To export an Outlook calendar and contacts together, use classic Outlook for Windows to save the account as an Outlook Data File (.pst), keeping Include subfolders selected. For contacts only, export a CSV from classic Outlook, new Outlook for Windows, or Outlook on the web. Before you switch, confirm that your new provider can import the format and retain the information you need.
Choose the export that matches what you need

Export a calendar and contacts together as a PST
A PST is the Microsoft-documented option for exporting Outlook email, contacts, and calendar information together. The export makes a copy; it does not remove the source items from Outlook.
- In classic Outlook for Windows, select File > Open & Export > Import/Export.
- Choose Export to a file, then select Outlook Data File (.pst).
- Select the account you want to export. Keep Include subfolders selected so the export includes folders such as Calendar and Contacts.
- Choose a save location and complete the wizard. Keep the resulting PST file available for the destination service or for importing into a compatible Outlook version.
For an Outlook.com mailbox export, Microsoft also directs users to desktop Outlook. The resulting file is a copy of email, contacts, and calendar information through the date it is created. Export contacts separately as a CSV
Choose CSV if you only need contacts and the new email program accepts CSV imports. Use the route for your Outlook version from the table above. In classic Outlook, make sure you select the Contacts folder belonging to the right account; in Outlook on the web, choose whether to export all contacts or another available selection.

After exporting from classic Outlook, Microsoft recommends opening and reviewing the CSV before importing it elsewhere. Check that the file contains the contacts and fields you expect. A CSV export is for contacts, not a combined calendar-and-contacts backup.
Understand what a PST export may leave out
- Outlook settings and metadata: PST export does not include some metadata, such as folder properties including views, permissions, and AutoArchive settings. It also excludes message rules and blocked senders lists. These are not the calendar or contact records themselves. Microsoft’s PST export guidance.
- Cached Exchange Mode: Outlook exports the items currently in its cache. Microsoft says the default cache commonly covers the past 12 months, so older items may not be included if they are not cached. If you need more history, follow Microsoft’s instructions to change the cache setting before exporting, then confirm the older data is available in Outlook.
- Destination conversion: A successful export does not establish that the next service can read the file or preserve every field, event, or detail. Check that provider’s import instructions and supported formats before closing or deactivating the Outlook account.
Check how you will use the exported file
Exporting is only half of a move. Verify the destination’s import options while you can still access Outlook, and decide whether you need calendar items as well as contacts. A CSV is suited to contacts; the account-wide PST route is the documented Outlook choice for calendar and contacts together. Destination support varies, and the destination has not been specified here.

If you plan to open or import the PST in Outlook rather than another provider, account for edition differences. Microsoft says PST import of mailbox or calendar is not currently supported in new Outlook and directs users to classic Outlook for that task. Microsoft’s PST import guidance also lists requirements for opening PST files in new Outlook: classic Outlook installed, matching 32-bit or 64-bit architectures, a Microsoft 365 subscription, and no ARM support. Before you switch: a practical checklist
- Choose PST if you need calendar and contacts together; choose CSV if you need contacts only.
- Confirm you are exporting the intended account and, for PST, keep Include subfolders selected.
- Review the exported file and check for missing older items if you use Cached Exchange Mode.
- Confirm the destination imports your chosen format and retains the contact fields or calendar data you care about.
- Do not deactivate the Outlook account until you have verified the destination has the data you need.
