Choose hybrid-team software by mapping the work your team actually does, then testing whether a shortlist supports remote and in-office participation, fits your existing tools, meets your security requirements, and is easy to adopt. Pilot the finalists with employees working from home and from the office before committing: no single suite is established as the best choice for every team.

Start with the work the software must support

List the recurring workflows before comparing products. Include the tools people use to communicate, meet, edit documents, track projects and tasks, onboard colleagues, and work with outside collaborators. Note where information gets lost or duplicated, and which systems employees already rely on.

This keeps the decision focused on work rather than feature counts. Google groups its remote-work guidance around communication, meetings, and project management; Microsoft’s hybrid-work guidance covers meetings, chat, files, and shared tasks. These are vendor resources, but they can help structure an initial workflow inventory.

  • Communication: Where do quick questions, announcements, and team discussions belong?
  • Meetings: What do people need to do before, during, and after a meeting?
  • Documents: Where are shared files stored, edited, and found?
  • Projects and tasks: How are ownership, status, and handoffs recorded?
  • Onboarding and external work: How do new employees and outside collaborators get the access and context they need?

Google Workspace and Microsoft 365 are examples of suites whose vendor materials describe combinations of meetings, chat, document collaboration, shared files, and tasks. Those descriptions establish product scope, not that either suite will fit every organization. Test whether hybrid meetings are genuinely inclusive

Do not evaluate a meeting platform only from a laptop at home. In a mixed meeting, people in the room may have less access to individual participation features such as chat, polls, or questions than remote attendees. Google specifically describes this disadvantage when meeting-room hardware is used alone.

Google recommends using room hardware for audio and video while in-room participants connect from laptops in Companion mode to take part in meeting activities. Test this arrangement in the rooms and with the devices your team actually uses. Check audio feedback, echo, screen visibility, and whether remote attendees can follow discussion and participate on equal terms. Google also lists features such as hand raising, breakout rooms, polls, and virtual whiteboards through add-ons; availability may depend on account and product settings, so confirm support for your setup.

Check integrations and how information moves

Assess whether employees can find the relevant files, conversations, and task updates without jumping between disconnected systems or copying the same information in multiple places. Verify connections to the identity, device, document, calendar, and project systems the organization already uses.

Ask vendors or administrators to demonstrate the specific workflows on your shortlist: for example, coauthoring a document, sharing it with the right people, linking project work, and locating the latest version later. Microsoft’s hybrid-work materials describe shared workspaces, coauthoring, and integrations with project-management software, but this is product guidance—not neutral evidence that those integrations are superior or available in every configuration. Confirm current capabilities and licensing with the vendor.

Make security and administration part of the selection

Involve IT and security owners early. Have them check the shortlisted products against company policy for identity and access controls, multifactor authentication (MFA), managed or compliant devices, and data protection when employees connect from different locations. Consider who will provision and remove accounts, manage devices, set sharing permissions, and respond to access problems.

Microsoft Learn’s security guidance, last updated May 31, 2026, says: “Traditional perimeter-based security blocks productivity and is ineffective for remote and hybrid work environments.” Treat that as Microsoft’s security guidance, not as a product comparison. Its point for a buying decision is to validate the organization’s access model for hybrid work rather than assuming that location alone provides adequate protection. Microsoft’s hybrid infrastructure guide also discusses access, MFA, and device management. The page was last updated April 22, 2024, so verify current feature and licensing details instead of relying on its older licensing notes.

Compare the shortlist against the same criteria

Once workflows and requirements are clear, evaluate every candidate using the same questions. Record what is demonstrated, what requires additional setup, and what remains unverified.

Evaluation area What to check
Workflow coverage Does it support the team’s communication, meetings, documents, projects, tasks, onboarding, and external collaboration?
Hybrid participation Can remote and in-room employees participate effectively in meetings using the organization’s real rooms and devices?
Fit with current systems Does it work with the identity, device, document, calendar, and project tools the team depends on?
Security and administration Can IT validate required access, MFA, device, data-protection, and administrative controls against policy?
Adoption Can employees working from the office, home, and mobile locations learn and use the workflows without unnecessary friction?
Cost What are the licensing and implementation costs for the organization’s actual region, user mix, and required configuration?

Obtain current regional quotes and clarify which capabilities require particular plans or add-ons. A current, like-for-like price comparison is not established here, so do not treat a headline price as the total cost for your team.

Run a representative pilot before rollout

Choose a small group that reflects how the organization works, including remote staff, office-based staff, and people who join meetings from shared rooms. Give them real, routine work to complete rather than relying on a guided vendor demonstration.

  1. Set the test workflows. Select representative tasks such as coordinating a project, co-editing a document, finding a decision later, and holding a mixed in-room and remote meeting.
  2. Use normal equipment and locations. Test the devices, meeting rooms, networks, and access patterns participants will use after rollout.
  3. Observe the work. Note where participants lose information, need workarounds, cannot join in, or require help from an administrator.
  4. Review the same criteria for each finalist. Compare workflow coverage, shared-information access, meeting participation, integration effort, administration, adoption, and quoted cost.
  5. Resolve policy and support questions. Ask IT and security owners to validate controls and identify the people and processes needed to operate the system.

There is no universal scoring formula established for this choice. A useful pilot produces concrete evidence about your team’s workflows and constraints, rather than a winner based on a generic feature checklist.

Keep work-from-home findings in perspective

A 2022 paper by Anh Nguyen-Duc and coauthors reports a global survey of 297 valid responses, collected in spring and summer 2021, about work-from-home practices at software companies. Respondents perceived mixed impacts on project management, resilience, and innovation; the paper argues for a contingency approach. It does not compare collaboration products or establish which software a particular team should buy. Read the paper on arXiv.
