To collaborate in Google Sheets, share the file with the right people, assign each person a Viewer, Commenter, or Editor role, and use comments, protected ranges, and version history to coordinate and recover work. For controlled access, share with named people; use link sharing only when the audience is meant to be broader.
How do I share a Google Sheet?
- Open the spreadsheet and select Share.
- Enter the email addresses of the people or groups who should have access.
- Choose Editor, Commenter, or Viewer for each recipient.
- Send the invitation. If you choose link sharing instead, set the access level and share the link with its intended audience.
Google’s Docs Editors Help describes these access choices as “Editor, Commenter, or Viewer.” Use named-person sharing when you need to control explicitly who can open the file. If you cannot add an intended recipient, the file owner may need to check their organization’s sharing settings.
How do I give someone edit access in Google Sheets?
In the Share dialog, set that person’s role to Editor. Editors can change the spreadsheet; use Commenter for someone who should give feedback without editing cells, or Viewer when read access is enough. Choose the least permissive role that lets each collaborator do their work.
For sensitive spreadsheets, review the sharing options that let the owner restrict editors from changing access or adding people, and limit downloading, printing, or copying by commenters and viewers. These controls can help reduce unwanted distribution, but they do not replace careful decisions about who receives access.

How do I collaborate on a spreadsheet without losing track of discussion?
Add discussion to the relevant work: select cells or other content, then add a comment. Mention or assign a specific collaborator when you need them to respond. Google says a mentioned collaborator receives an email notification and a link to the file. Comments keep feedback associated with the spreadsheet content rather than separated into an unrelated conversation.
How can I protect important cells or a sheet?
- In the spreadsheet, select Data > Protect sheets and ranges.
- Choose whether to protect an entire sheet or a specific range.
- Set a warning for attempted edits or restrict who is allowed to edit the protected content.
A warning can flag a risky change while leaving editing possible; restricting editors is the stronger option when only particular people should change a section. Protection applies to the sheet or range you select, so check that the target covers the cells you intend to safeguard.

How can I see who edited a Google Sheet?
For a broader record, open File > Version history > See version history. Version history lets you inspect earlier versions, see editors and their changes, and restore an earlier version. Google’s guide says edit access is required to browse earlier versions. Give important milestones recognizable names in version history so collaborators can find them more easily.
For a specific cell, use its edit history as a clue, not as a complete audit. Google notes that some changes may not appear there, including inserted or deleted rows or columns, formatting changes, and formula changes. If you are investigating a consequential change, check version history instead of relying only on a cell’s history.

How do I restore an earlier version of a Google Sheet?
- Open File > Version history > See version history.
- Review the available versions and select the one you want to inspect.
- Choose the version you intend to recover and use the restore option.
Before restoring, inspect the selected version so you know which state you are bringing back. If you need to preserve the current state as a milestone, name it in version history before restoring.

Google Workspace Learning Center says up to 100 people can work on a Docs, Sheets, or Slides file at the same time with view, edit, or comment access. At 100 or more people, only the owner and some users with edit permission can edit. Google suggests publishing as a web page when the goal is to let more than 100 people view the content. This limit is the figure stated by Google Workspace Learning Center; its retrieved page did not show a publication year.
