Coordinate across different work schedules by making asynchronous updates the default and reserving meetings for work that benefits from real-time discussion. Put status, context, the next action, and its owner in a shared record so work can move forward when teammates are offline. When a meeting is necessary, agree on fair scheduling boundaries, check everyone’s local time, share materials in advance, and document decisions afterward.
Start by deciding whether a meeting is necessary
Ask whether the outcome can be achieved effectively without everyone being present at the same time. If a written update, review, or decision request can move the work forward, record it in the shared project space and let colleagues respond on their own schedules. GitLab recommends considering asynchronous methods before scheduling a meeting, while Microsoft describes asynchronous collaboration as work that happens across different places and times.
Use a live conversation when immediate discussion is valuable—for example, when participants need to resolve a complicated disagreement together. A meeting is not a substitute for preparation or a durable record: send the purpose and relevant material ahead of time, then capture the outcome where the work is tracked.
Agree on fair meeting boundaries
Do not make one person or region absorb inconvenient meeting hours by default. As a team, agree on what counts as a reasonable meeting time, how people can participate when an invitation falls outside their core hours, and when the agreement should be revisited. Account for individual constraints such as caregiving and holidays, as well as changes in team membership or time zones.

GitLab’s current online handbook recommends sending meeting invitations and agendas 72 hours in advance, with 24 hours as a minimum. This is that organization’s recommendation, not a universal standard. Sharing materials early gives people time to review them on their own schedules, a practice Microsoft also recommends: Microsoft WorkLab’s guidance on remote working.
Schedule across time zones without shifting the burden
First establish each participant’s actual working hours and local time zone; a region’s standard business hours are not a substitute for an individual’s availability. Then look for overlap that works for the people involved. When colleagues have little or no overlap, rotate less convenient meeting times where appropriate, or use separate sessions or asynchronous input instead of repeatedly asking the same people to join outside their normal hours.

GitLab’s handbook provides cross-regional working-hour recommendations and suggests reserving some overlapping hours for colleagues who otherwise have fewer chances to meet. Treat its suggested windows as examples, not fixed rules: local offsets change seasonally, and actual work schedules differ. For recurring meetings, GitLab suggests considering UTC as the calendar time zone so a change to the organizer’s local time zone does not shift the meeting time for others. Participants should still check the event in their own calendars, especially around seasonal clock changes. See GitLab’s meetings guidance and its global collaboration guidance.
If scheduling with someone outside your team, GitLab cites Calendly as one workflow option. A scheduling service can help find a time; it cannot decide whether that time is fair or within someone’s availability. Confirm the proposed time against participants’ local calendars and your team’s boundaries.

Make handoffs clear to someone who was not there
A useful handoff lets the next person understand the work and act without reconstructing a conversation. Put the update in the project issue, shared document, or other agreed working record, not only in chat or a meeting. Include:
- Status: What has been completed, and what remains in progress?
- Context: What decision, constraint, or dependency does the next person need to know?
- Next action: What specifically should happen next?
- Owner: Who is responsible for that action?
After a meeting, record decisions and follow-up actions in the same working space. That way, people who could not attend can catch up, and the next shift or region can continue without depending on an informal recap. Escalate written discussions that are stuck
Asynchronous work should not mean leaving a difficult exchange unresolved. If a written discussion is going in circles, consider a focused call, make sure the relevant people can attend at a reasonable time, and record the decision and next steps afterward. GitLab’s rule of thumb is to consider a synchronous call after three back-and-forth exchanges. That is one organization’s practice, not a universal cutoff; the useful test is whether another written reply is likely to clarify the issue.

A calendar that displays multiple time zones or a world clock can make regional times easier to compare. Neither can tell you whether a time respects a teammate’s personal availability, and a wall clock alone does not account for seasonal offset changes. A shared calendar and scheduling service can help expose availability; shared documentation can preserve context and decisions. The team still needs agreed boundaries and a reliable handoff habit.

For an office or home office that regularly coordinates with a fixed set of regions, a multi-time-zone wall clock is an optional visual aid. Bodet describes displays for several selected cities with automatic time changes, and Seiko’s India store lists a four-zone wall clock.
