storage facility can trigger different coverage terms.

Install and document the display safely

  1. Survey the room. Identify sunlight angles, heat sources, vents, plumbing, exterior-wall condensation and floor-level flood routes. Select a stable interior wall or anchored furniture location.
  2. Verify the case. Confirm the lock, glazing UV specification, inert interior materials, structural load rating and clearance. Reject any component that contacts the collectible or emits a strong odor.
  3. Prepare the mount. Wash and dry hands, clear the work area, and use clean nitrile gloves only if they improve grip without transferring powder or snagging materials. Follow the conservator’s handling advice for the specific object.
  4. Install the logger. Place a temperature/RH logger where it measures the object’s micro-environment without touching it. Record its serial number, calibration date and starting reading.
  5. Secure the case. Anchor it to a structural member, close and lock it, and test that the door cannot be pried open. Photograph the installed case and wall attachment for the security file.
  6. Set lighting. Use low-heat, UV-controlled lighting outside the case, aim it away from labels and paper, and program a timer.
  7. Run a trial period. Leave the empty or protected case in place and review logger data for several days through a weather change or HVAC cycle. Correct rapid swings before adding the collectible.
  8. Install the collectible once. Photograph its final position, inventory every component and record the date. Avoid repeated handling merely to improve the arrangement.

Maintain the case and insurance file

Monthly checks

  • Review logger data for excursions, condensation or a failing battery.
  • Check the lock, hinges, anchors, alarm contact and camera view.
  • Inspect for dust, insects, leaks and new fading without opening the case unnecessarily.
  • Confirm that off-site backups of photos and documents open correctly.

Seasonal and annual checks

  • Compare room and case readings as heating or cooling seasons change; correct the cause of swings rather than placing a humidifier next to the collectible.
  • Update photographs if the condition, packaging or display arrangement changes.
  • Ask the insurer whether the appraisal remains current and whether a new appraisal is required. Review the scheduled value against credible recent sales evidence.
  • Reconfirm territory, deductible, storage address, transit and exhibition coverage before traveling or lending the item.
  • Replace logger batteries and renew calibration according to the instrument maker’s instructions.

What to do after damage, theft or disappearance

  1. Make the scene safe. Stop leaks, isolate electrical hazards and prevent further handling. Do not clean, repair, open or discard damaged packaging.
  2. Notify authorities when appropriate. Report theft, burglary, vandalism or suspected fraud to local law enforcement and obtain the report number.
  3. Notify the insurer promptly. Ask for the claim number, adjuster’s instructions, approved conservators and documentation deadline. Tell the insurer if the item is missing without a known event so the mysterious-disappearance clause can be applied correctly.
  4. Preserve evidence. Photograph the case, lock, room, fragments, water line, packaging and surrounding area before moving anything. Keep damaged parts in inert, labeled containers.
  5. Provide the file. Send the schedule, appraisal, receipts, provenance, condition report, dated photographs, logger records and police report through the secure channel requested by the insurer.
  6. Get written approval before restoration. A repair can affect authenticity and settlement. Use only a conservator or specialist accepted by the insurer, and retain all estimates and treatment records.
  7. Check the settlement method. Compare the proposed payment with the policy’s agreed, market, replacement or actual-cash-value clause, deductible and any pair-and-set provision. Request the calculation in writing.

Common mistakes that reduce protection

  • Assuming a homeowners policy covers the full collector value because the item is listed under personal property.
  • Using an online asking price as an appraisal without confirming that the insurer accepts it.
  • Waiting until after a loss to photograph serial numbers, seals, defects and component completeness.
  • Displaying the original in direct sun, beside a radiator or in a case made with unknown foam, rubber or wood.
  • Sealing the case so tightly that temperature and humidity cannot be monitored or corrected.
  • Leaving manuals and certificates loose, folded or in ordinary plastic sleeves that can off-gas or trap moisture.
  • Shipping the collectible, lending it to an exhibition or moving it to storage without checking transit, exhibition and geographic terms.
  • Cleaning, opening or repairing the item before the insurer or a conservator documents it.
  • Publishing photographs that reveal the home address, alarm layout or storage location.

A practical decision checklist

Before you display the $27,000 collectible, confirm every item below:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • ☐ The title, edition, serial or catalog number and included components are written on the inventory.
  • ☐ Dated photographs show all sides, marks, packaging and defects.
  • ☐ Receipts, provenance and authenticity records are scanned and backed up away from home.
  • ☐ The insurer has accepted the appraisal or other valuation evidence and the item appears on the schedule.
  • ☐ The policy states the settlement basis, deductible, covered causes, exclusions, territory and storage requirements.
  • ☐ The case locks, anchors securely, filters UV, uses inert supports and leaves clearance around the object.
  • ☐ A temperature/RH logger is operating, and the room is kept within the National Archives’ 55–70°F and 30–55% RH home guidance without significant swings.
  • ☐ Lighting is low-heat, UV-controlled and timed; paper components are rotated into archival storage.
  • ☐ The item is above floor level and away from windows, heat, vents, plumbing, kitchens, bathrooms and pollutants.
  • ☐ Claim contacts, a conservator contact and the off-site inventory location are recorded for the household.

With those controls in place, the collectible is treated as both a financial asset and a sensitive archival object: its value is documented before a loss, its policy terms are explicit, and its display environment is measurable rather than assumed.
