To document vehicle damage for an insurance claim, first make sure everyone is safe. When it is safe to do so, photograph the scene and damage, write down incident and contact details, then contact your insurer promptly and ask what it needs. Keep estimates, reports, correspondence, and receipts, and follow your policy and local reporting rules.
1. Put safety before documentation
Check for injuries and immediate hazards, and follow emergency-service or police directions. Do not step into traffic, remain in an unsafe location, or delay getting help to take pictures. Photograph or record video only when it is safe; the Financial Services Regulatory Authority of Ontario advises prioritizing safety after a collision (FSRAO guidance).
2. Photograph the scene and the damage
When safe, capture both the broader scene and the damaged vehicle. Begin with images that show where the vehicles were and the surrounding context, then take closer views that make the damaged areas clear. Include relevant road, traffic-control, weather, or other conditions if they help explain what happened. The National Association of Insurance Commissioners recommends photographing or sketching the accident scene (NAIC guidance).
Follow your insurer’s instructions for submitting images, including any requested upload method or format. Photo procedures differ: ICBC says photos are not required to process a claim in its system, but can help it make a more accurate estimate and may shorten the wait (ICBC photo guidance). That statement applies to ICBC and should not be assumed to describe another insurer’s process.

3. Record the incident and the people involved
Write down details while they are fresh. Keep the account factual and distinguish what you observed from what you infer.
- Date, time, and exact location.
- A brief description of what happened and the direction or position of vehicles, where relevant.
- Weather, road surface, visibility, traffic controls, or other scene conditions that may matter.
- Names and contact details for involved drivers and witnesses, plus vehicle descriptions and identifying details.
- Police or officer details and a report number, if applicable.
Follow local rules for exchanging information and reporting a collision. The information an insurer requests can vary; NAIC and Moneysmart both describe collecting incident and participant details as part of making a claim (NAIC; Moneysmart).

4. Contact your insurer and ask what to submit
Notify your insurer promptly, explain what happened accurately, and ask what forms, photographs, reports, estimates, inspection, or other documents it needs. Keep a record of when you contacted the company and save copies of messages and claim correspondence. Insurers may request different materials, so do not assume another driver’s checklist or an online example covers your policy’s requirements (Illinois Department of Insurance; Texas Department of Insurance).
5. Preserve records and prevent further damage
Keep copies of estimates, repair bills, police records, insurer communications, and receipts for expenses related to the incident. Take reasonable steps to protect the vehicle from additional damage where practical, and retain receipts for those steps. Before authorizing repairs, ask the insurer whether it needs to inspect the vehicle or approve an estimate first. The Illinois Department of Insurance advises showing the vehicle to the company before repair; requirements and procedures may differ by insurer and location (Illinois guidance; Texas guidance).

6. Check local rules and your policy
Police-reporting duties, insurer notification requirements, coverage, deadlines, and repair procedures depend on the jurisdiction, policy, and circumstances. Use your insurer’s instructions and local government guidance rather than applying another region’s rules. For example, California’s accident guidance and Northern Ireland’s collision instructions address their own jurisdictions, not a universal reporting threshold (California Department of Insurance; PSNI).
If repair-shop choice becomes an issue, check the rules where the claim is being handled. Texas OPIC says a claimant need not use an insurer-recommended shop in its first-party-claim guidance, but that should not be treated as a rule for every state or country (Texas OPIC).
