If a Microsoft Publisher file opens with different fonts, shifted page breaks, or text cut off at the bottom of a box, first identify whether the font is missing or only specific characters lack glyphs. Then restore or substitute fonts deliberately, correct any resulting text overflow, and check a print proof. A substitute can keep text readable, but it may change the publication’s layout.
Find out what changed
When a publication uses a font that is not installed or embedded, Windows can provide a substitute. In Publisher, open the Fonts dialog and review the missing font and suggested replacement under Font substitution. In newer versions, Microsoft also directs users to File > Commercial Print Settings > Manage Embedded Fonts > Font substitution. Labels and locations can vary in older versions.
If the problem affects only particular East Asian characters and you see a small box in their place, the font may lack those characters rather than being wholly unavailable. Check File > Options > Advanced for Automatically substitute font for missing East Asian characters. Microsoft says this option is selected by default in the versions covered by its instructions. Microsoft’s missing-font instructions cover Publisher for Microsoft 365 and list Publisher 2010, 2013, 2016, 2019, and 2021; menus may differ by version.
Choose a safe font-substitution option
Publisher offers a temporary substitution for viewing and printing in the current session, or a permanent substitution that changes the publication itself:

- Temporary: Select Temporarily substitute this font for display and printing when you need to inspect or print the file without changing its saved font. The choice is not saved with the publication.
- Permanent: Select Permanently substitute this font in the publication only if you intend to replace the original font. Microsoft says this change cannot be undone through that step. Save an untouched copy first; installing the original font later lets you use it again.
Do not assume a similar-looking replacement will preserve page composition. Microsoft warns that substitution can change line and column breaks, page breaks, line spacing, hyphenation, and overflow. Inspect every page after applying a substitute.
Keep fonts consistent when sharing or printing
To preserve the intended typography on another computer or at a print provider, use one of these approaches, depending on the font and its license:

- Embed an eligible font: Publisher embeds TrueType fonts, and only when the font’s license permits embedding. Check File > Info > Manage Embedded Fonts for restrictions. Microsoft describes the permissions as Preview-only (embedding is allowed, but edits cannot be saved on another computer), May embed (embedding and saving edits are allowed), and May not embed (embedding is prohibited). - Install the same font: Confirm the receiving computer has the same font installed.
- Coordinate with the commercial printer: Ask whether the printer has the required font. If a non-embeddable font is missing, Microsoft says the printer must purchase it or substitute another font. For PostScript fonts, confirm the printer’s setup before sending the publication.
These choices trade off convenience, editability, and fidelity: embedding is subject to licensing, while a substitute may alter the design. If the original font cannot be supplied, agree on a replacement with the recipient or printer and proof the result.
Fix text overflowing a box
Overflow means some text does not fit inside its text box; it is hidden, not necessarily deleted. After a font substitution or other reflow, select the approach that best protects the design:

- Make the box larger: Drag its handles to provide more room while keeping the original typography.
- Reduce the text size automatically: Select the box, then use Text Box Tools Format > Text Fit > Shrink Text On Overflow. Publisher reduces the point size until the overflow is gone. Best Fit adjusts text as the box is resized.
- Adjust typography or spacing: Change the font or point size, reduce line spacing, adjust tracking (available for print publications), or reduce the text-box margins. These changes can affect the page design.
- Continue the story in another box: In newer versions, select the overflowing box and choose Text Box Tools Format > Linking > Create Link, then click the destination box. Microsoft also describes clicking the lower-right overflow indicator (ellipsis) and then the destination box. Text flows into the linked box and continues there as more is added. After changing a font, box size, or text fit, check the affected page and the pages that follow it: reflow can push content elsewhere in the publication.
Correct a screen-to-print font mismatch
If the publication looks right on screen but prints differently to a PostScript printer, the printer may be using resident fonts with the same names instead of the versions used by the publication. In Publisher, select the final PostScript printer and open Advanced Output Settings > Graphics and Fonts. Under Fonts, select Use only publication fonts to restrict output to the publication’s fonts. Allowing printer-resident fonts can print faster or reduce file size, but Microsoft warns that the result may look different. Print and inspect a proof before running the full job. Use a font scheme only for a deliberate redesign
If you cannot obtain the original font or want to redesign the publication, use Page Design > Fonts to choose a font scheme. Schemes change the publication’s styles to use the scheme’s two fonts; Font Scheme Options controls which attributes, such as font and size, change. This is a broad design change, not a repair that preserves the existing typography. Review page breaks and overflow afterward. See Microsoft’s font-scheme instructions.
