If a Microsoft Teams AI recap is missing, first check whether the meeting produced a transcript or recording, whether the event meets recap requirements, and whether you have permission to view its materials. If the recap is inaccurate, compare it with the transcript and recording: the recap is generated from meeting data, so errors in the source transcript can carry through.
Start with the meeting’s Recap and source files
After the meeting ends, open its chat or calendar event and select Recap. Check whether a recording or transcript is available. Intelligent Recap relies on event transcript, attendance data, and PowerPoint Live data; without usable source material, it cannot provide the documented AI recap features. Microsoft’s Recap guidance says an AI summary requires a transcribed event in a supported language that lasted at least five minutes. Microsoft recommends recording and transcribing for the best recap experience.
- If there is no transcript, confirm that transcription actually started during the meeting.
- Check that the spoken language was supported and correctly selected.
- If the recording or transcript exists but you cannot open it, go to the access checks below.
These are eligibility checks, not a guarantee that every recap component will appear immediately for every qualifying event.
“I can’t transcribe a meeting in Microsoft Teams”
If the organizer or participant could not start transcription, the meeting’s settings or the participant’s role may be the cause. Ask the organizer to review the meeting options, especially Copilot, recording and transcription, and the roles allowed to start them. Microsoft lists Copilot being turned off, Who can record and transcribe being set to No one, and transcription being restricted to organizers/co-organizers or designated presenters as possible causes. - In Teams, open the meeting’s Meeting options.
- Check whether Copilot is enabled and review the Recording & transcription options, including Who can record and transcribe.
- If transcription is restricted, ask the organizer to permit the appropriate role or start transcription themselves.
- If Copilot was off and transcription is unavailable, Microsoft advises the organizer to close the meeting, enable Copilot in meeting options, and restart the meeting.
For future meetings, organizers can set recording and transcription to start automatically. With an eligible Copilot or Teams Premium license, meeting options can also specify who may start recording or transcription and who may access the resulting files. These are separate controls: permission to start transcription does not automatically grant permission to view its transcript. See Microsoft’s guide to meeting options.
The recap exists, but you cannot see it
A recap or transcript may be available to other attendees while access is limited for you. The organizer can set recording and transcript access for everyone, organizers and co-organizers, or specific people. Copilot will not be available to an attendee excluded from access to the recording or transcript, even if Allow Copilot is set to Only during the meeting. If the organizer changes the access option while the meeting is underway, the meeting must end and restart before the change takes effect. If you cannot find or open an artifact that should exist, ask its owner to grant access. Later SharePoint permission changes, sensitivity labels, or a shared recording link can also affect access; the meeting-option setting does not override those changes.
“Where is my recording?” Check the right place
Start with the meeting chat or calendar event and open Recap. Do not assume that a missing entry in the Meeting Recaps app means no recap was generated. Its homepage lists scheduled meetings from the past 30 days that were recorded or transcribed, but does not list instant or Meet Now meetings, meetings with temporary transcription only, or meetings without a recording or transcript. Fix an inaccurate recap by checking the transcript
Compare the recap’s claims, speaker attribution, and assigned tasks with the transcript; consult the recording when the wording or context matters. If the transcript misheard someone, the AI recap may reflect that mistake. Microsoft cautions: “Some AI-generated content might be inaccurate, incomplete, or inappropriate.” Treat names, figures, decisions, and task assignments as claims to verify rather than as an authoritative record.
Improve speech capture in future meetings
- Set the spoken language correctly.
- Speak clearly and close to the microphone.
- Reduce background noise and avoid people speaking over one another.
- Consider using high-quality Teams-certified audio equipment.
These practices can improve caption accuracy, but they do not guarantee a correct transcript or AI summary. Microsoft’s live-caption guidance covers spoken-language and audio-quality considerations: Use live captions in Microsoft Teams meetings.
