Use a full backup as your recovery anchor, then choose incrementals or differentials according to what constrains you most. Incremental backups use the least recurring storage, bandwidth and backup-window time, but a restore depends on the full backup and every required incremental after it. Differential backups make recovery simpler—restore the full backup and the latest differential—but each differential grows as more data changes after the full. Full backups are easiest to restore and easiest to reason about, but they consume the most resources on every run.

There is no universally “better” type. Your recovery point objective (RPO), recovery time objective (RTO), data-change rate, backup window, network capacity, storage budget and tolerance for restore-chain complexity should determine the schedule.

What each backup type actually contains

Full backup

A full backup copies the complete selected dataset at the moment the backup finishes. For a database, Microsoft describes it as a representation of the whole database at completion time. It is the base from which differential backups are measured and the starting point for an incremental chain.

Because every run reads and writes the entire selected dataset, a full backup normally has the longest run time and the largest per-run storage requirement. Its operational advantage is independence: a complete restore can start from one full set without locating a sequence of later files.

Microsoft advises estimating the disk space used by a full database backup before implementing a strategy. That estimate should include the actual data selected, compression or deduplication behavior in your platform, retention copies and room for a new full to run while older copies are still retained. See Microsoft’s backup overview for the database terminology and planning context.

Incremental backup

An incremental backup copies data changed since the most recent preceding backup of the relevant types: full, differential or incremental. The first incremental after a full contains changes since that full; the next contains only changes since the immediately preceding incremental.

This “since the last backup” rule usually produces the smallest recurring files and the shortest recurring backup window. It is useful when a system changes frequently, has limited bandwidth, or cannot pause production for long. The trade-off is dependency: a restore needs the full backup plus every incremental required to reach the desired recovery point, applied in the correct order.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

One missing, corrupt or unreadable incremental can prevent recovery to later points in that chain. Catalogs, filenames, timestamps and integrity checks therefore matter more with an incremental design than with repeated full backups.

Differential backup

A differential backup copies all data changed since the latest full backup, known as the differential base. Every differential in the same cycle uses that same base, so later differentials include changes already present in earlier differentials.

A differential starts relatively small immediately after a full, then grows as the dataset changes. Microsoft notes that a large differential can lose the advantage of being smaller and faster, and recommends taking a new full at set intervals to create a fresh base. The definition and restore behavior are documented in Microsoft’s Differential Backups guidance.

Differentials occupy the middle ground: they normally use more storage and transfer capacity than incrementals, but a restore requires only the full base and the latest differential rather than an entire sequence.

Full, incremental and differential compared

Criterion Full Incremental Differential
What each run contains The complete selected dataset Changes since the most recent preceding full, differential or incremental Changes since the latest full (the differential base)
Recurring backup size Largest Usually smallest Starts smaller and grows toward full size as changes accumulate
Recurring backup time Longest Usually shortest Gets longer as the differential base ages
Restore inputs One full backup The full plus every required incremental in sequence The full plus the latest differential
Restore complexity Lowest Highest because of chain dependencies Lower than incremental
Best fit Long-term anchor and simple recovery Tight backup windows, limited storage or limited bandwidth Faster, simpler restores when a moderate storage budget is available

The table describes the normal pattern. Actual sizes and times depend on the platform, compression, deduplication, data layout, change rate and destination. No single percentage or speed figure can be applied responsibly across operating systems and backup products.

How restores differ in practice

Restoring from a full

Select the full backup that contains the required point-in-time data, validate its integrity, and restore it according to the platform’s procedure. There is no later backup file to assemble, so this is the least complicated path when the full is available and recent enough for the RPO.

Restoring an incremental chain

  1. Locate the full backup that starts the chain.
  2. Locate every incremental backup from that full through the target recovery point.
  3. Check that the files belong to the same backup set and that there are no gaps in timestamps or sequence identifiers.
  4. Apply the full first, then apply each incremental in chronological order without skipping one.
  5. Run the platform’s consistency or integrity checks before returning the workload to service.

You do need every required incremental for the selected restore point. If an incremental is missing or damaged, you may be limited to an earlier point or to a new chain that has a different base. Keep backup catalogs and copies together enough that an operator can identify the exact order under pressure.

Restoring a differential

  1. Identify the full backup that is the differential’s base.
  2. Restore that full backup.
  3. Restore the latest differential that contains the desired recovery point.
  4. Run consistency checks and complete any application-specific recovery steps.

Microsoft’s guidance requires the base full before the most recent differential. Earlier differentials in the same cycle are not needed. SNIA’s differential-backup guidance describes this as at most two mountings—the full and the differential—which is why differentials are attractive when restoration speed and operational simplicity matter.

Choose by RPO, RTO and operating constraints

When the backup window or bandwidth is the main limit

Use a periodic full followed by frequent incrementals when the system cannot afford repeated full reads and transfers. The incremental files are usually the smallest recurring objects, reducing network use and allowing more frequent capture of changes. Set a maximum chain length that your team can inventory, copy and restore reliably, then schedule a new full before that limit is reached.

When restore time is the main limit

Use a periodic full followed by differentials when operators need a predictable restore with only two backup sets. Monitor the differential size and run time. If the latest differential approaches the size or duration of a full, create a new full to establish a fresh base rather than allowing the differential cycle to continue growing.

When the environment is small and simple

More frequent full backups can be justified when the dataset is small enough to finish within the available window and storage can support the retention policy. The extra resource use buys the simplest recovery procedure and reduces dependence on backup catalogs and chain order.

When storage, network and recovery goals conflict

Azure’s backup architecture identifies storage consumption, RTO and network consumption as variables that differ by backup type. Evaluate them together instead of optimizing one metric in isolation. A strategy that saves storage but misses the required RTO is not successful, and a strategy that meets RTO but exhausts the backup network will eventually fail.

Primary constraint Starting pattern What to monitor Adjustment
Limited storage or bandwidth Periodic full plus frequent incrementals Chain length, failed links, transfer time and available capacity Run a new full before the chain becomes difficult to manage; add capacity or reduce retention if required
Strict restore-time target Periodic full plus differentials Differential size, restore duration and full-backup completion time Shorten the interval between full backups when differentials become too large
Minimal operational complexity More frequent full backups Full duration, destination capacity and impact on production Move to incrementals or differentials only if the full schedule cannot meet the window
Rapidly changing dataset Frequent capture with a defined base-reset policy Change rate, RPO compliance and destination growth Recalculate capacity and reset the full base more often if files grow faster than planned

Schedules that remain manageable

Storage- and bandwidth-constrained schedule

Take a full backup to establish the base, then run incrementals at the interval required by the RPO. Retain enough full and incremental copies to cover the business retention period, but do not allow an unbounded chain. Choose the next full based on measured chain length, restore-test results and available capacity rather than an arbitrary calendar rule.

Restore-speed schedule

Take a full, create differentials between fulls, and watch their growth. A new full resets the differential base. If a differential’s transfer or restore time threatens the RTO, shorten the full-backup interval. This schedule spends more storage than incrementals in exchange for a shorter restore sequence.

Simple-environment schedule

Run full backups often enough to satisfy the RPO when the dataset and backup window are modest. This approach removes chain assembly from most incidents, but it still requires capacity planning, integrity checks and off-site copies.

Mixed schedules

Some platforms support different backup classes for different datasets. For example, a high-change database can use a full plus incrementals while a small configuration store uses frequent fulls. Keep each dataset’s restore instructions separate; do not assume that a schedule or retention rule valid for one workload applies to another.

Capacity, retention and copy placement

Start with a measured full-backup size. Add the expected number of full bases, incremental or differential files during the retention period, temporary space needed while a new backup is created, and headroom for growth. For differentials, model the largest file near the end of a cycle, not only the small file immediately after a full. For incrementals, model the total chain and the metadata needed to find every member.

Retention is a business requirement, not just a storage setting. Decide how far back the organisation must recover, which recovery points must be protected from deletion, and how long a restore test may take. Document whether a backup is a complete set or one element of a chain before applying automated cleanup.

Backup type alone is not a disaster-recovery design. SNIA guidance recommends at least three copies stored across at least two geographically separate locations, with at least one copy write-protected or isolated. Separate failure domains protect against theft, ransomware, hardware failure, operator error and a site outage. A second copy on the same server or in the same room does not provide geographic resilience.

Implementation checklist

  1. Inventory the data. Record datasets, sizes, owners, dependencies and whether applications require quiescing or transaction-aware backups.
  2. Set the RPO. Decide the maximum acceptable amount of lost change. This determines how often a backup must complete, regardless of type.
  3. Set the RTO. Decide how quickly each workload must be usable again. Include time to locate, transfer, assemble and validate backup files.
  4. Measure the full. Run or estimate a full backup and record its size, duration, destination requirements and effect on production. Microsoft’s SQL Server guidance specifically says to estimate full-backup disk usage before implementation.
  5. Select the pattern. Pick incrementals for the smallest recurring footprint, differentials for a shorter restore chain, or fulls when the environment can sustain their resource cost.
  6. Define the base-reset rule. State when a new full is mandatory: for example, when a chain reaches an operational limit, a differential approaches full size, or a restore test exceeds the RTO.
  7. Automate verification. Check completion, file integrity, catalog consistency, destination capacity and alerts for missed runs.
  8. Document the restore order. Write the exact full, differential or incremental sequence, credentials, dependencies and validation checks an operator needs during an outage.
  9. Test complete restores. Restore representative workloads, including the oldest retained point and a recent point. Record elapsed time and update the RTO plan with observed results.
  10. Distribute copies. Send protected copies to separate failure domains and verify that isolation or write protection prevents ordinary deletion.

Common failure modes and fixes

An incremental is missing

The chain cannot normally advance beyond the missing file. Identify the latest complete point before the gap, restore there if acceptable, and start a new full-based chain. Improve catalog replication and alerting so a failed incremental is detected while recovery alternatives still exist.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Differentials have become almost as large as fulls

This indicates that the differential base is too old for the workload’s change rate. Run a new full, then continue differentials from that fresh base. If the pattern repeats quickly, use shorter full intervals or evaluate incrementals.

The full backup does not fit the window

Measure which phase consumes the window and whether the destination or network is the bottleneck. Schedule the full during a lower-load period, add capacity or throughput, adjust retention, or use incrementals or differentials between less frequent fulls. Do not silently skip the full that establishes the base; later backups may become unusable without it.

Storage fills before retention expires

Compare measured full size, observed change rate and the number of retained chains with the original capacity model. Remove only copies that policy permits, add capacity, reduce retention with business approval, or reset the base more deliberately. Keep at least the protected copies required for the recovery policy.

Backups complete but restores fail

A successful job status is not proof of recoverability. Check integrity during creation, perform scheduled full restores, verify application consistency and preserve the software versions or keys required to read the backups. Update procedures whenever the platform or backup format changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

All copies are exposed to one incident

Move at least one copy to another geographic or administrative failure domain and protect it from routine deletion or alteration. A local full plus local incrementals is still one failure domain.

2026 decision guide

  • Choose full plus incrementals when recurring storage, bandwidth or backup-window time is the overriding concern and your team can maintain and test a chain.
  • Choose full plus differentials when the RTO favors a two-set restore and you can afford differentials that grow during each full-backup cycle.
  • Choose more frequent fulls when the dataset is small, the window is ample and eliminating chain dependencies is worth the additional storage and transfer.
  • Use a new full periodically in every design. It creates the anchor for recovery, bounds differential growth and limits incremental-chain length.
  • Validate the whole design. RPO, RTO, change rate, storage, bandwidth, retention, copy placement and documented restore order matter more than the label on any single backup file.

AWS similarly advises selecting a strategy according to available resources and the organisation’s recovery policy. Treat the backup schedule as an operational system: measure it, test it, and change the base interval when real workload behavior changes.
