Choose the AI vendor that can let you verify its controls for the exact service, model path, data, regions, and subprocessors you will use—not the vendor with the most impressive certification list. Before signing, obtain current independent assurance, confirm its scope and exceptions, inspect AI- and privacy-specific evidence, and put inspection, change-notice, remediation, and exit rights in the contract.
A SOC 2 report, ISO/IEC 27001 certificate, or “AI safe” statement is a starting claim. Verifiable audit access means you can examine the underlying evidence, identify who issued it, see the review period and exceptions, understand which controls remain yours, and obtain continuing access when the service changes.
What verifiable audit access actually means
Audit access is not the same as a badge on a vendor’s website. You need evidence that is independent, current, and connected to the production service and data flow you are buying. A useful evidence package lets you answer five questions:
- Who was assessed? Confirm the legal entity, product and API names, and any affiliates actually operating the service.
- What was assessed? Identify production systems, model-serving components, regions, data centers, interfaces, and subprocessors in scope.
- When was it assessed? Record the report or certificate date, the SOC 2 examination period, and the next renewal or surveillance date.
- What did the assessor find? Read exceptions, qualifications, control failures, management responses, and remediation status rather than relying on a summary letter.
- What remains your responsibility? Review complementary user-entity controls and any customer configuration, access-management, retention, or monitoring duties.
The evidence must follow the actual path of your prompts, files, outputs, logs, backups, support access, and model updates. A certificate for a parent company or a non-production environment does not establish that the AI endpoint processing your data is covered.

The National Institute of Standards and Technology (NIST) describes its AI Risk Management Framework (AI RMF) as voluntary guidance for incorporating trustworthiness into the design, development, use, and evaluation of AI products, services, and systems. NIST released the framework on January 26, 2023. Use its four functions—Govern, Map, Measure, and Manage—to organize procurement and ongoing oversight.
Organize the review with NIST’s four functions
Govern: assign accountability before reviewing controls
Identify the executive sponsor, business owner, security lead, privacy lead, and procurement or legal owner for the vendor. Define your risk appetite in writing: for example, whether personal information, confidential source code, regulated records, or high-impact decisions may be sent to the service.
Ask how the vendor approves AI use cases, records risk decisions, trains staff, retains evidence, and escalates incidents. Request the policy owner and review date for security, privacy, model risk, acceptable use, and change management policies. Establish who can accept a residual risk and who can suspend the integration.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteMap: document the use case and every data path
Describe the intended users, affected people, decisions supported, business process, integrations, and foreseeable misuse. Classify every input and output: prompts, uploaded documents, personal data, credentials, metadata, feedback, telemetry, and support tickets.
Map where data is collected, processed, cached, logged, backed up, reviewed by personnel, transferred across borders, and deleted. List each model, version, hosting region, inference provider, content filter, retrieval system, and subprocessor. Ask whether the vendor can keep your tenant logically or cryptographically separated from other customers.
Measure: test both the control environment and the model
Examine independent assurance, penetration testing, vulnerability management, access logs, encryption, backup recovery, and incident exercises. For the AI itself, request evaluation protocols and results for validity, reliability, security, privacy, fairness, explainability, resilience, and harmful-use controls.

NIST guidance says organizations using AI and machine learning should document methods and techniques, training datasets, model-update frequency, and completed testing, and should perform and document privacy risk assessments for personal information. Ask for those records in a form you can review, even when sensitive details must be redacted.
Manage: turn findings into decisions and deadlines
Rank findings by impact and likelihood, assign a remediation owner, and set an acceptance criterion and due date. Define what triggers additional testing, a temporary pause, a rollback, or termination. Keep a record of residual risk and the evidence supporting your decision; update it when the model, subprocessor, region, or data use changes.
Evidence to request from every AI vendor
Send a structured request rather than accepting a generic security deck. Require the vendor to identify the document owner, issue date, covered service, and any restrictions on customer use.
| Evidence area | What to request | What to verify |
|---|---|---|
| Independent assurance | Current SOC 2 Type II report, ISO/IEC 27001 certificate and statement of applicability, or an equivalent independent assessment | Named auditor or certification body, legal entity, service scope, examination or certification period, and report integrity |
| Scope and architecture | System description, architecture or data-flow diagram, production regions, model-serving path, and subprocessor list | That the endpoint, storage, support tooling, backups, and regions you will use are included |
| Exceptions and responsibilities | Control exceptions, qualifications, management responses, remediation records, and complementary user-entity controls | Whether an exception affects your use case and which controls you must implement |
| Model governance | Model and version inventory, intended-use restrictions, evaluation protocol, test results, update cadence, rollback procedure, and incident log | Whether evidence is version-specific, repeatable, and relevant to your risk level |
| Data handling | Training-use policy, retention schedule, deletion procedure and evidence, encryption details, access logging, tenant segregation, and prompt/output handling | Whether your data is used for training, how long copies persist, and who can access them |
| Privacy and impact | Privacy risk assessment, data-subject-rights support, high-impact-use restrictions, human-review process, and explainability materials | Whether the service supports your jurisdiction and decision context |
| Change and incidents | Material-change notice policy, breach notification terms, investigation cooperation, and customer communications plan | Notice timing, contact paths, evidence preservation, and your response window |
A 2026 SHRM checklist provides useful procurement wording: ask whether third-party security reviews such as SOC 2 or ISO 27001 have been performed and whether the vendor can explain AI decisions. Treat those questions as prompts, not proof; the supporting documents and scope still have to be verified.
How to verify a report or certificate step by step
- Request the primary artifact. Ask for the complete SOC 2 Type II report or the ISO/IEC 27001 certificate and statement of applicability under confidentiality terms. A marketing summary cannot reveal exceptions or control boundaries.
- Authenticate the issuer. Check the auditor or certification body, accreditation details where applicable, signature or report identifier, and the period covered. Contact the issuer through a independently located channel if authenticity is uncertain.
- Match the legal entity. Compare the entity named in the artifact with the contracting party, invoice entity, data-processing addendum, and privacy notice. Record parent, subsidiary, and acquisition relationships.
- Trace the service boundary. Highlight the exact product, API, model family, hosting region, support system, storage, and subprocessors you will use. Ask the vendor to explain anything outside the boundary.
- Read exceptions in context. For every exception or qualification, note the affected control, dates, cause, compensating control, management response, and closure evidence. Do not treat an unqualified opinion as proof that every AI risk is solved.
- List complementary controls. Convert each customer responsibility into an implementation task, such as single sign-on, administrator review, prompt filtering, key management, retention settings, or human approval.
- Check currency. Compare the report period with your planned go-live date. Obtain a bridge letter or other interim evidence only when it identifies the period, scope, and changes since the last report; do not treat a bridge letter as a replacement for a full examination.
- Preserve an evidence record. Store the artifact, issuer verification, scope notes, exceptions, questions, answers, and approval decision in a controlled repository with an owner and review date.
Questions that test AI-specific controls
Model versions and updates
Ask which model and safety components serve your tenant, how versions are identified, how long a version remains available, and whether you can pin or test a version before migration. Require release notes for material changes, an advance notice period, an impact assessment, and a rollback or fallback path.
Training and feedback use
Obtain a written answer about whether prompts, uploaded files, outputs, ratings, and support conversations are used to train or tune models. Ask whether opt-out settings apply by default, account, workspace, or request; how the setting is enforced; and how you can verify it in logs or contractual evidence.

Testing and monitoring
Request evaluation methods, representative test sets, thresholds, known limitations, red-team or abuse testing, and post-release monitoring. Ask how the vendor detects drift, prompt injection, data leakage, unsafe outputs, and degraded performance. Require a way to report a failure and receive a case identifier, status updates, and a final root-cause or corrective-action summary.
Human oversight and explainability
Determine when humans review prompts, outputs, moderation decisions, or high-impact recommendations; who they are; what access they have; and how their actions are logged. Ask for explanations that are meaningful to your users, not merely a generic statement that the model is probabilistic. Define when your organization must override, reject, or independently verify an output.
Privacy and deletion
Confirm the legal basis and purposes for processing, data-subject request support, cross-border transfer mechanism, retention by layer, and deletion from active systems, backups, caches, and derived datasets. Ask what deletion evidence you receive after account closure and how legal holds or abuse-prevention records are handled.
Build a vendor questionnaire that produces usable answers
Use questions that force a scope, owner, date, and artifact. The following compact set can be copied into a request for information:
- Which legal entity operates each production component, and which products, APIs, models, regions, and subprocessors are in scope for your latest independent assessment?
- Provide the report or certificate, examination or certification period, issuer, exceptions, qualifications, management responses, and complementary user-entity controls.
- List model versions serving our account, update frequency, version-pinning options, evaluation methods, test results, rollback process, and material-change notice period.
- Are prompts, files, outputs, feedback, telemetry, or support records used for training or tuning? State the default, opt-out process, enforcement mechanism, and retention period for each.
- Describe encryption, key ownership, tenant segregation, privileged access, logging, monitoring, backup recovery, and deletion verification.
- Provide privacy impact or risk assessments, data-subject-rights procedures, high-impact-use restrictions, human-review controls, and explainability documentation.
- Describe incident notification timing, evidence preservation, investigation cooperation, customer communications, and post-incident corrective action.
- Identify every customer control required for secure operation and explain how you test or monitor it.
Reject answers that say only “industry standard,” “commercially reasonable,” or “covered by our certification.” Ask for the control owner, implementation description, testing frequency, result, and evidence location.
Put inspection and remedy rights in the contract
Security questionnaires do not create an enforceable audit right. In the agreement, data-processing terms, and service schedule, request clauses that address:

- Evidence access: the right to inspect relevant assurance reports, certificates, control descriptions, testing summaries, and supporting evidence for the exact service and subprocessors, subject to confidentiality and security controls.
- Review mechanics: reasonable advance notice, a defined frequency, remote document review, interviews, and—when justified by a material incident or unresolved finding—an independent auditor or on-site review.
- Response duties: deadlines for answering questions, supplying evidence, providing remediation plans, and reporting whether a finding is closed.
- Change notices: advance notice of material model, processing-purpose, region, architecture, or subprocessor changes, with enough information for you to assess impact.
- Incident cooperation: prompt notification, preservation of logs and relevant records, investigation support, regulator and data-subject coordination where required, and a corrective-action report.
- Remedies: service suspension, additional controls, data return, verified deletion, credits or other negotiated remedies, and termination if current evidence is unavailable, remediation deadlines are missed, or a material change occurs without required notice.
Limitations such as “audit once per year” should not prevent a targeted review after a breach, regulator request, major model change, or credible control failure. Make sure the right flows down to critical subprocessors rather than stopping at the prime vendor.
Recommended Free Tools
Compare vendors with a weighted evidence score
Keep assurance quality separate from model quality and price. A vendor can have an excellent control environment while its model is unsuitable for your accuracy, fairness, latency, or safety requirements.
| Category | Questions to score |
|---|---|
| Evidence scope and recency | Does current independent evidence cover the exact service, data path, regions, and subprocessors? |
| Assessor quality | Is the auditor or certification body identifiable, independent, and appropriate to the assessment? |
| Model and data transparency | Are versions, intended uses, training practices, retention, and updates documented? |
| Testing and monitoring | Are methods, thresholds, limitations, drift controls, abuse testing, and results available? |
| Privacy and deletion | Can the vendor support your rights, restrictions, retention schedule, and deletion evidence? |
| Subprocessors and change control | Do you receive a current list, notice of changes, and an opportunity to respond? |
| Incident response | Are notification, cooperation, evidence preservation, and corrective action specific? |
| Explainability and oversight | Can users understand outputs and apply documented human review or override? |
| Contract inspection rights | Can you obtain evidence, use an independent reviewer, track remediation, and exit? |
| Operational fit | Can the service meet your required performance, integration, staffing, geography, and budget without weakening controls? |
Assign weights that reflect your use case, set a minimum score for evidence access, and mark any non-negotiable failure separately. Then run representative acceptance tests with your own data or safe surrogates. Measure accuracy, harmful-output rates, privacy leakage, latency, availability, human-review workload, and recovery behavior against written thresholds. Record residual risk and the person who accepts it.
Common failure modes and how to correct them
“We are SOC 2 compliant” with no report
Ask for the current Type II report, scope, period, exceptions, and complementary controls. If the vendor supplies only an attestation letter or a Type I report, record that it does not demonstrate operating effectiveness over a period and decide whether additional evidence is required.
The certificate covers a parent company, not your endpoint
Match the legal entity, service name, environment, region, and model path. Require a written boundary explanation and evidence for uncovered components or choose a service whose production path is included.

Subprocessors appear only after launch
Make the list and change-notice process contractual. Require notice, risk information, and a way to object, suspend processing, or terminate when a new processor materially changes exposure.
Deletion is promised but cannot be evidenced
Define retention by data layer and require deletion confirmation covering active stores, backups, caches, logs, and derived training or tuning data, subject to clearly stated legal or security exceptions.
Model updates break a controlled workflow
Require version identifiers, advance notice, test access, configurable rollout, rollback, and a contact for urgent reversions. Re-run acceptance tests after every material update.

When to approve, condition, or reject a vendor
Approve
Approve when independent evidence is current and correctly scoped, exceptions are understood and acceptable, AI and privacy records answer your use-case questions, customer controls are implemented, acceptance tests meet thresholds, and the contract provides continuing inspection and remedy rights.
Approve with conditions
Use a time-bound remediation plan when evidence is otherwise credible but a non-critical gap remains. Name the owner, deadline, interim control, acceptance test, and consequence of missing the deadline. Do not allow “planned certification” or an undocumented future feature to count as present evidence.
Reject or pause
Pause onboarding when the vendor will not identify the assessed entity or service, refuses meaningful evidence access, cannot explain data use or deletion, omits critical subprocessors, has unresolved material exceptions, or cannot support your required human oversight and incident response. Revisit only after verifiable evidence and contractual remedies are available.
Maintain auditability after deployment
Set a recurring review tied to the report period, model-release calendar, and risk level. At each review, refresh the assurance artifact, scope and subprocessor list, model inventory, retention settings, incident history, testing results, and open remediation items.

Independent assurance is valuable because it makes a defined control environment inspectable. It does not certify that an AI model is accurate, fair, safe, or suitable for your particular decision. The defensible choice is the vendor whose evidence, contract, testing, and ongoing transparency let you verify—and keep verifying—that the service remains acceptable for your use.
