Grow a video production company by attracting the work you want, focusing outreach on buyers who need it, delivering an experience clients value, and adding capacity only as demand requires. Start by aligning your portfolio and offer; then improve how you find and serve clients, manage costs, and decide whether to stay solo, use collaborators, or build a team.
Choose the work you want to be known for
Growth is not simply more projects. If the work coming in does not fit your skills, margins, or ambitions, a fuller calendar can leave the business no stronger. Decide which buyers and project types you want to attract, then make your positioning, website, and reel support that choice.
Make the portfolio a deliberate sales tool
- Choose samples that resemble the projects you want to win. Vimeo’s marketing guide advises that clients often hire for work similar to the samples they see, and warns that showcasing work you do not want can invite mismatched inquiries.
- Put the most relevant work where a prospective client can find it quickly. Give enough context to show the problem, audience, and role your company handled, rather than relying on a reel alone to explain your value.
- If you lack a suitable sample, consider making a proof-of-concept piece that demonstrates the format or approach you want to sell. Treat it as a portfolio investment, not evidence of an existing client commission.

Keep the offer focused, but not rigid
A production company does not need to offer every format. Assess each against your audience’s needs, your team’s skills, and the equipment, workflow, and management capacity it would require. A focused offer can be easier to communicate; an added service makes sense when it serves a plausible buyer need without undermining delivery.

Find buyers who are likely to need your work
Build outreach around organizations with a credible reason to commission video, not a broad list of businesses chosen only because they exist. Identify the likely buyer and the kind of project they may need, then make a specific, relevant introduction.
- Define a buyer group. Choose organizations whose audience, communications needs, or activity plausibly fit your offer.
- Find a relevant contact. Address the person or team connected to the work where possible; avoid treating generic mass outreach as a substitute for understanding the prospect.
- Explain the fit. Briefly describe what your company does and why it could be useful to that organization.
- Show relevant work. Include a sample that resembles the likely project, rather than sending an undifferentiated reel.
- Follow up professionally. Keep the conversation useful and respectful. A lack of response is not permission to send repeated, intrusive messages.
Christopher Hoerdemann’s account of growing Prime 312 describes outreach to organizations likely to need video and the use of relevant samples. In his experience, one free project became a year-long contract and led to another client through an event referral. That is one company’s story, not a typical conversion rate or a reason to routinely work for free. If considering a no-fee sample or pilot, define its scope, usage rights, and what happens afterward before starting.
Turn good delivery into relationships and referrals
Winning a project is only one part of growth. Make the work easier for the client to navigate: set expectations, clarify responsibilities, communicate changes promptly, and deliver what was agreed. Hoerdemann says clients appreciated “how much easier [we] made [their] projects feel.” The bracketed wording is his phrasing in Vimeo’s account of customer feedback, not a universal result to promise.
Build a repeatable client experience
- At kickoff, confirm objectives, audience, deliverables, schedule, decision-makers, and approval stages.
- Make the production approach clear, including what the client needs to provide and when.
- Flag scope changes and their effects on timing or cost before proceeding.
- After delivery, ask what worked and what could be smoother next time. Use useful feedback to improve the process and identify appropriate follow-on work.
- When a client is pleased, make it easy for them to refer you: explain the kind of project and buyer that is a good fit, and ask permission before using their work or name as a case study.
Choose a production model clients value and the business can sustain
A lean, portable shoot can reduce disruption and suit some projects; a larger crew or more elaborate setup may be right for others. The correct choice is the one that meets the brief and client expectations while making sense for the budget and delivery plan. Do not sell a small footprint as a virtue if it compromises the result the client needs.

Hoerdemann describes adapting his company’s positioning from “small footprint” to “no footprint” during the pandemic. That is his example of responding to changed client circumstances, not a formula every production company should adopt. Listen for what buyers are actually concerned about, then explain how your approach addresses it.

Scale capacity in response to real demand
If you are carrying producing, directing, shooting, and editing yourself, first identify which responsibilities constrain delivery or prevent you from pursuing better-fit work. Options include staying solo with a tighter workload, hiring project collaborators, or building a team. Compare them against confirmed demand, workload, budgets, quality control, and the owner’s desired role; there is no universal team size or revenue threshold that dictates when to hire.
Add help where it removes a bottleneck
Vimeo’s profile of director Ibrahim Zafar describes his early work across producing, directing, shooting, and editing, followed by a shift toward directing and leading a team. The article recommends growing organically as demand increases. Zafar says, “We’ve naturally needed more help as we’ve grown, which I think is the proper way to handle transitioning from a solo director to a company.” This is a practitioner’s experience, not proof that a particular staffing path suits every business. Make the owner’s job change deliberately
More capacity can create more coordination, budgeting, and cost-management work. Before delegating production tasks, decide who will brief collaborators, review work, communicate with clients, and protect the schedule. If the owner wants to keep most hands-on craft work, growth may mean a carefully managed collaborator network rather than a permanent team.

Use tools when they solve a specific workflow problem
Vimeo’s growth article discusses AI script-writing, teleprompters, text-based editing, and video platforms as possible workflow aids; it also notes hosting, branding, and analytics capabilities. These are options, not required purchases or guaranteed growth drivers. Start with a concrete bottleneck—such as script preparation, review coordination, or presenting finished work—and assess whether a tool saves enough time or improves client value to justify its cost and learning curve.

Manage pricing and costs without relying on generic benchmarks
The sources discussed here support making budgets and cost management part of the owner’s role as a company grows, but they do not establish universal production rates, profit margins, revenue targets, or hiring thresholds. Avoid treating an online benchmark as a pricing rule without checking whether it fits your market, project scope, and cost base.
Build project estimates from your own economics
- List the labor, preparation, production, post-production, travel, rentals, licensing, and other project-specific costs that apply.
- Account for the time spent on communication, revisions, file delivery, and administration—not just the hours on set or at the edit station.
- State deliverables, revision limits, assumptions, schedule, and payment terms clearly in the proposal.
- After a project closes, compare the estimate with actual time and costs. Use the difference to improve future scopes and quotes.
