To collaborate in Office OneNote 2007, create a shared notebook in a server or shared folder, then send teammates its link. People with access can edit pages at the same time; OneNote synchronizes their changes when they can reach the shared storage. OneNote 2007 also offers a separate Live Sharing Session command, but its desktop-era sharing is not the same as modern browser-based OneNote collaboration.
Create a shared notebook
- In OneNote 2007, open the Share menu and choose Create Shared Notebook….
- In the New Notebook Wizard, enter a notebook name.
- Choose a server or shared folder, then specify the shared location. The location must be accessible to the people who will collaborate.
- Complete the wizard. The guide says OneNote prepares an email message containing the notebook’s file link for team members; send it to the intended collaborators.

How simultaneous editing works
Microsoft’s OneNote for Team Collaboration guide says, “No matter where each colleague is geographically located, everyone can view and edit pages of a notebook at the same time.” It describes shared-notebook edits as saved and synchronized automatically, provided users can connect to the shared storage. A shared notebook is therefore suitable for concurrent work, but synchronization depends on the server or shared folder being reachable and permissions being configured correctly. Before a meeting, check connectivity and access for each participant.
Catch up on changes
To review recent notebook activity, use the History ribbon’s Recent Edits command. The collaboration guide says it can show changes for periods such as Today, Yesterday, or Last 7 Days.

Share a link, stop sharing, or start a live session
OneNote 2007’s Share menu also lists Send Shared Notebook Link to Others…, Stop Sharing Notebook…, and Live Sharing Session. Use the link command to send access details for an existing shared notebook. Use Stop Sharing when the notebook should no longer be shared. Live Sharing Session is a separate command for a live collaboration session; it should not be confused with the shared notebook’s ongoing synchronized storage.
Outlook task integration
Microsoft’s Office OneNote 2007 sales toolkit documents synchronization of tasks between OneNote 2007 and Outlook 2007 or Outlook 2003. This is a legacy integration, not a claim that every modern Outlook account or setup will work. Confirm the installed Outlook version and account configuration before relying on it.

Will OneNote 2007 shared notebooks work in a modern browser?
Not as-is in OneNote for the web: Microsoft’s current format documentation lists OneNote 2007 .one notebooks among the formats the web app does not support. Desktop collaboration in OneNote 2007 and browser-based access in a current OneNote service are different workflows. If teammates need browser access, check whether the notebook can be converted and tested in a supported desktop client before promising that access.

What to check before relying on an old shared notebook
- Confirm that the server or shared folder still exists and that every collaborator can reach it.
- Check that each person has the required permissions to open and edit the notebook.
- Verify that synchronization is working before a collaborative session, rather than assuming edits have reached other users.
- Test any required Outlook task integration against the actual Outlook version and account setup.
- For browser access, verify format compatibility first; OneNote for the web does not support OneNote 2007
