If Windows Storage settings do not account for the space you expect, compare the drive’s free-space figure with the category totals, then inspect personal folders and—if needed—run an advanced search for large files. Storage settings and File Explorer are useful starting points, but neither guarantees a complete view of every protected or inaccessible file. Identify the cause before deleting anything.
Start by confirming which drive is full
- Check File Explorer: Open File Explorer > This PC and note the free space shown for the drive in question.
- Check Storage: Open Settings > System > Storage, then select the relevant drive or category. Windows groups usage into areas such as Installed apps, Temporary files, and System & reserved. Microsoft’s guide to Storage settings explains this category view.
Compare the free-space figure with the categories to spot where to investigate. Storage is a category-level summary, not necessarily a complete list of every file path. Pay attention to System & reserved: Windows uses reserved space for items such as temporary files and caches. Microsoft’s free-up-space guidance describes the available categories and cleanup options.
Inspect your personal folders first
Sort folders by size
In File Explorer, check Downloads, Videos, Music, Pictures, Desktop, and other folders where you save files. Switch to Details view and sort by Size to bring large files to the top. This is a practical way to find personal files consuming space, but it does not account for all hidden, protected, or inaccessible content.
Delete or move files deliberately
Deleting a file usually sends it to the Recycle Bin; empty the bin to reclaim that space. If you want to keep large personal files but do not need them on the PC, move them to external storage such as a USB drive or SD card. You will not be able to access those files while the storage device is disconnected. Microsoft’s cleanup guidance covers these options.

Why folder totals may not add up
File Explorer does not promise a complete account of disk use. Microsoft notes that Explorer and the dir command may omit hidden or protected operating-system files, as well as files the current user cannot access. Turning on the display of hidden items does not grant permission to inspect protected locations.
There is also disk usage that does not appear as an ordinary file in a user folder. Microsoft’s explanation of NTFS volume space discusses filesystem structures such as the Master File Table. That article is specifically about Windows Server 2003, so treat it as background on why filesystem usage and visible folder totals can differ—not as current Windows 10 or 11 navigation instructions. Search for large hidden or system files with commands
For a more detailed search, Microsoft provides the following commands in Windows Server troubleshooting guidance. They can help locate large files, but that source addresses Windows Server; these are advanced techniques, not a guarantee of a complete consumer-Windows inventory. Recursive scans can take time, and access-denied paths can leave gaps.
PowerShell: list the 20 largest accessible files
Open PowerShell and run:
Get-ChildItem -Path "C:" -Recurse -ErrorAction SilentlyContinue | Sort-Object Length -Descending | Select-Object FullName, Length -First 20

The output includes each file’s path and length. Because the command suppresses errors, it may not make inaccessible locations obvious; its results should not be treated as exhaustive.
Command Prompt: list directory entries, including hidden and system items
In Command Prompt, run:
dir C: /s /a /o-s
This searches the C: drive recursively and includes entries with hidden or system attributes. It may be slow and may encounter locations the current account cannot read. Microsoft documents both approaches in its Windows Server low-disk-space guidance.

If one application’s temporary files keep growing, identify which application creates them before deciding whether they are safe to remove. Back up important data before cleanup.
Review cleanup choices before removing anything
Use Windows cleanup recommendations
When available, open Settings > System > Storage > Cleanup recommendations to review suggested items. You can also use Disk Cleanup to inspect temporary and system file categories; choose Clean up system files to see additional options. Review each selection rather than checking every box automatically. Deleting Previous Windows Installation(s) removes Windows.old and prevents you from returning to the previous Windows version. Microsoft explains the cleanup choices and their effects.

Understand what Storage Sense manages
Storage Sense is a cleanup feature, not a full inventory tool. It works on the system drive, and its actions depend on the settings you choose. Downloads and cloud files are not cleaned unless configured; files marked Always keep on this device are exempt from online-only management.
One documented default is version-specific: in Windows 11 version 22H2, Storage Sense makes unopened OneDrive cloud files online-only after more than 30 days. That is not a universal rule for every Windows version or configuration. See Microsoft’s Storage Sense instructions for the settings and behavior.

Protected locations, permission-limited scans, and filesystem overhead can explain why visible folder totals fall short of the drive’s usage. If the discrepancy persists, record the evidence before making changes or seeking help:
