Do not begin by copying random fields from product pages. Define the schema first, separate product facts from seller offers, and create a repeatable update and reconciliation process.
1. Define the canonical product record before collecting anything
Your canonical record is the internal source of truth. Every supplier file, ERP export, warehouse scan, product page, feed, and marketplace update should map into it rather than creating a competing version.
Keep product facts separate from offer facts
A product describes the item itself. An offer describes who is selling it, in which market, at what price, and with what fulfillment terms. Separating these objects prevents one seller’s stock or price from overwriting another’s.

Use a schema that can retain provenance
For every value, store the normalized value plus its original value, source system, source URL or file, retrieval timestamp, owner, confidence, and change history. If a supplier sends “1.5 kg” and your catalog stores “1500 g,” you should be able to recover the original text and explain the conversion.
2. Start with controlled sources and permissioned collection
Use manufacturer or supplier files, ERP and PIM records, warehouse systems, and approved APIs first. These sources are usually more stable and authoritative than copying rendered web pages.
Recommended source order
- Internal systems: ERP, PIM, warehouse, pricing, and inventory databases.
- Approved partner feeds or APIs: supplier catalogs, distributor exports, and channel APIs.
- Physical intake: barcode scans from packaging, followed by validation.
- Website extraction: only where the site permits it and where no controlled source exists.
Record the source URL or file and retrieval time for every imported value. Check the site’s terms, robots directives, authentication rules, and applicable law before extracting public pages. Do not treat a page you can technically fetch as permission to republish its content.
Capture the page as evidence when needed
When a supplier’s page is the permitted source, save the URL, retrieval time, response status, and the extracted field values. A screenshot can help an operator review what a page displayed at collection time, but it is evidence for QA, not a substitute for structured product and offer fields.

Identifiers are data-quality controls, not decorative metadata. Capture your internal SKU and, when applicable, the correct GTIN, ISBN, manufacturer part number, and parent or item-group ID.
GTIN and ISBN checks
- Use the identifier that actually belongs to the item and market; do not substitute a supplier SKU for a GTIN.
- Check the required length and check digit. A scanned barcode still requires validation.
- Specify only one applicable GTIN property for a product.
- Keep the raw scanned or supplied value alongside the validated value.
A USB or Bluetooth barcode scanner speeds physical intake, but it does not prove that the number is correct. Reconcile scans with supplier records and packaging before publishing.

4. Normalize values without destroying the source
Normalization makes records comparable while preserving an audit trail.
Normalize these dimensions
- Units such as weight, dimensions, capacity, and screen size.
- Currency, tax treatment, decimal precision, and regional pricing.
- Capitalization and spelling of brand names.
- Category paths and controlled attribute values.
- Variant values such as color, size, material, pattern, and pack count.
- Image formats, HTTPS URLs, and image-to-variant relationships.
Never overwrite the source value during conversion. Store both values, the conversion rule, and the person or process that applied it. This lets you correct a bad import without guessing what the supplier originally sent.

5. Model variants and offers correctly
Use a stable parent or item-group identifier for related variants. A shirt in three sizes and four colors is one product family with child items, not twelve unrelated products and not one page that claims every child has the same offer.
Variant rules
- Give each sellable child its own SKU and, where applicable, its own GTIN.
- Attach the child’s image, price, availability, and URL to that child.
- Use the parent or item-group ID to connect size, color, pack, or other variant dimensions.
- Do not send a parent image or price for every child unless the value genuinely applies to all children.
Offer rules
Tie price, sale price, stock, condition, shipping, and returns to the offer and market where they apply. A price for the United States cannot silently become the price for every country, and a warehouse stock count should not be presented as global availability.
6. Collect media and page data safely
For each product, store a primary image, additional image URLs, stable HTTPS addresses, alt text, and the variant to which each image belongs. Confirm that images resolve without authentication if a channel must fetch them.
A minimal JSON-LD extraction example
When website extraction is permitted, this Python example retrieves server-rendered JSON-LD and prints Product objects. It deliberately leaves validation and mapping to your canonical schema.

A page may contain multiple JSON-LD blocks, an @graph, or JavaScript-generated data that is absent from the initial HTML. Treat missing data as a collection exception; do not invent values.
7. Publish in both page markup and channel feeds
Put Product or merchant-listing structured data on each product page and submit a Merchant Center feed when you need broader coverage or controlled update timing. Google describes structured data markup as “a machine-readable representation of your product data directly on your site.”
Keep the two publication layers aligned
- Map title to
name, description todescription, and the primary image toimage. - Map SKU, GTIN, and other identifiers to the corresponding schema properties and channel attributes.
- Ensure feed price, currency, availability, condition, shipping, and returns match the page and checkout.
- Include information that may not be visible on the public page, such as store-level inventory, in the appropriate feed or API.
Use server-rendered markup when possible. If structured data appears only after client-side JavaScript runs, a crawler may not see it reliably.
8. Choose an update method that matches volatility

Crawling is not guaranteed to discover every product or to process changes within a particular time. Use scheduled feeds for predictable bulk updates and an API for urgent corrections.
9. Reconcile and monitor after every import
Compare the canonical record with the feed, structured data, storefront display, and checkout. Monitoring should identify drift rather than merely report that an import completed.
Checks to automate
- Required identity fields are present and identifiers pass length and check-digit validation.
- Prices include currency and match the checkout amount after applicable tax rules.
- Availability and condition match current inventory and fulfillment rules.
- Images resolve over HTTPS and are mapped to the correct variant.
- Parent and child variants use consistent item-group relationships.
- Shipping and returns fields are present wherever the target channel requires them.
- Every value has a source, retrieval time, owner, and confidence or exception state.
10. Common failures and practical fixes
“The identifier is rejected”
Cause: a supplier SKU was sent as a GTIN, or the GTIN has an invalid length or check digit.
Fix: identify the correct GTIN or mark it unavailable when it is not applicable; never pad or guess a number.

“Every variant shows the same price or image”
Cause: parent-level values were copied to child offers.
Fix: map each child SKU, image, price, stock value, and URL separately and retain the shared item-group ID.
“The feed and product page disagree”
Cause: separate systems update on different schedules or apply different currency and tax rules.
Fix: designate the canonical source, include a retrieval timestamp, and reconcile feed, page, and checkout values after each import.

Cause: reliance on crawling alone; crawlers may not find every product or may not process changes promptly.
Fix: submit a scheduled feed and use an API for urgent updates.
“The crawler sees no structured data”
Cause: markup is generated only after page load.
Fix: render the required Product data in server-rendered HTML or confirm that the target channel supports the client-side implementation.
“Corrections cannot be traced”
Cause: normalization overwrote the original supplier value.
Fix: restore source-value, normalized-value, rule, timestamp, and change-history fields.

11. Use GS1 and shared vocabularies when data crosses companies
For manufacturers, private-label sellers, and multi-partner catalogs, use governed identifiers and machine-readable vocabularies. GS1 guidance supports publishing product and offer facts with GS1 and schema.org terms, including an offer price and a retailer’s product image. Check country-specific company-prefix licensing and pricing directly with the official GS1 organization.
