Document one GST Portal task for one applicable period by following the matching GSTN manual, capturing the meaningful stages from starting point to result, and adding concise captions that explain what changed and what to verify. Before sharing, remove credentials, OTPs, and unnecessary taxpayer or business information. For a return, distinguish a draft from a submitted or filed return; a successful GSTR-1 filing is associated with an ARN and Filed status.
Find the official guide for the exact GST task
Start with the GSTN help material for the function, form, and period you are documenting. GSTN’s Welcome Kit points users to help-page manuals and FAQs with screenshots for portal functions including payments, return filing, refunds, appeals, offline tools, ITC forms, and ledgers. The GSTR-1 FAQ likewise directs users to the portal help section for detailed filing instructions with screenshots.
Use the official manual to confirm the current labels, sequence, eligibility and authentication requirements. Portal screens and applicable steps can vary by task and period, so treat a general screenshot sequence as a documentation template, not a universal click-by-click filing guide. GSTN recommends consulting its help materials when users have questions or difficulties with portal functions.
Plan a useful screenshot sequence
Choose one task and one relevant period. Capture only screens that help a reader locate the task, understand a meaningful transition, review information, or confirm the outcome. Number the screenshots and caption each with the action, what changed, and what the reader should check.

- Identify the task. State the portal function, form, and tax period. Include a dashboard or menu screen only if it helps the reader find the task.
- Show the starting point. Capture the relevant form or task page before information is entered or changed. Keep passwords, OTPs, and unnecessary identity details out of view.
- Capture consequential transitions. Show a saved section, generated summary, reviewed draft, or move to a filing step when it adds useful information. Skip duplicate screens that do not document a new state.
- Document review. If the workflow has a draft or consolidated summary, caption it as a review stage and tell readers to compare it with their own source records before proceeding. A sample is not tax advice or a substitute for checking a taxpayer’s entries.
- Show completion when relevant. For a filing workflow, capture the final status or success message only after confirming what it means in the applicable official instructions.
- Label variation. Note when a screen is illustrative and may differ by return type or the current portal version.
Example: GSTR-1 filing record
The GST Portal’s GSTR-1 FAQ describes GSTR-1 as the monthly or quarterly statement of outward supplies for eligible registered taxpayers. Its listed preparation methods are online entry, the Returns Offline Tool, and third-party application software through GSPs. It also lists prerequisites including an active GSTIN for the period and valid login credentials; a valid DSC applies where signing requirements call for it, or the authorized signatory’s registered mobile must be accessible for EVC.
For a GSTR-1 screenshot record, a useful sequence can show the task and period, relevant entry or review stages, the consolidated summary, and the final filing result. An official workflow search result describes checking the summary, selecting the authorized signatory, filing with DSC or EVC, and confirming Filed status and ARN. Confirm the precise buttons and order in the current official manual before documenting or following the live workflow. The FAQ says successful filing generates an Application Reference Number (ARN) and the status becomes filed.

Make the distinction between draft, submitted, and filed explicit in captions. Do not describe a draft or an in-progress submission as a completed filing. If publishing a success screen, conceal the ARN unless disclosure is authorized.
Protect credentials and taxpayer information
GSTN’s Welcome Kit says: “You are strongly advised not to share your GST Portal credentials (Username and Password) with anyone.” Do not put passwords or OTPs in screenshots, and do not give portal credentials to a photographer, editor, or helper.

For public documentation, minimize visible data. Check for GSTINs, PANs, phone numbers, email addresses, bank details, customer names, invoice numbers, amounts, and other identifying or commercially sensitive information. Also inspect browser tabs, notifications, autofill suggestions, and adjacent windows. Prefer fabricated example data or a test environment if one is available for your purpose; do not assume or claim that a GST Portal demo mode exists without verifying it.
Redact and review the exported image
- Apply opaque redaction before publication; ensure the hidden content cannot be recovered by removing an editing layer.
- Inspect the exported image at full size, including edges and small interface text, before sharing it.
- If originals must be retained as evidence, keep them in an access-controlled location and publish only a minimized, redacted copy.
These are practical privacy recommendations, not a formal GSTN screenshot-redaction or retention standard. The GSTN materials cited here do not establish a formal public standard for editing, redacting, annotating, or retaining screenshots.

Write captions that make the record reproducible
Keep captions short and factual. A useful caption identifies the sequence, action, and evidence visible in the image without implying that the image proves more than it does.
- Action: “Reviewed the consolidated summary for the selected period.”
- What changed: “The portal displayed the summary after the entries were reviewed.”
- What to confirm: “Compare the values with your source records before proceeding.”
- Outcome: “The portal shows Filed status; the ARN is concealed in this public example.”
Use the terminology in the current manual, and identify any illustrative or redacted screen as such. Screenshots are supporting documentation; they do not replace the official instructions or a taxpayer’s own review.

Where GSTR-1 data can be prepared
The GST Portal FAQ identifies three preparation routes. Choose the one that matches the applicable official guidance and the taxpayer’s workflow; do not assume that the routes are interchangeable in every case.

Common documentation problems
- The screen does not match the guide. Check that the manual matches the form, task, and period, then verify labels and order against the current official portal guidance.
- A screenshot appears to show filing, but the state is unclear. Do not infer completion from a draft or an in-progress screen. Confirm the status indicated by the portal and the applicable manual; for GSTR-1, the FAQ describes successful filing as producing an ARN and Filed status.
- Sensitive data remains visible after editing. Re-export with opaque redaction and inspect the image at full size. Check surrounding browser and desktop UI as well as the main form.
- A helper requests login details to take screenshots. Do not share credentials. Capture the screens yourself or use an authorized workflow that does not expose your login information.
- The article’s steps seem universal. Mark the sequence as illustrative and consult the current task-specific manual; procedures and screens may differ by form and period.
