Fix a miscategorized expense by changing the account in that transaction’s Category field; fix genuinely duplicate chart-of-accounts entries by merging only after checking the accounts and preserving reconciliation records. If an expense merely appears twice, first determine whether it is a duplicate entry or a bank-feed matching problem. The steps below cover QuickBooks Online; labels and access can vary by plan, role, region, and interface rollout.
First identify what is actually wrong
In QuickBooks Online, a transaction’s “category” is the account used to classify it in reports. It is not the bank or credit-card account that paid for the expense. Changing the category changes where the expense is reported; it does not change the payment account.
- One or a few expenses are in the wrong category: edit those transactions.
- Many transactions are in the wrong account: consider Reclassify transactions if your product and role support it.
- The chart of accounts has two genuinely duplicate accounts: consider merging them, with care; this is permanent.
- A bank-feed item or expense appears twice: check its match status and the underlying records before editing or deleting anything.
Correct one or a few miscategorized expenses
- Find the expense transaction. Check the payee, date, amount, and memo to make sure you have the intended record.
- Open the transaction and change its account in the Category field to the correct account, then save. Intuit’s QuickBooks Online Level 2 Manual describes editing a few miscategorized expenses by selecting the transaction and choosing the correct account from Category. The exact screen layout can differ from the training material.
- Check the relevant account register or Profit and Loss report to confirm the expense now appears under the intended account.
Do not change the payment account unless that is the error you are correcting. For a downloaded bank transaction, also check whether it is categorized or matched to an existing record before making changes.
Reclassify many transactions when the tool is available
Intuit describes Reclassify transactions as a way to “efficiently correct or change recorded transactions in bulk.” This is Intuit’s description of the feature, not a guarantee of a particular time saving. The tool is available in QuickBooks Online Advanced and QuickBooks Online Accountant. Intuit says an accountant using QuickBooks Online Accountant can reclassify transactions for clients on any QuickBooks Online subscription. Availability and navigation can vary; Intuit’s instructions place the tool in Settings, with some regional interface variation.

- Review a Profit and Loss report to identify the incorrect account and the date range involved.
- Open Settings and choose Reclassify transactions, if available to your account.
- Choose the Profit and Loss account type to review income and expense accounts. Filter by account, date, or transaction details to narrow the results.
- Inspect the candidates and select only the transactions that need correction.
- Choose Reclassify, select the correct account, and apply the change.
- Run or refresh the relevant report and verify that the affected transactions now appear under the intended account.
The bulk tool has important limits. It cannot change the bank or credit-card payment account for expenses. Inventory adjustments are restricted; transactions with products or services may allow class changes but not account changes; payroll transactions must be managed in Payroll; and billable expenses have a limitation on changing the related income account. Moving a transaction to Accounts Receivable or Accounts Payable requires assigning a customer or vendor. If a transaction is ineligible, use its supported transaction workflow or ask the responsible accountant before altering linked records.
Fix duplicate accounts in the chart of accounts
Two similar account names do not necessarily mean the accounts are duplicates. In the chart of accounts, compare their account type, detail type, and parent or subaccount relationships. If only the label is wrong, renaming may be enough. Merge only when both entries truly represent the same account and you intend to consolidate their histories.

- Identify the account you intend to keep and confirm the other account is a genuine duplicate.
- Check account type, detail type, parent/subaccount relationships, and opening-balance equity entries using Intuit’s current merge guidance.
- Preserve reconciliation reports for the account that will be merged. Its reconciliation history is lost after the merge, even though its transactions remain and stay reconciled.
- Follow Intuit’s chart-of-accounts merge instructions to consolidate the accounts.
A merge moves past transactions into the retained account and makes the duplicate inactive. Intuit warns that merging is permanent and cannot be undone. Do not merge an account connected to online banking or an account created by QuickBooks without following Intuit support guidance.
Correct an auto-categorized bank expense
In Bank transactions, review the Categorized tab and filter for auto-categorized items. Check the transaction and its match status before changing anything.

- Select the assigned category to choose a different account when the classification is wrong.
- Use Undo to return an item to For review if you need to inspect or handle it again.
- Turning off Familiar expenses affects future auto-categorization; it does not undo items already categorized.
When an expense seems to appear twice
Work out whether you have duplicate account names, two actual expense records, an incorrect bank-feed match, or a bank fee or interest entry appearing twice in a register or reconciliation. Avoid blanket deletion: establish which record is wrong and whether it is reconciled or linked.
Wrong or missing bank-feed match
In the Bank transactions list, inspect whether the downloaded item was matched to an existing transaction or categorized as a new one. If the wrong transaction was matched, unmatch it and correct the record. If an existing transaction is the one that should pair with the downloaded item, find and match it rather than entering another expense. Intuit’s guidance on fixing downloaded bank transactions describes correcting an incorrect match and avoiding a duplicate entry.

Bank fee or interest appears on both sides
Intuit documents a case where a bank fee or interest appears twice in the register or during reconciliation because the bank account was selected on both sides of the entry. Inspect the account assignment on the reconcile screen or in the bank register, then correct the fee or interest account as appropriate.
Two actual expense records
Compare the payee, date, amount, memo, and bank-feed link for both records. Confirm which one is erroneous and whether either is reconciled or otherwise linked before editing or deleting it. QuickBooks also has a workflow for copying data to a different transaction type, so a second-looking record is not proof that duplicate chart categories are involved.
