Trace each suspect sale through four checkpoints: the register, its offline or pending queue, the integration or synchronization job, and the analytics store. Capture a stable identity for the sale, retry only with an idempotent transaction or payment reference, and preserve voids and corrections as status changes instead of deleting rows. This separates a genuinely missing sale from a delayed upload, a split-tender export, or a payment that was authorized before the register crashed.

Start with a transaction lineage map

A POS transaction is not a single row that appears everywhere at once. It normally moves from the register to a local queue, through an integration or channel job, into a central POS or headquarters system, and finally into an analytics or reporting model. A failure at any handoff produces a different repair.

Map the record before changing data. For every suspect sale, write down the values below and keep the original receipt or payment evidence alongside them.

Identity field Why it matters
Business date Separates trading days when a store closes after midnight or posts a transaction later.
Store ID Prevents two locations with similar receipt numbers from being treated as one source.
POS or register ID Identifies the workstation that created the sale and narrows queue and sequence checks.
Receipt or transaction sequence number Reveals gaps in the sequence recorded by a particular register on a business date.
Platform transaction ID Provides the stable key used by integrations and analytics deduplication.
Payment reference Lets a payment connector recognize an authorization that already succeeded after a crash or timeout.

Use a composite source key such as business date, store, register, and sequence for operational investigation, but retain the platform transaction ID and payment reference as separate fields. A sequence number alone is rarely globally unique.

Follow this seven-step troubleshooting workflow

1. Establish whether the sale exists at the source

Search the register or store-level POS using the receipt number, transaction ID, and business date. Confirm whether the sale reached a completed state locally, rather than assuming that a blank analytics row means the sale never happened. Compare the receipt total, tender type, tax, and timestamp with the operator’s till record.

SAP describes a transaction gap as a missing number in the sequence recorded at a specific POS workstation, store, and business date. That definition is useful because it turns a vague report discrepancy into a bounded question: is a sequence value absent at the register, or did it disappear later in the pipeline?

If the register has no completed transaction and no payment authorization, treat the case as an operational sale or payment issue, not an analytics-repair issue. Do not create a synthetic sale merely to make a report balance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Check offline storage and pending queues

Determine whether the register was online when the sale was completed. Interrupted connectivity can stop posting to a back-office system while the register retains the sale in local memory. Lightspeed documents Pending Queue and Delayed Queue diagnostics for this condition; Salesforce documents that offline orders synchronize after the POS returns online.

  1. Open the register’s connectivity or synchronization diagnostics.
  2. Review pending, delayed, failed, and retrying items for the business date and register.
  3. Match the queue item to the receipt or transaction ID, not only to its amount.
  4. Record the queue state and last attempt time before forcing a retry.
  5. Confirm that the item leaves the queue and appears in the central POS after connectivity is restored.

A queue entry proves that the local system knows about the sale; it does not prove that the central system accepted it. Continue to the integration checkpoint after the queue clears.

3. Inspect the integration or channel job

If the transaction exists locally but not in the central POS or headquarters system, inspect the synchronization status, error log, and last successful run. Microsoft’s Dynamics 365 Commerce guidance directs operators to verify whether the POS transaction reached headquarters and, when it did not, run the P-0001 channel transactions job.

Capture the job name, run time, response code, and affected transaction IDs. A job that reports success at the batch level can still contain rejected records, so check record-level results where the platform exposes them. Look for authentication failures, schema or tax validation errors, closed-period restrictions, and network timeouts.

Do not replay an entire day’s batch when one record is missing unless the platform documents that replay as safe. Broad replays can create duplicates if the connector lacks idempotency.

4. Decide whether apparent duplicates are real

First compare the rows’ transaction IDs, receipt numbers, payment references, and tender types. A split-tender sale can legitimately produce multiple tender rows for one sale. Lightspeed specifically notes that a transaction-tender export may look duplicated because one sale has multiple payments.

Other legitimate multi-row cases include a posted version and a modified version, a sale followed by a return, or separate line-level records that roll up to one receipt. Keep these related records linked and reconcile their status rather than deleting whichever row appears second.

A likely duplicate sale has the same source transaction identity and the same business event represented twice in the fact table. A likely duplicate payment has a repeated payment reference or two authorizations for one tender. Review processor evidence before voiding or refunding anything.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Retry only with an idempotent key

Retries are safe only when the receiving system can recognize work it has already processed. Use the platform transaction ID or payment reference as the idempotency key, and persist that key with the attempt status.

Microsoft’s duplicate-payment flow covers a register crash in which the payment connector completed the payment but the POS never received the response. Before sending another authorization, the connector queries the prior transaction reference and recovers the existing payment. Implement the same principle: look up the reference first, then authorize only when no prior result exists.

  1. Query the destination by the stable transaction or payment reference.
  2. If a completed record exists, mark the local attempt as recovered and do not send another payment request.
  3. If the destination shows a definitive rejection and no authorization, retry with the same idempotency key.
  4. If the result is unknown because of a timeout, keep the attempt in an indeterminate state until the reference can be queried.
  5. Log the original attempt, every retry, and the final disposition.

6. Preserve voids, reversals, and corrections as states

Never erase the original sale to make an aggregate look right. Keep the transaction and attach a status, reversal, or correction record that explains what changed. SAP Customer Activity Repository uses the DISTVOID flag so voided transactions and line items can be excluded from analytics calculations while remaining available for audit.

Your reporting model should distinguish at least an effective sale, a voided sale, a returned item, and a corrected or superseded version. Aggregate logic should include only the statuses intended for revenue, tender, tax, or units metrics. Auditors and support staff should still be able to trace every state transition to the original receipt.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

7. Measure latency and failure signals

Instrument each integration endpoint for HTTP errors, response latency, queue age, retry count, and records rejected per run. Salesforce recommends checking endpoint errors and latency, while warning that a latency monitor will not fire if the POS times out before the monitoring request is sent.

Define alert thresholds from your POS operating requirements and close calendar. There is no universal latency target or duplicate-rate benchmark that applies to every POS. A store that promises near-real-time inventory needs a tighter threshold than a business that posts one overnight sales file, but both need an explicit owner and escalation path.

Reconcile POS totals with the Z report and bank deposit

Reconciliation works best when you compare totals at the same business-date boundary and separate sales, tenders, refunds, and adjustments. A bank deposit is not automatically equal to gross sales: card settlement timing, cash drops, refunds, fees, and prior-day batches can move money across dates.

Use the Z report as the register control total

  1. Export the Z report for the register and business date.
  2. Sum completed sales by tender, then separately list refunds, voids, discounts, tax, and other adjustments shown by the POS.
  3. Compare the receipt count and tender totals with the central POS extract using the same store, register, and date filters.
  4. Investigate any sequence gap or count difference by transaction ID rather than by amount alone.

If the Z report contains a sale that the central POS lacks, follow the queue and channel-job checks. If the central POS contains it but analytics does not, the remaining fault is in the warehouse load, event collector, or reporting model.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use the bank deposit as a settlement control

Match each payment reference or settlement batch to the deposit date supplied by the processor or bank. Document timing differences instead of forcing the deposit to equal the day’s sales. A payment that was authorized during an offline period may settle later, while a refund can reduce a later deposit for an earlier sale.

When the Z report and POS agree but the bank does not, investigate tender settlement, cash handling, processor batching, and fees. When the bank and payment references agree but the POS is missing the sale, use the payment reference to recover the transaction without issuing another authorization.

Platform-specific checks

SAP POS and Customer Activity Repository

Use business date, store ID, POS ID, and transaction sequence number to locate a gap at a workstation. Once the source gap is confirmed, inspect replication into the central repository and the status fields used by analytics. The DISTVOID flag is designed to exclude voided transactions and line items from calculations without removing the audit record.

Do not treat every missing sequence value as a lost sale. Registers can reserve or skip sequence values under documented operating conditions. Confirm the receipt, transaction status, and payment evidence before opening a data-repair case.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft Dynamics 365 Commerce

Check whether the POS transaction reached headquarters. For a missing channel transaction, review and run the P-0001 channel transactions job according to the environment’s operating procedure. For payment uncertainty after a crash, use the transaction reference to recover the prior connector result before attempting another request.

Keep synchronization recovery and payment recovery separate. A transaction can reach headquarters while its payment response is unresolved, or a payment can succeed while the sales message is still queued.

Salesforce-connected POS workflows

Offline orders are expected to synchronize after the POS returns online. Check the order’s offline or pending state, then verify the synchronization result in the destination. Monitor endpoint HTTP errors and latency, but remember that a POS-side timeout can prevent a latency monitor from recording the failure.

Lightspeed register and exports

Review Pending Queue and Delayed Queue diagnostics when connectivity interrupts posting to BackOffice. In transaction-tender exports, group rows by the sale or receipt identity before declaring a duplicate; split tender creates multiple payment rows for one sale.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Google Analytics purchase events

Send a unique transaction ID for each purchase event. Google Analytics uses that ID to deduplicate and reconcile data. Reusing one ID for separate purchases can undercount events, while sending the same purchase repeatedly with the same ID can prevent multiple copies from inflating the report. Generate the ID at the source transaction and carry it unchanged through the event pipeline.

Build controls that prevent recurrence

Make identity explicit

Store source system, business date, store, register, sequence, transaction ID, payment reference, event type, and version. Enforce uniqueness at the correct grain: one key for a sale, another for a tender, and another for a line item. Do not impose one global uniqueness rule on all three entities.

Separate events from current state

An append-only event or transaction history preserves what happened. A current-state table can show whether the sale is posted, voided, returned, or corrected. Analytics can consume the current state while support and audit retain the history.

Design durable queues

Persist queued work locally or in a durable broker, include attempt timestamps, and expose pending and delayed states to store support. A queue item should survive a register restart and should be safe to replay because the destination checks the idempotency key.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make retries observable

Record the first attempt, each retry, response code, destination acknowledgement, and final state. Alert on queue age, repeated failures, and an unusual rise in indeterminate payment results. A retry count without the original reference is not enough to diagnose duplicate risk.

Model voids and corrections directly

Use explicit status or reversal fields in the fact model. Exclude voided or superseded records from the relevant aggregate, but keep their links to the original transaction. This avoids both double counting and an unexplained hole in the audit trail.

Schedule reconciliation at operational boundaries

Run a register-to-central check after each close, a central-to-analytics check after each load, and a payment-to-deposit check when settlement data is available. Assign each check to the team that can repair that handoff; otherwise alerts simply move between queues without resolution.

Common mistakes and their fixes

  • Deleting the second row immediately: first determine whether it is a split tender, versioned correction, or true replay. Preserve the raw records.
  • Retrying after a timeout without querying the reference: the processor may already have authorized the payment. Perform the recovery lookup first.
  • Using amount and timestamp as a key: two legitimate sales can share both values. Use a stable transaction identity.
  • Comparing different business-date windows: overnight closes and delayed settlement make calendar-day totals misleading. Match the POS business date and settlement date separately.
  • Assuming a successful batch means every record posted: inspect record-level acknowledgements and rejects.
  • Fixing analytics only: a warehouse patch can hide a broken queue or integration and cause the next replay to duplicate data. Repair the earliest failed checkpoint.
  • Setting an arbitrary universal latency target: requirements differ by POS, store process, and reporting promise. Define a threshold with the business owner and document it.

A practical decision path for support teams

  1. Can the register find the completed sale? If no, investigate the sale or payment operation. If yes, continue.
  2. Is it in an offline, pending, or delayed queue? If yes, restore connectivity or resolve the queue error, then verify central posting.
  3. Did the integration or channel job acknowledge it? If no, inspect the job and replay only with an idempotent key.
  4. Did the central POS receive it? If yes, inspect the analytics load and model filters; if no, keep the case in integration recovery.
  5. Are multiple rows linked to one sale? Check split tenders, versions, returns, and corrections before labeling them duplicates.
  6. Is payment status uncertain? Query the payment reference and recover the existing result before sending another authorization.
  7. Does the report exclude the record intentionally? Check void, reversal, or superseded status and confirm that the metric’s filter is correct.

What a complete incident record should contain

Close each incident with the source identity, receipt or payment evidence, register connectivity state, queue state, integration job and run time, destination acknowledgement, analytics load result, and final disposition. State whether the outcome was a delayed post, a true missing transaction, a legitimate multi-row sale, a duplicate ingestion, a recovered payment, or a voided or corrected transaction.
