A printer can appear as available while a job is sent to the wrong queue, stuck behind another job, disconnected, or unable to print because of a device or software problem. Check the selected printer and its queue first, then work through the connection, printer condition, app, and driver. Use the Windows or Mac steps below for your computer.
1. Confirm the job went to the right printer and check its queue
“Available” in the printer list does not confirm that the job reached the intended printer or that the printer can complete it. Open the queue for the printer you selected and look for the job.
- If the job is missing, check whether it was sent to a different printer or queue.
- If it is paused, resume the printer or job.
- If an erroring or stalled job is blocking newer jobs, cancel or delete that job, then try printing again.
On Windows
Open the printer’s queue from Windows’ printer settings and cancel any jobs that remain stuck. If clearing the queue through settings does not work, continue to the Print Spooler reset in the Windows section below.
On Mac
Click the Print Centre icon in the Dock to open the queue. Resume the printer or a paused job. If another job is blocking the queue because of an error, select that job and click Delete Job. Apple’s Mac printing troubleshooting guide explains these queue controls.

2. Check the printer’s condition and connection
Look at the printer itself. Confirm it is powered on and in a normal state, with paper loaded, no paper jam, and enough ink or toner. Check any display or indicator lights for an error that the computer may not show.
- USB: Check that the cable is firmly connected at both the printer and computer. If possible, reconnect it and try another suitable port. Do not assume a new cable is needed unless the connection appears faulty; confirm that any replacement cable has connectors compatible with both devices.
- Wi-Fi or network: Confirm the printer is connected to the network and that the computer and printer are on the same network. A computer connected to a guest network, a different Wi-Fi band or network, or a network segment isolated by an extender may not be able to reach the printer.
Microsoft recommends turning the printer off, unplugging it, waiting 30 seconds, reconnecting it, and turning it back on as a general troubleshooting step. This may clear a transient issue, but it is not a guaranteed fix. See Microsoft’s printer connection and printing troubleshooting steps.

3. Find out whether the problem is limited to one app
Try printing a simple page from another application. If it prints there, the printer and its connection are probably working; check the original application’s print settings, selected destination, or document. If no application can print, continue with the platform-specific checks.
4. Follow the Windows recovery steps
Run the Windows printer troubleshooter
On Windows 11, start with the printer troubleshooter in Microsoft’s Get Help app. Microsoft’s general printer troubleshooting guidance covers Windows 10 and 11, but Windows 10 support ended on October 14, 2025.

Reset the Print Spooler if jobs remain stuck
The Print Spooler manages the printing process and its queued jobs. Clearing its files is a more involved step than canceling a job from the queue, so use it only after confirming the destination, printer state, and connection. Follow Microsoft’s current instructions to stop the Print Spooler, remove queued spool files, and start the service again: Fix printer connection and printing problems in Windows.
Check the printer driver
If the queue and connection look normal but printing still fails, verify that the correct software or driver is installed for your printer and version of Windows. Use the printer maker’s support page for your exact model rather than installing a driver intended for a similar model.

5. Follow the Mac recovery steps
After checking Print Centre, the printer’s condition, and the network, try printing from another app. If it still fails, check that the Mac and network printer are on the same network and that macOS has compatible printer software. Apple’s printing troubleshooting guide covers queue and software checks; the manufacturer’s support page can provide model-specific driver instructions.

- The job is not in the expected queue: Select the intended printer and print again.
- The queue contains a paused or blocking job: Resume it or cancel the job causing the blockage.
- The printer reports a physical error or is offline from its network: Resolve the paper, jam, supply, cable, or network issue shown by the device.
- Only one application fails: Investigate that application’s print settings or document.
- Every application fails after queue and connection checks: Check the correct driver and follow the printer maker’s instructions for your exact model.
