For a new computer, 256 GB of SSD storage is a reasonable starting point for browsing, email, documents, and streaming; choose 512 GB or more if you expect to keep photos, videos, games, or creative projects on the device. If you install several large games or work with substantial video files, you may need 1 TB or more. These are starting points, not universal minimums: the right capacity depends on what you keep locally and how quickly it grows.

One important distinction: the computer’s built-in storage is not the same as storage for backups. An external drive can hold an archive or backup, but it does not add that capacity to your laptop’s internal drive. The method below helps size the working drive first, then plan separately for backups.

How much storage do common computer uses need?

For everyday use, 256 GB can be enough; for mixed use with locally stored media and games, 512 GB is a more flexible starting point. Microsoft’s January 2026 PC guide makes the same distinction: 256 GB for basic needs and 512 GB or more for photos, videos, games, and creative projects. Those are buying guidelines, not guarantees that a particular capacity will suit every person. Microsoft’s PC buying guide is a useful reference point.

Your situation Defensible starting point What could change it
Browsing, email, documents, streaming 256 GB SSD Large downloads, offline files, or cloud folders synced to the computer can make a larger drive useful.
Mixed everyday use, local photos, occasional games 512 GB SSD Consider more if your photo library or installed games are growing.
Large personal photo or video library About 512 GB to 1 TB or more Cloud-heavy use may need less local capacity; a large locally stored collection needs more.
Several games installed at once Calculate from the games you plan to keep installed; 1 TB is a practical starting estimate to investigate Actual game sizes and updates vary. Microsoft’s broader gaming guidance spans 512 GB to 2 TB-plus.
Substantial photo or video production Size from actual source files and upcoming projects Working media may call for a separate fast drive in addition to the computer’s system drive.

The gaming range comes from Microsoft’s gaming storage guidance. The 1 TB suggestion above is an editorial midpoint to consider, not a stated Microsoft minimum. A person with a few small games may need less; a large library kept installed at the same time may need more.

How do I calculate the capacity I need?

Start with the space you use now, add the files and applications you expect to keep at the same time, then allow room for growth, updates, and working files. Round up to a capacity that is actually sold rather than planning to fill a drive to its last byte.

  1. Check current use. On Windows, open File Explorer and select This PC to see drive capacity and available space. Windows’ Storage settings and cleanup recommendations can help identify large or unused files. On a Mac, check the available storage in the system’s storage settings.
  2. List what will stay on the computer. Include applications, documents, downloads, locally stored photos and video, offline cloud files, and games you expect to have installed simultaneously. Do not count a cloud-only file as local space unless you plan to download it.
  3. Estimate additions. Think about the next year or two: new projects, new games, a larger photo library, or files you will keep offline. Use your own recent growth as a guide if you have it; there is no official fixed percentage of free space that suits everyone.
  4. Add a personal allowance. Keep capacity available for updates, temporary work files, and unexpected growth. For example, a person with 300 GB of current files, 150 GB of planned additions, and a 100 GB allowance estimates 550 GB. A 512 GB drive could be tight, so comparing a 1 TB option is sensible.
  5. Check upgrade and connection options. Before relying on an internal upgrade or external drive, verify the computer’s supported drive type, physical space, ports, and compatibility. An external drive’s advertised capacity is not a substitute for built-in capacity when you need files available without connecting it.

Low free space can interfere with updates and day-to-day file management. Microsoft’s Windows storage guidance covers cleanup and moving infrequently used files to external storage. Treat cleanup as a way to manage space, not as a reason to buy a drive that cannot hold the files you actually want available locally.

Is 256 GB enough, or should I choose 512 GB?

Choose 256 GB when your use is genuinely basic and most of your files are small or kept elsewhere; choose 512 GB when you want more room for local media, games, or projects. The extra headroom reduces how quickly ordinary additions force a cleanup or a move to external storage.

Before choosing 256 GB, account for the operating system and applications as well as your personal files. Also consider whether cloud folders automatically keep full copies on the computer, whether you download films or other media for offline use, and whether you routinely keep many browser downloads or large attachments. A cloud service can reduce local use only if the files remain online rather than being downloaded in full.

Conversely, a person who mainly browses, streams, and works with a modest set of documents may not benefit from paying for capacity that will remain unused. Microsoft’s 256 GB and 512 GB guidance helps frame the decision, but your current storage use and expected additions are more useful than a universal rule.

How much storage do games and creative projects need?

For games, total the storage for the titles you want installed together, then include room for updates, saved content, and other uses. Microsoft gives a broad 512 GB–2 TB-plus range for gaming PCs that also hold other files, so the number of games and their actual installation sizes matter more than the label “gaming PC.”

For creative work, distinguish the application from the material it manages. Adobe lists 8 GB of available disk space for installing Lightroom Classic, with additional space needed during installation. That number does not tell you how much capacity a photo library needs. A collection of high-resolution originals, edits, exports, and backups can be much larger than the application itself. See Adobe’s Lightroom Classic requirements for the installation figure and its qualifications.

Video editing has the same distinction between the application and the footage, cache, and project files. Adobe recommends a fast internal SSD for the application and cache, plus another high-speed drive for media in its Premiere Pro requirements. That supports separating system and media storage in some workflows; it does not establish one universal capacity for every editor.

Seagate’s November 2025 guidance illustrates how demanding some workflows can be: it estimates that a 30-minute 4K shoot can produce over 150 GB of raw footage and gives 4–8 TB as a planning range for a 4K video project. These are vendor examples, not a promise about every recording. Resolution alone does not determine file size: recording format, bitrate, compression, frame rate, and workflow all matter. Check the size of your own source files and planned projects before choosing a capacity. Seagate’s video-editing storage guide explains its examples.

Should I get an SSD, an HDD, an external drive, or cloud storage?

For the computer’s main operating-system and application drive, an SSD is usually the better fit because it is faster than a traditional HDD. An external HDD or SSD can be useful for an archive, media workspace, or backup, depending on the required speed and capacity. Cloud storage can keep some files online, but it does not automatically make them available offline.

Microsoft’s explanation of SSD, HDD, and storage types describes the speed difference. For an external device, consider what it will do: a large archive that is accessed occasionally may prioritize capacity, while active video media may benefit from a fast connection and drive. Confirm the computer has a compatible port and that the drive meets the requirements of the intended workflow.

Cloud-sync features can reduce local storage when files remain online. For example, Microsoft says OneDrive Files On-Demand can show placeholders rather than full downloaded files. A placeholder does not mean the full file is stored locally; files needed without an internet connection must be available on the device. And an online backup service is not necessarily extra storage: Backblaze explicitly says its Computer Backup service is not a place to upload files and then delete their local copies. Microsoft’s Files On-Demand explanation and Backblaze’s service explanation clarify these distinctions.

How much space should I set aside for backups?

Plan backup capacity separately from the computer’s working storage. A 2 TB external disk connected to a laptop with a 512 GB internal drive does not give the laptop 2.5 TB of built-in capacity; it provides a separate destination for copies or archived files.

For Time Machine, Apple recommends a dedicated backup device with at least twice the storage capacity of the Mac. Its example is a 2 TB backup disk for a Mac with 1 TB of storage. Apple also explains that when a Time Machine disk fills, the oldest backups are deleted to make room for new ones. Read Apple’s Time Machine backup-device guidance for the Mac-specific recommendation.

Bombich Software, the maker of backup software, likewise recommends a backup device with twice the capacity of the source device to allow for growth and backup history. That is useful guidance for planning, not a universal requirement for every Windows user or every backup method. The appropriate size depends on what is included, how much it changes, and how much history you retain. Bombich’s backup-drive guidance gives its reasoning.

Keep the purpose clear: an archive may hold older files you no longer keep on the computer, while a backup is a separate copy of data you still need. If an external drive contains the only copy of a file, it is not protecting that file against loss of that drive. A dedicated backup destination should contain copies, and important data may warrant more than one copy in more than one place.

Why does a 1 TB drive show about 931 GB?

A nominal 1 TB drive contains 1,000,000,000,000 bytes. Storage makers use decimal units for TB, while some operating-system displays use binary units; that same byte count is approximately 931 GiB before formatting and space used by system files or other functions. The apparent difference is primarily a unit conversion, not proof that the drive has lost roughly 69 GB.

For the same reason, compare capacities using the units actually shown by the computer, and remember that usable free space can be lower than the displayed total. A drive’s operating system, formatting, recovery data, and installed applications can all take space. Microsoft’s explanation of storage units and related Windows terminology is not a capacity calculator; the key point is that decimal TB and binary GiB do not represent the same number of bytes.

What should I check before buying a storage upgrade?

First decide whether the constraint is local working space, long-term archive space, or backup space. Then check the actual computer and workflow rather than buying by capacity alone.

  • Compatibility: Confirm whether internal storage can be upgraded and which drive formats and capacities the computer supports. For an external drive, check ports and any workflow-specific speed requirements.
  • Where files must be available: If you need to work offline or travel without an external device, keep those files on the computer. Cloud placeholders and disconnected external drives are not locally available copies.
  • Growth: Revisit the estimate if your game library, camera footage, or synced folders are expanding. A capacity that fits today’s files may be inconvenient once planned additions arrive.
  • Backup versus archive: Decide whether a drive is for files moved off the computer or for a second copy of files that remain important. Do not delete the only original after copying it to an archive.
  • Current listing details: Check the drive’s stated capacity, connection, format, and current price against your computer and intended use. Prices and product availability change, so a model name alone does not establish that it is the right choice.

If you are unsure, favor enough internal SSD capacity for the operating system, applications, and files you need close at hand, then use separate storage for large archives or backups. That keeps the roles clear and avoids treating every external terabyte as if it were available space on the computer itself.

Frequently Asked Questions

Can I add more storage to a laptop later?

It depends on the laptop: some models support an internal storage upgrade, while others have storage that is not intended to be replaced. Check the manufacturer’s specifications for the exact model before buying a drive; a compatible external drive is an option when an internal upgrade is unavailable, but it must be connected to access its files.

Does cloud storage count as hard drive space?

Not when the files are kept online as placeholders rather than downloaded to the computer. Cloud syncing can lower local storage use, but files you need offline must be stored locally or available through a connected external drive.

Is an external hard drive a backup if I move my files onto it?

Not if it becomes the only copy. A backup is a separate copy of data you still need; moving the original away and keeping just one external copy leaves that data dependent on that one device.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I use any external drive for video editing?

Not necessarily: the drive and its connection need to suit the editing workflow, especially when media is read or written actively. Adobe recommends a fast internal SSD for Premiere Pro’s app and cache and another high-speed drive for media, so check the software and computer requirements before choosing.
