Most PDF problems on a Mac come from one of four causes: the source document uses fonts macOS cannot find, the file was converted through a low-fidelity print or scan workflow, an old Office build interprets font names differently, or an online conversion service rejects or times out on a complex file. Fix the cause rather than repeatedly re-saving the damaged PDF: restore or activate the required fonts, export a PDF directly from the original application, update Office, use a supported browser for Acrobat Export PDF, and run Preview’s text-recognition export for scans.
Start with the symptom
Use the symptom to choose the shortest troubleshooting path. Keep the original Word, Pages, InDesign, or other source file unchanged until the PDF is correct.

Fix missing fonts and font substitution
What the warning means
A Missing Fonts message means the document references a typeface that is unavailable to the application. The application substitutes another font, which can alter character widths, line wrapping, spacing, table widths, pagination, and even the position of graphics. A PDF can therefore look “converted” while still being wrong because the substitution happened before export.
Restore the intended font
- Note the exact family and style named in the warning, including weights such as Semibold or Italic.
- If the font belongs to your Creative Cloud library, open the Creative Cloud desktop application, sign in to the account that licenses it, and activate the family and required styles.
- If you have a legitimate installer or font file, install it for the affected macOS user and confirm that the family and style appear in Font Book.
- Quit and reopen Word, InDesign, Pages, or the application that produced the warning. Some applications cache their font list and will not see a newly installed typeface until they restart.
- Open the source document and check headings, tables, footnotes, and page breaks before exporting again.
If the original font cannot be obtained, replace it deliberately with an available typeface. After replacement, review every page because a substitute with different metrics can still change the layout.

Check and repair fonts with Font Book
Open Font Book from Applications and search for the family named by the document. If it is absent, macOS cannot supply it to third-party applications. Apple advises restoring fonts that came with the Mac when a system font is missing. System fonts cannot be deactivated or removed; if a problem occurs only inside Word or another third-party application, Apple directs you to that application’s developer for application-specific support.
When Font Book shows duplicates or a damaged family, use its validation tools, remove only the duplicate or user-installed copy you can identify, and keep a backup of the source files. Do not delete or deactivate protected macOS fonts to solve a document-level problem.
Embed fonts when the format supports it
Font embedding stores the typeface data in the document so a reader’s computer does not have to substitute a local font. Adobe’s Acrobat troubleshooting guidance states that embedding prevents substitution when people view or print a file and preserves the original text appearance. Embedding does not repair a document that was already laid out with the wrong substitute, so install or activate the correct font first and then export a fresh PDF.

Some fonts prohibit embedding through their license settings, and embedding can increase file size. If a font cannot be embedded, use a licensed alternative that can be distributed or convert the finished pages to outlines only when your production workflow requires it; outlined text is no longer searchable or easily editable.
Choose a conversion path that preserves fidelity
Prefer native PDF export
The most reliable path is to export directly from the application that owns the original layout. In Word for Mac, use File > Save As or File > Export, choose PDF, select the desired quality option, and inspect the result. In a layout application, use its PDF export command rather than printing a page image. Native export retains document structure, font information, vector graphics, transparency, links, and selectable text more reliably than a print or scan workflow.
Why Print to PDF and Scan to PDF can fail
Adobe reports that converting a Word file through Print to PDF or Scan to PDF can produce low-quality conversion and garbled output. Printing may rasterize or reinterpret fonts and transparency; scanning creates an image that requires OCR. The safer sequence is:

- Open the original editable document.
- Export that document directly to PDF.
- Open the resulting PDF and verify text, fonts, page breaks, images, links, and tables.
- Only then convert the PDF to another format if a recipient requires Word, Excel, or another target.
Converting the original document to PDF before exporting it to the target format gives the conversion service a stable, page-described input instead of a partially interpreted print stream.
Repair poor scans before conversion
If the source is paper, rescan pages that are skewed, smudged, faint, shadowed, or marked. Straighten the page, clean the glass, use even lighting, and capture enough resolution for small characters. OCR cannot reliably recover letters that are blurred or covered by marks. Check the recognized text against the image, especially names, decimal values, dates, and legal wording.
Troubleshoot Acrobat Export PDF failures
Use a supported browser
Acrobat Export PDF supports Microsoft Edge, Mozilla Firefox, Google Chrome, and Safari 11. If a conversion fails in one browser, retry in another supported browser rather than repeatedly submitting the same job. A private window can help determine whether an extension or stale session is interfering.

Clear local causes before retrying
- Save the source file locally with a short name and confirm that it opens correctly.
- Sign out of the Acrobat web service, close the browser, reopen it, and sign in again.
- Clear the browser cache and site data for the Acrobat service.
- Temporarily disable extensions that modify downloads, scripts, or privacy controls, subject to your organization’s security policy.
- Check whether a firewall, proxy, VPN, or content filter is blocking the upload or download endpoint. On a managed Mac, ask the administrator to allow the service rather than changing security settings permanently.
- Retry with a freshly exported native PDF.
Respect size and complexity limits
Adobe states that Acrobat Export PDF rejects files larger than 100 MB. Files below that limit can still time out when they contain many pages, fonts, large graphics, transparency effects, or other complex content. If a legitimate file is under 100 MB but repeatedly times out, create a simpler input: remove unused pages, downsample oversized images when print resolution permits, reduce unnecessary font variants, or split the document into logical sections and convert those sections separately. Reassemble the verified outputs only after checking page order and links.
Fix Word for Mac font and layout incompatibility
Microsoft documents a compatibility problem in older Office for Mac builds. Newer documents can render incorrectly because font names were saved differently between macOS and Windows. Updating Office to build 16.38.530 or later applies Microsoft’s newer font-naming conversion. Older clients may continue to show substituted fonts even when the document was created correctly.

- Confirm that the installed build is 16.38.530 or later.
- Close and reopen Word, then reopen the source document.
- Check the font menu for the intended family and styles. If a style is still unavailable, install or activate the font in Font Book or Creative Cloud.
- Export a new PDF from the updated Word build and compare page breaks with the original.
When a document is shared between Windows and Mac, keep the same font files and application versions on both sides. A PDF exported after the correct font is resolved is more portable than relying on each recipient’s Office installation to reconstruct the layout.

Make a scanned PDF searchable in Preview
Apple’s Preview app can recognize text in an image-based PDF and embed that text so it can be selected in any PDF viewer. The command appears only when text has not already been recognized.
- Open the scanned PDF in Preview.
- Choose File > Export.
- In the export options, select Embed Text.
- Choose a new filename so the untouched scan remains available for comparison.
- Open the exported PDF, drag across several lines, and copy the selection into a plain-text editor to test recognition.
If Embed Text is unavailable, Preview believes the PDF already contains recognized text. Test selection anyway; an earlier OCR pass may have produced incorrect characters. For a poor result, return to the scan, straighten or rescan the affected pages, and repeat the export. Preview’s OCR adds a text layer; it does not improve the underlying image or repair a wrong font in a native document.
Diagnose broken formatting page by page
Separate font errors from conversion errors
Open the source and PDF side by side at the same zoom. If line breaks, headings, and table widths change everywhere, suspect font substitution or an Office compatibility issue. If only images, transparency, or page backgrounds change, suspect the conversion route or PDF settings. If text is selectable but characters are wrong, suspect OCR or a damaged character map rather than missing fonts.
Check document complexity
- Fonts: count families and styles, look for duplicates, and verify that every required style is installed.
- Graphics: inspect high-resolution images, transparency, clipping masks, and embedded objects.
- Pagination: compare page size, margins, headers, footers, section breaks, and widows or orphans.
- Tables: look for changed column widths, hidden overflow, and substituted symbols.
- Text direction and symbols: test accented characters, ligatures, non-Latin scripts, and special glyphs on several pages.
Export a one-page copy containing a failing element. If the small test succeeds, add pages or objects back in groups until the element that triggers the failure is isolated. Replace that object or simplify its effects in the source rather than editing dozens of damaged PDF pages.

Prevent the next PDF failure
- Keep an editable master and export a new PDF instead of repeatedly converting an already damaged file.
- Maintain a documented list of fonts used in the project and verify them in Font Book before handoff.
- Activate or install fonts before opening the source document, not after the layout has shifted.
- Use native PDF export for digital documents; reserve scanning for paper originals.
- Proofread OCR output, with special attention to numbers, names, symbols, and headers.
- Keep Office for Mac current when files move between Windows and Mac.
- For Acrobat Export PDF, stay within the 100 MB limit and simplify unusually complex files before submission.
- Open the final PDF in at least one different viewer and test text selection, search, printing, links, and page order.
