A run of show (ROS) is the production team’s timed operating plan for a live stream: what happens next, when it happens, who is responsible, which cue to execute, and what to do if a transition fails. To create one, define the viewer experience, confirm the people and constraints, map the program into meaningful moments, assign an owner and cue to each, then test and control one shared version.
What a live-stream run of show should do
An audience agenda says what viewers can expect. A run of show goes further: it helps the host, producer, moderator, speakers, and technical operators execute the program together. It should represent what viewers will actually see and hear—not only the stage agenda—including holding content, scene changes, playback, chat or Q&A, transitions, and end-of-stream actions.
Keep it as simple as the show allows. A solo stream may combine host and producer responsibilities in one person. A multi-speaker or hybrid event may need distinct owners for calling cues, moderating questions, supporting speakers, and operating the stream. The format below is a practical starting point, not a mandated industry standard.
1. Define the show before filling in timings
Write down the audience, purpose, format, and access arrangements. Decide what viewers should be able to do: watch, chat, submit questions, or participate in another way. Identify which moments must happen live, which can use playback, and what needs to be recorded.

Then gather the confirmed agenda, speaker list, access requirements, venue or connection details, and recording plan. Mark unconfirmed technical or logistical details as unknown until someone verifies them; an assumption should not appear in the plan as a confirmed venue fact.
2. Build a useful run-of-show table
Give every meaningful moment a row. Include enough information that the person responsible can act without guessing; a row that simply says “check” does not identify what to check or who should do it.

Separate roles only when doing so makes ownership clearer. For each critical moment, state who can pause, skip, shorten, or choose an alternate action. That authority matters when a speaker is late or a technical cue does not work as planned.
3. Order the program around viewer experience
Start with the first thing the audience encounters and carry the plan through the actual end of the stream. A practical sequence might look like this; replace the labels and order with the needs of your event.

4. Assign owners, cues, and fallback actions
For each row, identify the person responsible and make the action observable. “Producer: take demo scene after host says ‘show the dashboard’” is more operational than “change scene.” For audience interaction, specify who filters or selects questions and how the host receives them. For playback, name the asset and the cue that starts it.

Write contingency notes for the problems that could materially interrupt your program. For each, document who decides what to do and what viewers see while the team recovers.
- Speaker is late: identify who can shorten the previous segment or move to a prepared alternate.
- Slides or media change: name who confirms the replacement and updates the operator before the cue.
- Audio source fails: specify who checks the source and who tells the host whether to pause or continue.
- Connection degrades: identify the decision-maker and the feasible response that has actually been checked for the venue.
- Platform access changes: identify who verifies access and communicates the next action to the team.
Do not put a generic bandwidth target or an untested backup path in the plan as if it were known to work. 5. Test and rehearse the real setup
Run a private test with the devices, account, internet connection, media, and people you intend to use. Google’s YouTube live-streaming checklist recommends testing the internet connection, camera framing, audio capture quality, and lighting; it also advises planning for live chat and comments, including moderators when resources are available.
- Verify platform access. Confirm the account can access the intended stream and check current YouTube instructions for any account-specific lead time or requirements. Those details can change.
- Check picture and sound. Confirm camera framing, lighting, and that the intended audio source is captured clearly.
- Test media and cues. Play the actual assets and rehearse the scene changes, slides, audio, and handoffs listed in the run of show.
- Exercise the fallback. Walk through a realistic interruption, such as a missing speaker or failed media item, and confirm who calls the alternate.
- Review chat coverage. Confirm who will monitor audience comments and questions and how selected questions reach the host.
Schedule the stream as public or unlisted as appropriate for the event, and keep the private rehearsal separate from the audience-facing program. A microphone or camera upgrade is not automatically necessary; first establish whether your existing setup passes the audio and framing checks.
6. Keep one version in control on show day
Use one shared document, spreadsheet, or other accessible operating plan. Name the person who owns the current version and tell the team which version governs the show. When the schedule changes, update the document and notify the people whose cues or responsibilities changed. Otherwise, the host and production team may act on different plans.
