To edit and annotate a screenshot in Windows, press Windows logo key + Shift + S, choose a capture mode, and select the notification or preview to open the image in Snipping Tool. Use Pen, Highlighter, Shapes, Eraser, Crop, Undo and Redo to mark it up; use Text actions to extract or redact text; then save, copy or share the result. The workflow below applies to Windows 10 and Windows 11, although some newer controls are limited to particular hardware.
Open Snipping Tool and capture the screen
- Press Windows logo key + Shift + S. The Snipping Tool capture overlay appears. You can also open Start, type Snipping Tool, and launch the app.
- Choose the capture mode from the overlay. Microsoft documents four image modes: Freeform, Rectangle, Window and Full screen.
- Drag around the area you need, select a window, or let the full-screen mode capture the display. For Freeform, draw the outline of the region.
- Select the capture notification or open the Snipping Tool window to edit the new image. If you need a recording rather than a still image, choose Video snip; it is a separate workflow and does not produce an editable image in the same way.

Annotate the screenshot
The editing toolbar is designed for quick explanations, reviews and corrections. Make your marks before saving the final copy so the original capture remains available for another edit.
Pen
Select Pen to draw freehand lines, circles, arrows or handwriting. Open the pen options to choose a color and adjust the stroke size. A mouse works; a stylus is optional.

Highlighter
Use Highlighter for translucent emphasis over text, buttons or a section of a user interface. It is useful when the reader must still see what is underneath the mark.
Shapes and emojis
Shapes lets you add clean geometric callouts instead of drawing them freehand. Depending on the installed version, the control also offers emoji-style symbols. Use a rectangle to frame a field, a line or arrow to point at a control, and a circle to identify a problem area.
Eraser
Select Eraser to remove individual pen, highlighter or shape marks. If the result is not what you intended, use Undo rather than repeatedly erasing nearby strokes.
Undo and Redo
Undo reverses the most recent annotation or edit; Redo restores an action you just undid. These controls are safer than trying to recreate a complicated callout by hand.

Select Crop to trim away browser tabs, desktop space or unrelated content. Drag the crop handles until the important area is inside the frame, then apply the crop. Cropping before adding detailed arrows prevents your annotations from being cut off and makes the saved image easier to read.

For broader changes, Microsoft points to Edit > Edit with Paint. Paint is the better next step when you need sizing, color adjustments, text or other general image enhancements that go beyond Snipping Tool’s quick markup.
Extract or redact text with Text actions
When Snipping Tool detects writing in the image, choose Text actions. Microsoft documents three useful operations:
- Select and copy recognized text.
- Copy all recognized text from the capture.
- Quickly redact detected email addresses and phone numbers.
Microsoft’s wording is specific: “All text recognition processes are performed locally on your device.” That describes the Text actions OCR behavior documented for Snipping Tool; it is not a claim about every Windows recognition feature.
OCR works best when the capture is sharp, the text is large enough to read and the contrast is high. If a word is wrong, enlarge the source or crop tightly around the text, then run Text actions again. Always review copied text before using it in a ticket, document or command because OCR can confuse similar characters.
Save, copy and share the edited screenshot
Save an additional copy
Choose Save as, select a folder and file format, then provide a filename. Saving an additional copy is useful when you want to preserve the automatically stored capture while creating a marked-up version for someone else.

Use the default Screenshots folder
Microsoft’s support documentation says captures are automatically saved in the Screenshots folder by default. The automatic-save behavior and destination can be changed in Snipping Tool’s Settings. If you cannot find a capture, open Settings and check the save preference and folder before capturing again.
Copy to the clipboard
Use the copy command in Snipping Tool when you need to paste the image directly into an email, chat, issue tracker or document. Clipboard content can be lost when you copy something else, so use Save as for anything you need to keep.
Share
Open the See More menu and choose Share to send the image through an available Windows sharing target. The exact destinations depend on the apps installed on your PC.
A reliable annotation workflow
- Capture only what matters. Use Rectangle or Window mode instead of a full desktop capture when surrounding information could distract or expose private data.
- Crop early. Remove irrelevant space before drawing detailed marks.
- Use one visual language. For example, use yellow highlighting for text and red shapes for actions that need attention.
- Redact before sharing. Use Text actions for detected email addresses and phone numbers, and inspect the entire image for other confidential information that OCR may not identify.
- Check the result at normal size. Make sure arrows point to the intended control and that labels remain legible.
- Save a named copy. Include a date, ticket number or version in the filename when the image will be used in a support process.

Copilot+ PC features and stylus details
Do not assume every Snipping Tool installation has every control. Microsoft specifically identifies Perfect Screenshot and Color picker as features for Copilot+ PCs running Windows 11. The support material does not provide a feature matrix for every Windows release or an app build number, so availability can differ by device and update.
A pen is not required for the capture or annotation steps. Microsoft’s Windows 11 pen-menu documentation lists Snipping Tool as a default shortcut alongside OneNote, Whiteboard and Journal. That makes a compatible touchscreen stylus an optional convenience, not a requirement; the documentation does not establish compatibility for a particular pen model.

Troubleshooting common problems
The shortcut does nothing
Open Snipping Tool from Start to confirm that the app is installed and launches. If the overlay still does not appear, check whether another utility has taken over the Windows logo key shortcut, then try the Start-menu route and install pending Windows app updates.
The capture is missing
Look for the notification immediately after pressing the shortcut, then open Snipping Tool’s recent capture. Check the Screenshots folder and the app’s Settings because the automatic-save destination can be changed.
The wrong window was captured
Repeat the shortcut and choose Window mode, then select the application after its border is visible. Rectangle mode is more dependable when overlapping windows make selection ambiguous.
Text actions misread the image
Crop closer to the text, recapture at a larger scale and improve contrast if possible. Treat OCR output as editable text that needs proofreading, especially for passwords, URLs, serial numbers and code.
Annotations look clipped
Undo the last mark, expand the crop boundary or crop before annotating. Save a new copy so you can return to the uncropped capture if necessary.

A control is not present
Check your Windows edition and hardware. Perfect Screenshot and Color picker are documented for Copilot+ PCs running Windows 11, not as universal Snipping Tool features. Other differences can result from app updates, so use the controls actually shown on your installation.
