Before you submit financing figures, reconcile each questionable invoice against evidence of the transaction, correct the record with a traceable history, and check whether the error changed your books or tax reporting. Do not alter an amount to make an application look stronger: the correction should reflect what actually happened. The formal steps depend on your jurisdiction, invoice type, tax treatment, and accounting system.
What should you check before correcting an invoice?
Pause submission of any figures that rely on the questionable record. Make a list of affected invoices and identify the suspected issue: wrong customer or supplier, date, quantity, price, duplicate entry, missing payment, incorrect tax, or posting to the wrong accounting period.
Gather the records that show what the transaction was. Compare the invoice with the contract or order, proof of delivery or completed work, relevant customer or supplier messages, payment and bank records, and any credit or refund documentation. Then compare the invoice with its accounting entry and payment status.
The IRS advises that records should be presented with the circumstances that explain them; its audit guidance says, “No record can stand on its own.” The Canada Revenue Agency lists ledgers, journals, invoices, receipts, contracts, and bank statements among the business records it may examine. Keep a brief reconciliation log noting the invoice, evidence reviewed, discrepancy found, and conclusion.

How do you correct the record without losing its history?
- Confirm the correct transaction. Use contemporaneous evidence rather than an estimate or a desired financing figure.
- Preserve the original invoice. Record the correction date, reason, and person making it. Link the revised entry to the evidence and, where applicable, to a replacement invoice, credit note, or other formal document.
- Keep a retrievable audit trail. Organize the source documents, invoice, correction log, accounting entry, and any summary figures so a reviewer can follow how the reported amount was derived.
- Do not silently overwrite or backdate. A transparent, dated correction is easier to explain and verify than a record that obscures what changed.
The IRS and OECD materials support documenting context and maintaining traceability; they do not establish one universally required invoice-amendment format. OECD guidance says audit trails should make the details behind summary accounting data—such as entries, invoices, and vouchers—identifiable and available to auditors.

How do you check the effect on your books and tax figures?
After correcting the source record, reconcile the customer or supplier balance, accounts receivable or payable, cash received or paid, revenue or expense classification, tax treatment, and reporting period. An invoice error can affect more than the invoice total: it may change a ledger balance or the period in which income or an expense was recorded.

Which type of correction is involved?
These are practical distinctions, not universal legal categories. The right treatment depends on local rules, your accounting basis, software, and the lender’s requirements.
Clerical correction with no change to reported totals
A typo or similar mistake may be limited to the invoice record if the transaction, tax, and accounting totals remain correct. Keep evidence of the corrected detail and verify whether local invoicing rules still require a formal replacement or other document.

Accounting-period or financial-statement change
If the correction changes when revenue or an expense was recorded, or changes accounts presented in formal financial statements, ask a qualified local accountant how to amend the books and explain the adjustment.

Correction affecting a filed tax return
If a submitted return may be wrong, do not assume that changing the invoice or ledger alone resolves it. Consult a qualified local accountant or the relevant tax authority about whether a tax adjustment or amended return is required.
Can you change an invoice after sending it?
You may need to correct an invoice that has already been sent, but the appropriate document and process vary by jurisdiction, invoice type, and tax treatment. Depending on the error and local rules, the correction may involve an amended invoice, credit note, replacement invoice, tax adjustment, or amended return. Send copies when copies suffice, not irreplaceable originals. The IRS audit guidance specifically instructs taxpayers to submit copies rather than original records. Keep an exact copy of what you submitted, along with the reconciliation log and supporting files, so you can answer follow-up questions consistently.
When should you get professional help?
Speak with a qualified local accountant before representing your records as corrected if the discrepancy could affect a filed tax return, formal accounts, financial statements, or the accounting period. Also seek local advice when you are unsure which document is legally required or how tax should be adjusted. Rules for invoice form, correction method, and record retention are not uniform across jurisdictions.
What if a business-credit application is denied?
In the United States, FTC guidance says a business-credit applicant may request specific written reasons for a denial within 60 days, and the creditor must provide those reasons within 30 days after the request. Applicability can depend on the creditor and circumstances; check the current law and the lender’s notice.
