AI-generated task lists are drafts, not ready-to-assign plans. Before anyone—or an AI agent—acts on one, make each task’s intended result, scope, owner, dependencies, and completion evidence clear; merge or separate overlapping work; and flag missing facts instead of guessing.
Why AI-generated tasks need a human review
A task description can shape what an AI agent does. The UK National Cyber Security Centre warns that unclear goals can produce unintended actions, and says, “The way a task is described can have a significant impact on the agent’s behaviour.” For ordinary task lists, the same principle applies: a vague instruction leaves room for different interpretations, while an incomplete one can conceal missing inputs or decisions.
Use the generated list as a starting point. The workflow below turns general guidance on goals, success criteria, responsibility, review, and agent oversight into a practical repair process. It is a synthesis, not a universally validated or formally standardized method.
Repair each task in six steps
1. State the intended result
Rewrite a task around what should exist or be decided when the work is finished, not just an activity. “Research competitors” does not say which competitors to include, what to compare, or what the work should produce. A clearer version might specify a comparison of named competitors across selected features, with a reviewed summary as the deliverable. If the intended result cannot be inferred reliably, ask the person who requested the work rather than inventing it.

Australian Government design guidance recommends identifying goals and success criteria and breaking larger goals into manageable tasks. Use that principle to make the result and the check for completion explicit; there is no single required acceptance-criteria template in that guidance. 2. Add scope, constraints, inputs, and dependencies
Specify what is included and excluded, any relevant constraints, and the materials or facts needed to do the work. Make the sequence clear: identify what must happen first and which later task depends on it.

If a deadline, owner, input, or acceptance condition is absent, label it as an open question and get the answer from the responsible person or source. Do not let the AI fill the gap with a plausible-sounding guess. Google Search Central says AI-generated content should be manually fact-checked and reviewed for accuracy and trustworthiness before publication. Applying that review principle to task lists is a practical extension, not a claim that Google sets a task-management rule. Read Google Search Central’s guidance on using generative AI content.
3. Find and resolve overlap
Compare tasks by their intended outcome, deliverable, owner, and responsibility. If two entries ask for the same result or assign the same responsibility twice, combine them or rewrite them so their boundaries are distinct. Do not merge legitimate subtasks simply because they concern the same project: keep them separate when they produce different outputs or have a real dependency.

Australian Government guidance calls for specific task assignments and avoiding duplication of responsibility. Applying that direction to a human task list is an editorial extension; the source does not define an objective automated test for whether two tasks are duplicates.
4. Define what proves completion
For each task, name the evidence a person can inspect: a reviewed document, an approved decision, or a verified change, for example. “Done” should mean that this evidence exists and meets the stated success criteria—not merely that someone attempted the activity.

5. Match review to risk
Decide how much human involvement a task needs by considering four factors Microsoft identifies for choosing among automation, AI support, and human leadership:
- Repeatability: Is the work performed in a consistent, repeatable way?
- Impact: What would happen if the result were wrong or incomplete?
- Error detectability: How easily can someone identify and correct a mistake?
- Time sensitivity: How quickly must the work be completed?
Keep human leadership or review where the impact of an error is high or a result is difficult to verify. Microsoft’s responsible AI guidance discusses these factors for deciding how to use AI and automation.

6. Set boundaries before an agent acts
If an AI agent will do more than draft or organize tasks, define its authority before execution. State the objective, permitted actions, prohibited actions, and the conditions that require it to stop and ask for approval. Keep visibility into what it does and retain human accountability for deployment, access, safeguards, and consequences. The UK National Cyber Security Centre’s guidance stresses bounded tasks, oversight, and human accountability when using AI agents. Read the NCSC guidance on secure AI system development. Check each task against these questions. This checklist is a practical synthesis of the guidance above, not a published or empirically validated instrument.
- Outcome: What result should exist when the work is done?
- Scope: What is included, excluded, or constrained?
- Owner: Who is responsible for the next action?
- Inputs: What facts or materials are required, and are they available?
- Dependencies: What must happen first, and what follows?
- Completion evidence: What can someone inspect to verify the result?
- Authority: If an agent acts, which actions are permitted, and what requires escalation?
Example: turn a vague task into assignable work
Generated task: “Research competitors.”
What is missing: The competitor set, comparison scope, expected deliverable, owner, deadline, and evidence of review. Do not supply missing names or dates by assumption.
Repaired task: “Compare the competitors named by the project owner on the agreed feature list. Deliver a summary document for review. Confirm the competitor list, feature list, owner, and deadline before starting; flag any missing inputs. Mark the task complete when the owner has reviewed the summary.” This example illustrates the structure, not a required universal format.

Do not assign or execute a task if its intended result remains uncertain, a necessary input or constraint is unresolved, or responsibility is unclear. Route those questions to the person who can answer them. If an agent would act beyond drafting, pause until its permitted actions and escalation conditions are explicit. Adapt the review to the task’s risk, organization, and tool permissions; the cited guidance does not prescribe one checklist that fits every setting.
